Checklists for Service Items

In TRASER DMS 365, you can assign checklist templates to specific service item categories. If a service item from this category is subsequently added in the lines of a sales or transfer order, a checklist is automatically created based on the selected template. This checklist must be fully completed before the shipment can be posted. This chapter covers the process of creating and completing checklists in sales and transfer orders and is divided into the following sections:

Assigning Checklist Template to Service Item Category

You can assign checklist templates to service item categories. If a service item from this category is used in a sales or transfer order, a checklist is automatically created based on the selected template. To assign a checklist template to a service item category, proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Item Categories page.

  • Navigate to the Checklist for Sales column in the desired service item category.

  • In the column, specify the checklist template to be used for this service item category in sales orders.

  • Then, navigate to the Checklist for Transfer column in the desired service item category.

  • In the column, specify the checklist template to be used for this service item category in transfer orders.

You have successfully specified checklist templates for sales and transfer orders. For more information on creating checklists, see creating checklist templates.

Completing a Checklist in a Sales Order

The following description assumes that you are working in an open sales order containing service items from a category that requires a checklist. To fill in the checklist, please proceed as follows:

  • In the open sales order, navigate to the Lines FastTab.
  • In the Lines FastTab, click on Line > Checklists > Open Checklist in the menu bar.
  • The respective checklist card is displayed.
  • To make the checklist card editable, you first have to select Status > In Progress from the menu bar.
  • The status of the checklist card changes to In Progress.
  • Fill in all mandatory fields in the Checklist FastTab of the checklist card.
  • Once you have filled in all mandatory fields, select Status > Finish from the menu bar.
  • The status of the checklist card changes to Completed.
  • If you want to make changes to the checklist card afterwards, select Status > Reset Status from the menu bar.
  • Close the checklist card.

You have successfully completed and finalized the checklist for a sales order. You can now further process the sales order, e.g., post it. For more information, see Sales Orders (without Calculation Worksheet) or Sales Orders if you are working with calculation worksheets.

Tip

Once you have posted and completed the shipment for a sales order with a checklist, you can view the checklist via the posted sales invoice. To do this, use the quick search (ALT+Q) to find the Posted Sales Invoices page, open the desired invoice and click on Line > Open Checklist in the menu bar of the Lines FastTab.

Complete a Checklist in a Transfer Order

The following description assumes that you are working in an open transfer order containing service items from a category that requires a checklist. To fill in the checklist, please proceed as follows:

  • In the open transfer order, navigate to the Lines FastTab.
  • In the Lines FastTab, click on Line > Checklists > Open Checklist in the menu bar.
  • The respective checklist card is displayed.
  • To make the checklist card editable, you first have to select Status > In Progress from the menu bar.
  • The status of the checklist card changes to In Progress.
  • Fill in all mandatory fields in the Checklist FastTab of the checklist card.
  • Once you have filled in all mandatory fields, select Status > Finish from the menu bar.
  • The status of the checklist card changes to Completed.
  • If you want to make changes to the checklist card afterwards, select Status > Reset Status from the menu bar.
  • Close the checklist card.

You have successfully completed and finalized the checklist for a transfer order. You can now further process the transfer order, e.g., post it. For more information, see carrying out transfer via transfer order.

Tip

Once you have posted and completed the shipment for a transfer order with a checklist, you can view the checklist via the posted transfer shipment. To do this, use the quick search (ALT+Q) to find the Posted Transfer Shipments page, open the desired shipment and click on Line > Open Checklist in the menu bar of the Lines FastTab.
