Transfer

Transfers can be carried out in two different ways in TRASER DMS 365. Ad hoc transfers are facilitated through the use of the item reclassification journal provided that the warehouse shipment and warehouse receipt occur simultaneously. Planned transfers between different locations are carried out via a transfer order. This chapter is divided into the following sections:

Carrying out Transfer via Reclassification Journal

CAUTION!

The reclassification journal should be reserved for emergency situations and utilized only when no controlled warehouse system is in place. This practice is crucial for preventing wrong or inadequately documented transfers and for maintaining inventory accuracy.

To carry out a transfer via the reclassification journal, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Item Reclassification Journals.
  • The page Item Reclassification Journal is displayed.
  • Enter the item you would like to transfer into the Item No. field.
  • Enter the location and bin where the items are currently stored into the Location Code and Bin Code fields.
  • Enter the location and bin where the items should be transferred to into the Location Code and Bin Code fields.
  • Enter the quantity you would like to transfer into the Quantity field.
  • Now you can select Post from the menu bar to carry out the transfer.
  • If you want to transfer all items of a bin to another bin, you can also use the Get Bin Content action in the menu bar.

You have successfully carried out a transfer.

Carrying out Transfer via Transfer Order

Note

To be able to carry out transfers via a transfer order, you might need to set up in-transit locations. An in-transit location serves as a provisional point where items are temporarily stored after leaving their initial location. To mark a location as an in-transit location, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Locations.
  • A list containing all locations is displayed.
  • Open a location that you would like to mark as an in-transit location.
  • Activate the toggle switch Use As In-Transit in the General tab.
  • You have marked the location as an in-transit location.

To carry out a transfer via the a transfer order, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Transfer Orders.
  • A list containing all transfer orders is displayed.
  • To create a new transfer order click New in the menu bar.
  • An empty transfer order card is displayed.
  • Enter the location where the item is currently stored into the Transfer-from Code field.
  • Enter the location where the item should be transferred to into the Transfer-to Code fields.
  • If the transfer should be carried out via an in-transit location, enter an in-transit location into the In-Transit Code field. If the setup of the selected locations allows it, you can also carry out the transfer without an in-transit location. If so, activate the toggle switch Direct Transfer.
  • Navigate to the Lines FastTab and select the item you would like to transfer from the list in the Item No. field. You can also add multiple items to one transfer order.
  • Enter the quantity you would like to transfer into the Quantity field.
  • To release the order for the next processing step, select Release from the menu bar.
  • Then, select Post from the menu bar.
  • A new window is displayed.
  • Select Shipment to post the Shipment.
  • Once the shipment has been carried out, select Post from the menu bar again.
  • This time, select Receive to post the Warehouse Receipt.

You have successfully carried out a transfer via a transfer order.

Tip

You can print a report for the transfer order as well as for shipments and receipts created via a transfer order. To do so, click Print/Send > Print... in the menu bar and adjust the settings in the print wizard as required.

Carrying out Inventory Movement via Service Worksheet

TRASER DMS 365 offers the possibility to carry out inventory movements via the service worksheet. This can be especially useful when a spare part is needed during a service. The spare part can be added to the worksheet. The inventory movement notifies the responsible employee to transfer the spare part from its location to the workshop bin. To carry out such an inventory movement, please proceed as follows:

The following description assumes that the toggle switches Create Workshop Bins Automatically and Split Put-Away Lines have been activated on the location card. For more information on setting up location, please click here.

  • Use the quick search (ALT+Q) to find the page Service Orders.
  • Open the service order you would like to create an inventory movement for.
  • Navigate to the Lines FastTab.
  • In this FastTab, click on Line > Worksheet.
  • In the worksheet, navigate to the Lines FastTab.
  • Select the item that should be transferred from the bin location to the workshop bin.
  • In the menu bar of the Lines FastTab, click on Functions > Create Inventory Movement.
  • Click Yes in the dialog to create the inventory movement.

The inventory movement is initiated, and the warehouse is notified to transfer the item. Please proceed as follows to register the inventory movement, i.e. the physical movement of the item from the warehouse to the workshop bin:

  • Use the quick search (ALT+Q) to find the page Inventory Movements.
  • Open the newly created inventory movement.
  • Click Start > Register Invt. Movement in the menu bar.
  • Click Yes in the dialog to register the inventory movement.

The inventory movement is registered. The inventory movement has been competed. The next section describes how to reverse an inventory movement.

Carrying out Return Inventory Movement via Service Worksheet

If too many items were requested, you also initiate a return to the item's default bin via the service worksheet. Please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Service Orders.
  • Open the service order you would like to create a return inventory movement for.
  • Navigate to the Lines FastTab.
  • In this FastTab, click on Line > Worksheet.
  • In the worksheet, navigate to the Lines FastTab.
  • Select the item that should be transferred from the workshop bin to the item’s default bin.
  • Adjust the quantity of the item in the Quantity column.
  • In the menu bar of the Lines FastTab, click on Functions > Create Return Invent. Movement.
  • Click Yes in the dialog to create the inventory movement from the workshop ben to the default bin.

The inventory movement is initiated, and the warehouse is notified to transfer the item from the workshop bin. Please proceed as follows to register the inventory movement, i.e. the physical movement of the item from the workshop bin back to the warehouse:

  • Use the quick search (ALT+Q) to find the page Inventory Movements.
  • Open the newly created return inventory movement.
  • Click Start > Register Invt. Movement in the menu bar.
  • Click Yes in the dialog to register the inventory movement.

The return inventory movement is registered. The inventory movement has been competed.

Setting up Automatic Transfer

In TRASER DMS 365, it is possible to set up an automatic transfer via an in-transit location between two locations that are in close proximity to each other. As soon as the Pick is carried out for the first location via the Register Pick option, the warehouse shipment as well as the warehouse receipt for the transfer will be posted automatically. To set up this automatic transfer, proceed as follows:

  • Use the quick search (ALT+Q) to find the page Locations.
  • Open a location that you have marked as an in-transit location and that you want to use for automatic transfers. You will find more information on how to mark a location as an in-transit location in the chapter Creating a Location.
  • Activate the Automatic Transfer toggle switch in the Warehouse FastTab.

You have successfully activated the automatic transfer for an in-transit location. You must now enter this location in the transfer routes for the transfer from the first location to the second location. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Transfer Routes.
  • Navigate to the Transfer Routes Matrix table.
  • In the Transfer-from Code column, search for the location from which the transfer is to be carried out.
  • Then, navigate to the column of the location to which the transfer is to be made.
  • Click on the selection field in the corresponding field.
  • The **Trans. Route Spec.**dialog is displayed.
  • In the In-Transit Code field, enter the in-transit location for which you have previously set up the automatic transfer.

You have successfully set up the transfer route for the automatic transfer between two locations. You must now set up stockkeeping units for the item that is to be transferred at each location. To do this, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Stockkeeping Units.
  • Click New in the menu bar.
  • In the Item No field in the General FastTab, enter the item for which the transfer should be carried out automatically.
  • In the Location Code field in the General FastTab, enter the location from which the item is to be transferred.
  • Navigate to the Replenishment FastTab.
  • Select the value Purchase in the Replenishment System field.
  • Navigate to the Planning FastTab.
  • Select the value Lot-for-Lot in the Reordering Policy field.

You have set up a stockkeeping unit for an item for the first location. You can enter further details if required. You can find more information on stockkeeping units in the chapter Planning and Replenishment. You must now set up a stockkeeping unit for the location to which the item is to be transferred. To do this, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Stockkeeping Units.
  • Click New in the menu bar.
  • In the Item No field in the General FastTab, enter the item for which the transfer should be carried out automatically.
  • In the Location Code field in the General FastTab, enter the location to which the item is to be transferred.
  • Navigate to the Replenishment FastTab.
  • Select the value Transfer in the Replenishment System field.
  • In the Transfer-from Code field, select the location from which the transfer is to take place and for which you have previously set up a stockkeeping unit.
  • Navigate to the Planning FastTab.
  • Select the value Lot-for-Lot in the Reordering Policy field.

You have successfully set up a stockkeeping unit for an item for the second location. You can enter further details if required. You can find more information on stockkeeping units in the chapter Planning and Replenishment. The setup is now complete. Once the pick is carried out for the applicable item for the first location, the warehouse shipment and the warehouse receipt for the transfer will be posted automatically.

Setting up Automatic Reservation when creating Purchase Orders

In TRASER DMS 365, you can specify whether items should be automatically reserved for inbound and outbound warehouse activities when transfer orders are created (via the requisition worksheet). To set this up, proceed as follows:

  • Use the quick search (ALT+Q) to find the page Locations.
  • Click on New in the menu bar to open an empty location card or open an existing location card.
  • Navigate to the Warehouse FastTab.
  • Select one of the following options in the Transfer Order Reservation (Outbound) field.
Option Description
Empty If you leave the field empty, the item from the transfer line will not be reserved for outgoing warehouse activities.
Always If you select this option, the item from the transfer line will ** always** be reserved for outgoing warehouse activities. However, this only takes place on condition that the value Always is also specified in the Reserve field on the corresponding item card. You can find more information on this in the section Setting up Stockkeeping Data on Items.
Optional & Always If you select this option, the item from the transfer line will ** always** be reserved for outgoing warehouse activities. However, this only takes place on condition that the value Always or Optional is also specified in the Reserve field on the corresponding item card. You can find more information on this in the section Setting up Stockkeeping Data on Items.
  • Select one of the following options in the Transfer Order Reservation (Inbound) field.
Option Description
Empty If you leave the field empty, the item from the transfer line will not be reserved for incoming warehouse activities.
Always If you select this option, the item from the transfer line will ** always** be reserved for incoming warehouse activities. However, this only takes place on condition that the value Always is also specified in the Reserve field on the corresponding item card. You can find more information on this in the section Setting up Stockkeeping Data on Items.
Optional & Always If you select this option, the item from the transfer line will ** always** be reserved for incoming warehouse activities. However, this only takes place on condition that the value Always or Optional is also specified in the Reserve field on the corresponding item card. You can find more information on this in the section Setting up Stockkeeping Data on Items.

If you now execute the Carry Out Action Message action in the Requisition Worksheet, the reservations of the transfer line(s) are made according to the settings defined here.
