Creating Assets

This chapter explains how to create assets in TRASER DMS 365. It is divided into the following sections:

Creating Assets via the Service Item Card

Important!

Before you can use this functionality, you have to set up the FA No. Wizard Source, No. Series FA from Wizard as well as Serviced Item No. Prefix fields in the General Ledger Setup. For more information on this, click here. In addition, this function is only available if the In Stock As field on the service item card shows the value Fixed Asset and the service item hasn't been linked to an existing fixed asset yet.

To create a fixed asset via a service item, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Open the service item for which you want to create a fixed asset.
  • Click on Actions > New > New Fixed Asset in the menu bar.
  • The system will create a new fixed asset that will be linked to the service item. The Fixed Asset No. as well as the Fixed Asset Description fields on the service item card will be filled in automatically by the system.
  • To open the fixed asset, click on the fixed asset description (highlighted in blue) and then on the line of the newly created asset.
  • The fixed asset card is displayed. Here, you can see that the Description and the Serial No. fields have been filled with the information from the service item card.
  • You can add further information as needed.

You have successfully created a new fixed asset that is linked to a service item.

Opening Assets/Items via the Service Item Card

To open a fixed asset or item that is linked to a service item via the service item card, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Open the service item that is linked to an asset or item.
  • In the menu bar, click on Related > Open Fixed Asset Card or Open Item Card.
  • The card of the linked item/asset will be displayed.
  • You can make changes as needed.

You have successfully opened an asset or item that is linked to a service item via the service item card.

In TRASER DMS 365, you can generate a service item list with detailed book values for any selected reporting date. The report shows all machines that were in stock on that date, regardless of whether they are recorded as current or fixed assets. The report can be printed or exported to Excel and provides a clear, date-specific basis for inventory and value analysis. To print the stock report, proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • In the menu bar, select Reports > Service Item List with Book Value.
  • In the Printer field, select the desired printer.
  • In the Report Layout field, choose the desired report layout.
  • In the Options FastTab, select the desired date for the stock report in the Reporting Date field.
  • If needed, use the Filter: Service Items FastTab to filter for specific service items or service item values.
  • If needed, specify additional report layout settings in the Advanced FastTab.
  • Click Preview to see a print preview or click Print to print the report directly.
  • To download and send the report, click Send to....
  • In the dialog window, choose the desired file type (PDF, XML, Word, or Excel) and confirm with OK.
  • The report will be exported in the selected format and can then be sent by email.

You have successfully generated a stock report that includes all machines in stock, covering both current and fixed assets.
