Service Item Texts

This chapter describes how to create and process manage service item texts. This allows you to store additional information on the service item, e.g., details on standard configurations, required and completed service work, marketing texts, or internal comments. This chapter is divided into the following sections:

Creating a fault comment

This section describes how to create a fault comment in a service order. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Orders page.
  • Open the service order for which you want to create a fault comment.
  • Navigate to the Lines FastTab.
  • Select the service item for which you want to store a comment.
  • Click on Line > Comments > Faults in the menu bar of the FastTab.
  • To enter a new comment, click New in the menu bar.
  • Enter the current date in the Date field or press the t key.
  • Enter the text for the comment in the Comment column.

You have successfully created a fault comment. It is then displayed in the FactBox area (ALT+F2) of the service order and can also be edited by clicking on the caption of the FactBox FastTab Fault Comments > Edit. Click on Close to save your changes. If you want to use a master data note as a fault comment, click on Fault Comments > Copy from Notes in the FactBox area and select the desired note texts in the following window. Click OK to confirm your selection.

Copying Fault Comments to Worksheet

You can copy fault comments to multiple worksheets. This facilitates entering the same fault comment in multiple worksheets. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Orders page.
  • Select the service order of which you want to copy the fault comment.
  • Navigate to the Fault Comments FactBox FastTab.
  • In the dropdown menu, click on Copy Fault Comments to Worksheets.
  • Click on Copy to all Worksheets in the menu bar or select the desired worksheets and click on Copy to selected Worksheets.
  • The fault comment has been copied.

You have successfully copied a fault comment to multiple worksheets.

Creating a resolution comment

This section describes how to create a resolution comment in a service order. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Orders page.
  • Open the service order for which you want to create a resolution comment.
  • Navigate to the Lines FastTab.
  • Select the service item for which you want to store a comment.
  • Click on Line > Comments > Resolutions in the menu bar of the FastTab.
  • To enter a new comment, click New in the menu bar.
  • Enter the current date in the Date field or press the t key.
  • Enter the text for the comment in the Comment column.

You have successfully created a resolution comment. It is then displayed in the FactBox area (ALT+F2) of the service order and can also be edited by clicking on the caption of the FactBox FastTab Resolution Comments > Edit. Click on Close to save your changes.

Copying a Fault Comment Text for Resolution Comments

This section describes how to copy the lines from the Fault Comments factbox area into the Resolution Comments factbox area. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Orders page.
  • Select the service order for which you want to copy the fault comment text into the Resolution Comments FactBox FastTab.
  • Navigate to the Lines FastTab.
  • Select the service item for which you want to copy a comment.
  • Navigate to the Resolution Comments FactBox FastTab in the FactBox area (ALT+F2).
  • Select the Copy text from fault comments option from the menu.
  • The comments from the Fault Comments FactBox FastTab are copied into the Resolution Comments FactBox FastTab.

You have successfully copied one or more texts into the Resolution Comments FactBox FastTab.

Creating an internal comment

This section describes how to create an internal comment. These are not shown on the invoice and are therefore suitable for passing on sensitive information to employees. Please proceed as follows to create an internal comment:

  • Use the quick search (ALT+Q) to find the Service Orders page.
  • Open the service order for which you want to create an internal comment.
  • Navigate to the Lines FastTab.
  • Select the service item for which you want to store a comment.
  • Click on Line > Comments > Internal in the menu bar of the FastTab.
  • To enter a new comment, click New in the menu bar.
  • Enter the current date in the Date field or press the t key.
  • Enter the text for the comment in the Comment column.

You have successfully created an internal comment. It is then displayed in the FactBox area (ALT+F2) of the service order and can also be edited by clicking on the caption of the FactBox FastTab Internal Comments > Edit. Click on Close to save your changes.

Adding Marketing Texts to Service Items

This section describes how to add a marketing text to a service item. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Select the service item to which you want to add a marketing text.
  • The service item card is displayed.
  • Navigate to the Marketing Text FastTab in the FactBox area (ALT+F2) and click on Edit.
  • In the text editor, enter the desired text and format it as needed.
  • To save the text, click OK.

You have successfully added a marketing text to a service item. The entered text is displayed in the Marketing Text FastTab. To edit it, proceed in the same way as described in this section.

Adding Service Texts to Service Items

This section describes how to add a service text to a service item. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Select the service item to which you want to add a service text.
  • The service item card is displayed.
  • Navigate to the Service Text FastTab in the FactBox area (ALT+F2) and click on Edit.
  • In the text editor, enter the desired text and format it as needed.
  • To save the text, click OK.

You have successfully added a service text to a service item. The entered text is displayed in the Service Text FastTab. To edit it, proceed in the same way as described in this section.

Adding Standard Configuration Texts to Service Items

This section describes how to add a a standard configuration text to a service item. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Select the service item to which you want to add a standard configuration text.
  • The service item card is displayed.
  • Navigate to the Standard Configuration Text FastTab in the FactBox area (ALT+F2) and click on Edit.
  • In the text editor, enter the desired text and format it as needed.
  • To save the text, click OK.

You have successfully added a standard configuration text to a service item. The entered text is displayed in the Standard Configuration Text FastTab. To edit it, proceed in the same way as described in this section.

Adding Notes to Service Items

This section describes how to add a a note to a service item. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Select the service item to which you want to add a note.
  • The service item card is displayed.
  • In the FactBox area (ALT+F2), click on Attachments.
  • Click on the plus icon Plus Icon next to the Notes FastTab.
  • The Add a note window opens.
  • Enter the desired text. Please consider that the maximum length for notes is 1024 characters.
  • Click OK to confirm your input.

You have successfully added a note to a service item. It is now displayed under Notes with the time stamp of creation and the user ID of the creator. You can create multiple notes in this way.

Editing Service Item Notes

This section describes how to edit service item notes. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Select the service item for which you want to edit notes.
  • The service item card is displayed.
  • In the FactBox area (ALT+F2), click on Attachments.
  • Navigate to the Notes FastTab.
  • Click on the Selection Field of the desired note, then click on Edit.

Tip

Click on Delete, if you want to remove the note completely.

  • The Notes window opens.
  • Enter the desired changes. Please consider that the maximum length for notes is 1024 characters.
  • Click OK to confirm the changes.

You have successfully edited a note. Only the changes made to the text will be saved. Information such as the user ID that created the note or the timestamp will not be updated.

Uploading Files via Service Item Cards

You can add media files to a service item via the service item card. To do so, please proceed as follows:

Note

If the Activate toggle switch on the Azure Blob Storage Setup page is not activated for certain file types, they cannot be uploaded as media files. For further information, click here.

  • Use the quick search (ALT+Q) to find the Service Items page.
  • Open the service item to which you want to add media files.
  • Navigate to the Media Files FastTab.
  • Navigate to the Media Files FastTab.
  • Click on Upload file in the menu bar.
  • Upload the desired file using drag & drop or via the explorer.

Tip

To remove a media file, click on the selection field in the respective line and select the Delete Line option. Confirm the dialog window with Yes.

You have successfully added a media file to a service item. Your entries are saved automatically.
