Segments
This chapter describes how to set up and manage segments. In TRASER DMS 365, segments can be used to group contacts based on customized criteria, e.g., contacts from a specific industry, business relationship, or with a specific service item. You can then create an activity or correspondence for all contacts in a segment at the same time, such as a notification for a service interval that is due. This chapter is divided into the following sections:
Creating Segments
Before you can segment contacts, you must first specify the parameters of the segment. Please proceed as follows to create a segment:
- Use the quick search (ALT+Q) to find the Segments page.
- Click on New in the menu bar.
- Navigate to the General FastTab.
- Fill in the fields according to the following table:
Field | Description |
---|---|
Description | Enter a specific description for the segment. |
Salesperson Code | Select the salesperson responsible for this segment. |
Date | This field will be filled automatically with the current date. You can change it as needed. |
No. of Lines | This field is filled automatically by the system and displays the number of lines in the Lines FastTab. |
No. of Criteria Actions | This field is filled automatically by the system and displays the number of actions you have taken when modifying the segmentation criteria, e.g., when adding contacts. Click into the field to access a list of the actions taken. |
You have successfully created a segment. The next section describes how to add contacts to a segment.
Adding Contacts to Segments
Segmenting contacts speeds up and facilitates work processes, as you can create activities for all contacts matching the selected criteria in a single step. Please proceed as follows to add contacts to a segment:
- Use the quick search (ALT+Q) to find the Segments page.
- Open the segment to which you want to add contacts.
- Click on Add Contacts... in the menu bar.
- In the Add Contacts window, make use of the following settings or filters as needed:

Expand Companies | Activate this toggle switch if the segment should to include all person contacts who are working for the company which you want to add to the segment. | |

Filter: Contact Assigned Salesperson | Salesperson Code | If you want to filter for contacts with a specific salesperson code, select the desired salesperson code here. |
Filter: Service Items | In this FastTab, you can filter by specific service item criteria, such as Manufacturer, Category, Subcategory, Model, Year of Construction, as well as the Meter Value of a specific Meter Type. | |
Filter: Service Intervals | In this FastTab, you can filter by specific service interval criteria, such as Interval Type, Meter Type, Meter Due Value, or Due Date. | |
Filter: Contact | In this FastTab, you can filter by specific contact criteria, such as the Type of contact, the Salesperson Code, Post Code, Country/Region Code, or Territory Code. You can add further filter criteria as needed via the Filter... button. | |
Filter: Contact Business Relation | Business Relation Code | If you want to filter for contacts with a specific business relation (e.g., Customer, Vendor, or Employee), select the desired business relation code. You can add further filter criteria as needed via the Filter... button. |
Filter: Value Entry | In this FastTab, you can filter by specific value entry criteria, such as Item Number, Variant Code, Posting Date, or Inventory Posting Group. You can add further filter criteria as needed via the Filter... button. |
Tip
In filter fields containing date or number values, such as Year of Construction, Meter Value, or Due Date, you can also use the following filter conditions:
Value Filter Condition Example Greater than X >X >9000 Greater or equal X >=X >=9000 Less than X <X <9000 Less or equal X <=X <=9000 Date Range X to Y X .. Y 01.01.2025 .. 31.12.2025
- Confirm your settings with OK. The contacts that match your criteria are added to the Lines FastTab. Depending on the amount of data, this process may take some time.
You have successfully added contacts to a segment. You can repeat this process as needed to add further contacts to the segment. The next section describes how to remove contacts from a segment.
Removing Contacts from Segments
Please proceed as follows to remove contacts from a segment:
- Use the quick search (ALT+Q) to find the Segments page.
- Open the segment from which you want to remove contacts.
- Navigate to the Lines FastTab.
- Select the lines you want to delete.
Tip
To select multiple lines, use CTRL + Left Click. To select a range of lines, use SHIFT + Left Click.
- Click on Manage > Delete Line in the menu bar of the FastTab.
- Confirm the dialog window with Yes. The selected lines are removed from the Lines FastTab.
You have successfully deleted contacts from a segment. You can repeat this process as needed to remove further contacts from the segment.
