Sales Opportunities
This chapter contains all important information on using sales opportunities in TRASER DMS 365. Sales opportunities offer the possibility to accompany and track sales processes from the initial contact with a customer to the conclusion of a contract. To do so, sales cycles and sales cycle stages must first be set up so that sales processes can be tracked at any time. This chapter is divided into the following sections:

Creating Sales Cycles
Before you can use sales opportunities, you first have to create sales cycles and corresponding sales cycle stages. Sales cycles map the sales process in multiple steps, from the initial contact with a customer to the conclusion of the contract, thus providing a comprehensive overview of the progress of a sale. Please proceed as follows to create a sales cycle:
- Use the quick search (ALT+Q) to find the Sales Cycles page.
- Click on New in the menu bar to create a new sales cycle.
- Complete the information according to the following table:

| Code | Enter a unique code for the sales cycle, e.g., NEW. |
| Description | Enter a significant description for the sales cycle, e.g., New Customer. |
| Probability Calculation | Select a method to calculate the probability of closing the sales opportunity. Possible options are Multiply, Add, Chances of Success %, and Completed %. |
| Blocked | Select this checkbox if the related record is blocked and cannot be posted in transactions, e.g., due to an insolvent customer. |
| Comment | This field specifies if comments have been assigned to the sales cycle. Click into the field to display a comment overview. |
Tip
To add a comment to a sales cycle, select the relevant line, click on Related > Sales Cycle > Comments, and enter the desired text in the Comment field. The current date is entered automatically into the Date field, but can be changed manually.
You have successfully created a sales cycle. You can add as many sales cycles as needed.
Creating Sales Cycle Stages
For each sales cycle, you can create multiple stages which map the individual phases of the sales process, e.g., initial contact, quote, and contract conclusion. You can also specify whether certain conditions must be met in order to progress to the next stage or whether the stage can be skipped. This approach standardizes and facilitates the overview of sales processes. Please proceed as follows to set up sales cycle stages:
- Use the quick search (ALT+Q) to find the Sales Cycles page.
- Select the sales cycle for which you want to create stages.
- Click on Stages in the menu bar.
- Complete the information according to the following table:

| Stage | Enter the desired stage in the sales cycle as a numerical value. |
| Description | Enter a significant description for the sales cycle stage, e.g., Quote. |
| Completed % | Specify the completion percentage of the sales cycle when the sales opportunity reaches this stage. |
| Chances of Success % | Specify the success percentage of the sales cycle when the sales opportunity reaches this stage. |
| Activity Code | Select the code of the activity linked to this sales cycle stage from the dropdown list, e.g., QUOTE. |
| Quote Required | Select the checkbox, if a quote is required at this stage before the sales opportunity can be set to the next stage in the sales cycle. |
| Allow Skip | Select the checkbox, if a quote is required at this stage before the sales opportunity can be set to the next stage in the sales cycle. |
| Date Formula | Optional Enter a date formula here for calculating planned activities in the sales opportunity report, e.g., 2W for 2 weeks or 1M for 1 month. |
| Comment | This field specifies if comments have been assigned to the sales cycle stage. Click into the field to display a comment overview. |
Tip
To add a comment to a sales cycle stage, select the relevant line, click on Related > Sales Cycle > Comments, and enter the desired text in the Comment field. The current date is entered automatically into the Date field, but can be changed manually.
You have successfully created a sales cycle stage. You can create as many sales cycle stages per sales cycle as needed.
Creating Sales Opportunities
To create a new sales opportunity, please proceed as follows:

To use sales opportunities, you must first set up at least one sales cycle and the associated sales cycle stages.
- Use the quick search (ALT+Q) to find the Opportunities page.
- Click on New in the menu bar to create a new sales opportunity.
- Fill in the fields in the General FastTab according to the following table:

| No. | This field is automatically filled by the system with a number from the set up number series. |
| Description | Enter a significant description for the sales opportunity in this field. |
| Contact No. | Select the number of the contact to which to the sales opportunity should be linked. |
| Contact Name | This field is automatically filled in with the name of the selected contact. |
| Phone No. | This field is automatically filled in with the phone number of the selected contact, provided that it is stored in the system. |
| Mobile Phone No. | This field is automatically filled in with the mobile phone number of the selected contact, provided that it is stored in the system. |
| This field is automatically filled in with the email address of the selected contact, provided that it is stored in the system. | |
| Contact Company Name | This field is automatically filled in with the company name of the selected contact, provided that it is stored in the system. |
| Salesperson Code | Select the salesperson that should be responsible for this sales opportunity. |
| Sales Document Type | This field is automatically filled in with the type of the related document (quote, order, posted invoice). |
| Campaign No. | Optional Select the number of the campaign to which to the sales opportunity should be linked. |
| Priority | Optional Specify whether the priority of this sales opportunity is low, normal, or high. |
| Sales Cycle Code | Select the code of the sales cycle to which to the sales opportunity should be linked. You can find more information on sales cycle codes in the Creating Sales Cycles section. |
| Status | This field specifies the status of the sales opportunity. Possible options are Not Started, In Progress, Won, and Lost. |
| Closed | This toggle switch specifies whether the sales opportunity is closed. More information on this can be found in the Closing Sales Opportunities section. |
| Creation Date | This field displays the date when the sales opportunity was created. |
| Date Closed | This field specifies the date on which the sales opportunity was closed. |
| Segment No. | Optional Select the number of the segment, if available, to which to the sales opportunity should be linked. |
| Configure Price Quote No. | This field specifies the configure price quote to which the sales opportunity is linked. |
Tip
You can also create a sales opportunity directly for a contact. To do so, use the quick search (ALT+Q) to find the Contacts page, open the desired contact card and click on Sales > Create Opportunity in the menu bar.
You have successfully created a sales opportunity. To display an overview of the active sales opportunities of a salesperson, search for the Salespeople/Purchasers page using the quick search (ALT+Q), open the desired salesperson, and click on Related > Salesperson > Opportunities in the menu bar.
Processing Sales Opportunities
The following sections describe how to adjust the sales cycle stage of a sales opportunity and create sales quotes for a sales opportunity.
Changing Sales Cycle Stages of Sales Opportunities
Once you have created a sales opportunity, it is automatically set to the first specified sales cycle stage. In addition, a new line containing the information of the stage is inserted into the Sales Cycle Stages FastTab of the opportunity card. You can adjust the sales cycle stage of a sales opportunity via the Update action. To do so, please proceed as follows:
- Use the quick search (ALT+Q) to find the Opportunities page.
- Open the sales opportunity whose sales cycle stage you want to adjust.
- Click on Home > Update in the menu bar.
- Select the relevant option from the following table in the Action Type field:
Note
The First and Jump options are currently unavailable in TRASER DMS 365.
| Option | Description |
|---|---|
| Next | Moves the sales opportunity to the next stage of the sales cycle. |
| Previous | Moves the sales opportunity back to the previous stage of the sales cycle. |
| Skip | Skips at least one stage of the sales cycle, if the Allow Skip checkbox is selected for that stage. Select the desired stage in the Sales Cycle Stage field. |
| Update | Allows you to change information, e.g., the Estimated Sales Value (LCY), without changing the stage. |
- Confirm your entries with OK. The corresponding action type is carried out.
You have successfully changed the sales cycle stage of a sales opportunity. Repeat the process as needed to reflect the current status of the sales opportunity. For each change, a new line is added to the Sales Cycle Stages FastTab. This allows you to fully track the development of the sales opportunity at any time.
Creating Sales Quotes from Sales Opportunities
To create a new sales quote for a sales opportunity, please proceed as follows:
Note
You can only create sales quotes from sales opportunities for contacts of the Company type.
- Use the quick search (ALT+Q) to find the Opportunities page.
- Open the sales opportunity for which you want to create a sales quote.
- Click on Home > Create Sales Quote in the menu bar.
You have successfully created a sales quote from a sales opportunity. The relevant document opens automatically. You can continue processing the sales quote as usual. More information on this can be found under Sales Quotes.
Linking Sales Opportunities to Configure Price Quotes
To link a sales opportunity to a configure price quote, please proceed as follows:
- Use the quick search (ALT+Q) to find the Configure Price Quotes page.
- Open the configure price quote you want to link with a sales opportunity.
- Click on Link to Opportunity in the menu bar.
- Select the desired sales opportunity and confirm your selection with OK.
Tip
You can also link a configure price quote and a sales opportunity directly via the Opportunities page. To do so, open the desired sales opportunity, click on Related > Opportunity > Link to Configure Price Quote and select the desired configure price quote. Finally, confirm your selection with OK.
You have successfully linked a sales opportunity to a configure price quote. The sales opportunity number is automatically transferred to the Opportunity No. field in the configure price quote, and the configure price quote number is automatically transferred to the Configure Price Quote No. field in the sales opportunity.
Closing Sales Opportunities
To close a completed sales opportunity, please proceed as follows:
- Use the quick search (ALT+Q) to find the Opportunities page.
- Open the sales opportunity you want to close.
- Click on Home > Close in the menu bar to close the sales opportunity.
- Complete the information according to the following table:

| Opportunity Status | Specify whether the sales opportunity has been won or lost. |
| Close Opportunity Code | Select the applicable reason for closing the sales opportunity from the dropdown list. |
| Closing Date | This field specifies the date on which the sales opportunity was last edited. The current date is entered automatically, but can be changed manually. |
| Sales (LCY) | Enter the calculated current value of the sales opportunity. |
| Cancel Old Tasks | Activate this toggle switch if existing tasks in the sales opportunity should be canceled. |
- Confirm your entries with OK.
You have successfully closed a sales opportunity. On the Opportunity Card in the General FastTab, the Closed toggle switch is automatically activated, the closing date is transferred to the Date Closed field, and the Status of the sales opportunity is updated. A closing line is automatically inserted in the Sales Cycle Stages FastTab.
