Updating Analysis Views
If you want to change dimensions in posted documents in TRASER DMS 365, you also have to update the analysis views. This chapter provides information on updating analysis views. It is divided into the following sections:
Creating and Defining Analysis View Card
This section describes how to create a new analysis view card. To do so, please proceed as follows:
- Use the quick search (ALT+Q) to find the Analysis Views page.
- To set up a new card, click on New in the menu bar.
- On the newly created analysis view card, navigate to the General FastTab.
- Fill in the fields according to the following table:
Field | Description |
---|---|
Code | Enter a significant code for the analysis view card. |
Name | Enter a significant name for the analysis view card. |
Account Source | Select whether the account source is a G/L Account or a Cash Flow Account. |
Account Filter | Select which analysis view shall be displayed. |
Date Compression | Specify if entries should be compressed to save storage space in TRASER DMS 365. You can select none or specify a time period (Day, Week, Month, Quarter, Year, Period) for which created entries are combined into one entry. You can view analysis view entries on the Analysis View Entries page. |
Starting Date | Enter the starting date of the analysis view. |
Last Date Updated | This field displays the date on which the analysis view was last updated. |
Last Entry No. | This field displays the number of the last general ledger entry you posted, prior to updating the analysis view. |
Last Budget Entry No. | This field displays the number of the last item budget entry you entered prior to updating the analysis view. |
Update on Posting | This toggle switch specifies if the analysis view is updated every time that you post a general ledger entry. More information on this can be found in the Updating Analysis View section. |
Include Budgets | Activate this toggle switch if an update of analysis view budget entries shall be included when updating an analysis view. |
Blocked | Activate this toggle switch if the related record is blocked and cannot be posted in transactions, e.g., due to an insolvent customer. |
- Navigate to the Dimensions FastTab.
- Enter up to four dimension codes that you want to include in the analysis view card in the fields of the FastTab.
You have successfully created an analysis view card. It will now be displayed in the overview table.
Updating Analysis View
You can either update an analysis view automatically with each posting or perform the process manually. To do so, please proceed as follows:
- Use the quick search (ALT+Q) to find the Analysis Views page.
- Open the analysis view card which you want to update automatically.
- Click on Enable Update on Posting in the menu bar to activate the automatic update. This activates the Update on Posting toggle switch in the General FastTab.
Tip
You can also perform a manual update independently of postings. Click on Update in the menu bar.
You have successfully set up the update of the analysis view. From now on, the analysis view will be updated whenever a dimension of a posted document has been changed that fits one or more of the criteria in the analysis view card. The option will be active until you select Disable Update on Posting from the menu bar.
