Salespeople Assignment for Documents

TRASER DMS 365 allows you to set up a dynamic allocation of salespeople in documents based on certain dimensions that have been defined beforehand. The dynamic allocation of salespeople can be set up both for the document header or for the lines area. At present, the function is available in the following documents:

Sales Sales Quote, Sales Order, Sales Return Order. Sales Credit Memo, Sales Invoice
Service Service Quote, Service Order, Service Credit Memo, Service Invoice
Rental Rental Quote, Rental Invoice

Setting up Dimensions for Salespeople Assignment

Before you can start using the dynamic salesperson assignment in documents, you’ll need to set up a few general parameters and define the appropriate dimensions that will define how salespeople are assigned. Please proceed as follows:

  • Use the quick search (ALT+Q) to find the Sales & Receivables Setup page.
  • Navigate to the Multi Salesperson FastTab.
  • Complete the fields according to the table below.
Field Description
Multi Sales Person Area Select whether the multi salesperson assignment should apply to the Header area or the Line area.
Dimension Code 1 Enter the first dimension code for the multi salesperson functionality. Fore more information on using dimensions, click here.
Dimension Code 2 Enter the second dimension code for the multi salesperson functionality. Fore more information on using dimensions, click here.
Dimension Code 3 Enter the third dimension code for the multi salesperson functionality. Fore more information on using dimensions, click here.
Dimension Code 4 Enter the fourth dimension code for the multi salesperson functionality. Fore more information on using dimensions, click here.

You have successfully set up dimensions for the assignment of salespeople. The next section describes how to set up codes for the dynamic salesperson assignment on the multi salesperson setup card.

Setting up Codes for Salespeople Assignment

The Salespeople Setup allows you to define codes used for dynamic salesperson allocation within documents. These codes can subsequently be assigned to specific salespeople. Please proceed as follows to set up a code:

  • Use the quick search (ALT+Q) to find the Salespeople Setup page.
  • Click on New in the menu bar.
  • In the Code field, enter a unique code for the assignment code.
  • In the Order Type field, enter an order type to indicate which order type the assignment code should apply to.
  • Via the other columns, you can add dimension values for the dimensions you selected in Setting up Dimensions for Salespeople Assignment. The captions of the columns will vary depending on the dimensions you have chosen.

You have successfully set up codes for the assignment of salespeople.The next section describes how to assign the code you set up in this section to a salesperson.

Assigning Codes to Salespeople

You can assign the codes you set up in the previous section either directly via the Salespeople Setup page or via a salesperson/purchaser card. To assign a code directly via the Salespeople Setup page, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Salespeople Setup page.
  • Select a code you want to assign to a salesperson or multiple salespeople.
  • Click on Assign to Salespeople in the menu bar.
  • Select the salesperson to whom the code should be assigned. To assign the code to multiple salespeople, use the multi-selection function (CTRL + LEFT MOUSE BUTTON). This allows you to select multiple salespeople from the list.
  • After selecting the applicable salespeople, click OK.
  • Check the information listed in the new window and click OK.

You have successfully assigned a code to a salesperson via the Salesperson Setup. To assign a code to a salesperson via the salesperson card, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Salespeople/Purchasers page.
  • Open the salesperson you would like to assign a code to.
  • Click on Salesperson > Multi Sales Setups in the menu bar.
  • In the Salespeople Setup Code, enter the code you want to assign to the salesperson.
  • The other columns will be filled in by the system.
  • Repeat this step to add more codes to the salesperson.

You have successfully assigned a code to a salesperson via the salesperson card. At this stage, you simply need to add one or more salespeople to a contact card. When a document is created for a customer linked to that contact, a salesperson will be automatically assigned, provided the dimension values from the code assigned to the salesperson match those on the document. The next section describes how to add salespeople to a contact.

Assigning Salespeople to Contacts

To add salespeople to a contact, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Contacts page.
  • Open the contact you would like to add a salesperson to.
  • In the menu bar, click on Related > Contact > Multi Sales Persons.
  • In the Salesperson Code field, enter the code of the salesperson you would like to add to the contact.
  • Then, click in the Salesperson Name column. The name of the salesperson will be automatically added by the system.
  • To add more salespeople, repeat the steps listed above.

You have successfully assigned one or more salespeople to the contact. The total number of assigned salespeople is now displayed in the Assigned Salespeople field in the General FastTab on the contact card. When a document is created for a customer linked to this contact, a salesperson will be automatically assigned, provided the dimension values from the code you assigned to the salesperson match the dimension values from the document.
