Service Item History
This chapter contains all relevant information regarding the history of a service item. For improved traceability, you have the option of viewing all service measures and owners of a service item in TRASER DMS 365. This chapter is divided into the following sections:
Machine History
In the machine history of a service item, you can track the entire history of a machine using the service item number and view documents from the purchase, sales, service, and rental business areas. This enables you to always have an overview of the machine, regardless of your role in the company. To view the machine history of a service item, please proceed as follows:
Note
Please note that canceled documents are not displayed in the machine history. If a sales order is canceled and a credit memo is created, none of them will be shown in the machine history.
- Use the quick search (ALT+Q) to find the Service Items page.
- Open the service item of which you want to display the machine history.
- Click on Home > Show Machine History in the menu bar to display a list of all related documents. The list is sorted by document number and posting date by default.
Tip
Use the filter function (SHIFT+F3) if you want to filter the machine history according to specific criteria, e.g., Entry Type. If you want to reset the filter, click on Reset Filter in the filter area or press the key combination CTRL+SHIFT+ALT+F3.
You have successfully accessed the machine history of a service item. To display further information, click on the corresponding field in the Document No. or Customer/Vendor No. column in the desired line. To display ledger entries related to the service item, click on Navigate in the menu bar.
Service History
The service item history of a service item displays open service orders, posted service invoices, credit memos, and warranty claims, including related documents and stored checklists. This allows you to view all performed service measures at a glance. The FactBox area (ALT+F2) contains further useful information, e.g., stored fault and resolution comments. To view the service history of a service item, please proceed as follows:
- Use the quick search (ALT+Q) to find the Service Items page.
- Open the desired service item.
- Click on Home > Show Service History... in the menu bar.
You have successfully accessed the service history of a service item. To open a document directly, click into the relevant document line and click on Open document... in the menu bar.
Owner History
The owner history of a service item shows all owners associated with the respective service item. This is useful, e.g., for Trade-ins and for service items from secondary dealers. Please proceed as follows to view the owner history of a service item:
- Use the quick search (ALT+Q) to find the Service Items page.
- Open the desired service item.
- Navigate to the Owner History FactBox FastTab in the FactBox area (ALT+F2).
Tip
You can manually add new lines to the owner history. To do so, please proceed as follows:
- Click on New in the FactBox menu of the Owner History FactBox FastTab.
- Select the relevant contact in the Contact field. The other fields are filled automatically in with the information from the contact card.
- Confirm your entries with OK.
You have successfully accessed the owner history. To access further information about the owner of a service item, click on the Name in the relevant line and then on the No. of the contact.
Sold Item History
The sold item history of a service item shows all item ledger entries that have been allocated to a service item in sales quotes and orders. This makes it easier to see which items match the service item and were sold for it. To view the sold item history of a service item, please proceed as follows:
- Use the quick search (ALT+Q) to find the Service Items page.
- Open the desired service item.
- Click Related > History > Sold Items in the menu bar.
Tip
You can also open the sold item history via the worksheet of a service order. To do so, click on Actions > History of Sold Items for Service Item in the menu bar of the worksheet.
