Item Units of Measure

This chapter describes how to create item units in TRASER DMS 365 and assign them to an item or resource. Item units can represent basic units of measurement such as piece, liter, or kilogram, as well as container sizes such as carton, pallet, or canister. Specifying this type of item unit is relevant for purchasing and sales, as well as logistical storage and transport processes In addition, you can set up a base unit of measure for each item or resource, which is displayed by default on the item/resource card and specified when selecting the item or resource in documents. TRASER DMS 365 also offers the option of specifying the appropriate shipping method (parcel or freight) and specifying certain items as dangerous goods. This chapter is divided into the following sections:

Creating Units of Measure

Before you can assign an item unit to an item or resource, you must first complete the basic setup of units of measure in your system. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Units of Measure page.
  • Click on New in the menu bar to create a new unit of measure.
  • Fill in the fields according to the information in the following table:
Field Description
Code Enter a unique code for the unit of measure, e.g., CM for centimeter.
Description Enter a significant description for the unit of measure, e.g., Centimeter.
International Standard Code In this field, specify the unit of measure code in accordance with the UNECERec20 standard. This is used when sending sales receipts electronically via services such as PEPPOL to fill in the UnitCode element in the product group.
Reference Unit Code Optional Enter the code for the reference unit of measure in this field.

Tip

For time-based units such as hours, days, or weeks, we recommend additionally storing the hours per unit of measure in the system. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Units of Measure page.
    Click on Home > Hours per Unit of Measure in the menu bar.
  • In the following window, click on New in the menu bar.
  • Enter the code of a time-based unit of measure in the Code field, e.g., STD (hour) or DAY.
  • Enter the corresponding number of hours in the Hours field, e.g., 1 or 24.

You have successfully set up a unit of measure in the system. Repeat this step for all required units of measure.

Translating Units of Measure

In TRASER DMS 365, if your company operates in different countries, you can store translations for units of measure and assign them a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add an item or a resource to the document. Please proceed as follows to translate a unit of measure:

  • Use the quick search (ALT+Q) to find the Units of Measure page.
  • Select the unit of measure you want to translate and click on Related > Unit > Translations in the menu bar.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the unit of measure in the Description field.

You have successfully created a translation for a unit of measure and assigned a language code.

Setting up Item Units and Base Units of Measure

Once you have created the required units of measure, you can set them up for items and resources as item units or base units of measure. You can store multiple units of measure for an item or resource, e.g., to represent different container sizes (pallet instead of carton) or to assign an alternative unit of measure to larger quantities (ton instead of kilogram). However, only one item unit can be defined as the base unit of measure. The base unit is then automatically used in documents once the item or resource is added. To set up item units and base units of measure, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Items page.
  • Open the desired item.
  • Click Related > Item > Units of Measure in the menu bar.
  • To set up a new item unit, click on New in the menu bar of the Item Units of Measure page.
  • Fill in the fields according to the following table:
Field Description
Code Select the desired unit of measure code that you previously created on the Units of Measure page.
Qty. per Unit of Measure In this field, specify how many base units of measure are contained in the selected item unit, e.g., the number of screws in a box.
Height Use this field to enter the height of the item unit.
Width Use this field to enter the width of the item unit.
Length Use this field to enter the length of the item unit.
Volume Use this field to enter the volume of the item unit.
Weight Use this field to enter the weight of the item unit based on the specified Code, e.g., 500 GRM (grams) or 0.5 KGM (kilograms).
Gross Weight Use this field to enter the gross weight, i.e., the total weight of an item including packaging and filling material.
Packable The checkbox is selected by default and indicates that the item unit is suitable for parcel shipping. Clear the checkbox if the item is no longer suitable for parcel shipping due to its weight or volume and must instead be delivered by freight forwarding. This information is important for selecting the correct shipping agent service and freight costs.
Dangerous Good The checkbox is cleared by default. Select this checkbox to specify the item unit of measure as dangerous goods. This information is important because dangerous goods may only be transported by shipping agents with the appropriate permit. To specify that a shipping agent is authorized to transport dangerous goods, follow the instructions under Setting up Shipping Agent Services .
  • Optional Repeat the process as needed to set up additional item units of measure.
  • In the Base Unit of Measure field, select the item unit that should be used by default when the item is added to a document. The base unit of measure is also displayed on the related item or resource card.

Tip

You can also specify the base unit when creating items or resources as well as store it in item templates or resource templates.

  • In the Quantity Rounding Precision field, specify whether decimal places should be rounded when entering quantities. This value is set to 0 by default, which means that no automatic rounding takes place. We recommend using the default setting of 0 for item units with permissible decimal places, such as liters, meters, or kilograms. For item units such as the number of pieces or fixed container sizes, use the value 1 instead to avoid rounded values.

Tip

If you want to delete an item unit, select the desired line on the Item Units of Measure page and click Delete in the menu bar. Please note that the currently selected Base Unit of Measure cannot be deleted. To delete the corresponding item unit, you must first select a different base unit of measure.
