Machine History

This chapter contains all relevant information regarding machine history. In TRASER DMS 365, you can track a machine’s entire history via its service item number and view documents from the purchase, sales, service and rental business areas. This way you can always maintain an overview of machine – regardless of your role in the company.

This chapter is divided into the following sections:

Displaying Machine History

The machine history displays all documents that have been created for the service item. Sales of service items are also listed – regardless of whether the service item was linked to an item or an asset. Please proceed as follows to view the machine history:

Note

Please note that canceled documents are not displayed in the machine history. If a sales order is canceled and a credit memo is created, none of them will be shown in the machine history.

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Select the machine (service item) for which you want to display the machine history from the list.
  • Click on Process > Show Machine History in the menu bar to display a list of all related documents. The list is sorted by document number and posting date by default.

You have successfully accessed the machine history of a service item. To display further information about a document, click on the relevant document number in the Document No. column. To display further information about customers or vendors in the machine history, click on View Customer/Vendor in the menu bar. Alternatively, you can click on the relevant customer/vendor number next to the Customer/Vendor Name column.

Filtering for Documents

This section describes how to filter the machine history. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Select the machine (service item) for which you want to display the machine history from the list.
  • Click on Process > Show Machine History in the menu bar.
  • Display the filter area (SHIFT+F3) and click on on + Filter… to define a new filter.
  • Select the filter criteria and enter the relevant value for the filtering.

Tip

As an alternative to this process, you can also use the quick filter functionality. To do so, click on the value you want to filter by in a column of the machine history and press ALT+F3. The machine history will be updated and displayed in a filtered view.

You have successfully filtered the machine history. The list will be searched according to the specified criteria and the displayed view will be updated. If you want to reset the filter, click on Reset Filter in the filter area (SHIFT+F3) or press the key combination CTRL+SHIFT+ALT+F3.

Displaying Ledger Entries via the Machine History

This section describes how to show ledger entries with the machine history. Proceed as follows to view the ledger entry:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Select from list the machine (service item) for which you want to view the machine history.
  • Click on Process > Show Machine History in the menu bar. By default the list will be sorted by document number and posting date.
  • To display ledger entries related to the service item, click on Navigate in the menu bar.
  • The type and amount of related entries are displayed on the Navigate page.
  • For further information on the individual entries, click on the number displayed in the No. of Entries column.
