Creating Vendors from Contacts

In TRASER DMS 365, you can create a vendor manually or from a contact. This function is similar to the default function of Microsoft Dynamics Business Central that allows you to create vendors from contacts via templates.

The contents of this chapter are divided into the following sections:

Enabling Conversion Templates for Users

This section describes how you can enable conversion templates for users.
To enable contact to vendor conversion templates for a user, proceed as follows:

  • Use the quick search (ALT+Q) to find the Feature Management page.
  • Select Feature Update: Conversion templates for converting contacts into vendors and employees from the table.
  • To enable conversion tables for all users, change the setting in the Enabled for column to All Users.

CAUTION!

Please note that you cannot undo these changes. Please read the dialog message carefully and make sure that you have successfully tested the feature on a sandbox environment.

  • Click OK to confirm the dialog.

You have successfully enabled conversion templates for all users.

Creating Vendor Templates

To create a vendor, we recommended using a vendor template. Vendor templates contain information such as the general business posting group, the customer posting group and the payment terms code. This information will be added automatically to a newly created vendor.

To create a vendor template, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Vendor Templates page.
  • Click on New in the menu bar.
  • Select the Gen. Bus. Posting Group and the Vendor Posting Group in the corresponding fields in the Invoicing FastTab.
  • Select the Payment Terms Code in the corresponding field in the Payments FastTab.
  • Fill in the other fields as needed.
  • Enter a significant code for the vendor template in the Code field.
  • Your changes are saved automatically.

You have successfully created a vendor template.

Creating Vendors from a Vendor Template

This section describes how to create a vendor without an existing contact by using a vendor template. If you create a vendor in this way, a new contact is created automatically.
To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Vendors page.
  • Click on New in the menu bar.
  • Select a Vendor Template.
  • Enter the name of the vendor in the Name field in the General FastTab.
  • Fill in the Address, City and Post Code fields in the Address & Contact FastTab.
  • Fill in the other fields as needed.
  • Your changes are saved automatically.

You have successfully created a vendor from a vendor template.

Creating Vendors from Contacts

This section describes how to create a new vendor via a contact card.
To create a new vendor from a contact card, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Contacts page.
  • Select the contact from the table that you want to convert into a vendor.
  • The contact card is displayed.
  • On the contact card, select Actions > Functions > Create as > Vendor from the menu bar.
  • The dialog window Select a template for a new vendor is displayed.
  • Select the template that you want to use for this vendor.
  • To create the vendor, confirm the dialog window with OK.
