Freight Charge Management
This chapter describes the way freights and freight charges are managed in TRASER DMS 365. This chapter is divided into the following sections:
- Setting up Shipping Agents
- Setting up Shipping Agent Services
- Automatic Mapping of Freight Information in Documents
Setting up Shipping Agents
To set up an automatic mapping of freight information in documents, such as the shipping agent, you must first set up shipping agents in the system. Please proceed as follows:
- Use the quick search (ALT+Q) to find the page Shipping Agents.
- The page Shipping Agents is displayed.
- To set up a new entry, click on New in the menu bar.
- Complete the columns according to the table below.

| Code | Enter the code for the shipping agent here. |
| Name | Enter a name for the shipping agent here. |
| Package Tracking URL | Enter the URL for the package tracking website, if available. |
- Your entries will be saved automatically.
You have successfully created a new shipping agent. The next section describes how to set up shipping agent services for a shipping agent, which can later be used to set up the automatic freight charge mapping in documents.
Setting up Shipping Agent Services
To set up shipping agent services for a shipping agent, please proceed as follows:
- Use the quick search (ALT+Q) to find the page Shipping Agents.
- The page Shipping Agents is displayed.
- To set up a shipping agent service for a shipping agent, click on an existing shipping agent and then on Shipping Agent > Shipping Agent Services in the menu bar.
- The page Shipping Agent Services is displayed.
- Complete the columns according to the table below.

| Code | Enter a code for the shipping agent service here. |
| Description | Enter a description for the shipping agent service. |
| Shipping Time | Enter the period between the shipment of items from the warehouse and delivery. |
| Base Calendar Code | Enter a code for the base calendar to be used for shipment planning here. |
| Customized Calendar | Shows if the base calendar is a customized calendar. |
| Freight Resource | Enter a resource that will be used for the automatic calculation of freight charges in sales quotes and sales orders. To use a resource as a freight resource, you need to activate the toggle switch Freight Charge on the Resource card. You can find the page Resources via the Quick Search (ALT+Q). |
| Freight Charge | Enter the amount of the freight charges that will be automatically added in sales quotes and orders. |
| Maximum Weight | Enter the maximum weight in grams for shipments using this shipping agent service. |
| Maximum Volume | Enter the maximum volume in cubic centimeters for shipments using this shipping agent service. |
| Compatible with dangerous goods | Activate this checkbox to authorize this shipment agent for the transportation of dangerous goods. To set an item unit as dangerous good, follow the instructions provided under Set item unit as dangerous good. |
- Your entries will be saved automatically.
You have successfully set up the shipping agent service for a shipping agent. The following section describes how to set up the automatic mapping of freight information, including freight charges, in documents.
Automatic Mapping of Freight Information in Documents
You have the option to add certain information regarding delivery as well as freight charges to service order types in TRASER DMS 365. If one of these service order types is added to a document, the added information will automatically be transferred to the document. This feature is available for the following documents:
Sales Quote
Sales Order
To set up automatic mapping of freight information in documents, please proceed as follows:
- Use the quick search (ALT+Q) to find the page Freight Charge Mappings.
- The page Freight Charge Mappings is displayed.
- To set up a new entry, click on New in the menu bar.
- Complete the columns according to the table below.

| Service Order Type | Select the service order type to map the freight information to. |
| Shipping Agent | Select the shipping agent you would like to link to the service order type. |
| Shipping Agent Service | Select the shipping agent service you would like to link to the service order type. |
| Shipment Method | Select the shipping method you would like to link to the service order type. |
- Your entries will be saved automatically.
You have successfully mapped freight information to a service order type. If you select this service order type in the documents listed above, the freight information will be added automatically. If you have selected a Shipping Agent Service with freight charges, a new resource will be added to the document on release showing the freight charge you have added to the shipping type.
