Trade-Ins (Without Calculation Worksheet)
In TRASER DMS 365, you can take back service items via a trade-in and issue a credit memo to the customer for the returned service item. This chapter contains all important information regarding the processing of trade-ins and is divided into the following sections:
Creating Trade-Ins
Note
Before you can create trade-ins, you must set up an order type for trade-ins. Click here for more information on order types. You must also set up a number series. Click here for more information on number series.
Please proceed as follows to create a trade-in:
- Use the quick search (ALT+Q) to find the Trade-Ins page.
- Click on New in the menu bar.
- Select the service item for which you want to create a trade-in in the Customer No. column in the General FastTab. The system then automatically fills in additional fields based on the data stored for the customer.
- Select the order type for the trade-in in the Order Type field in the General FastTab.
- Fill in the other fields in the General FastTab as needed.
- Navigate to the Lines FastTab.
- Click on Functions > Add Service Item in the menu bar of the FastTab.
- To add a service item to the trade-in, click on Functions > Add Service Item in the Lines FastTab.
- Complete the information according to the following table:
Input field | Description |

In Stock as | Select Current Asset from the dropdown list. |
Manufacturer | Select the code of the manufacturer of the service item from the dropdown list. |
Category | Select the category of the service item from the dropdown list. |
Subcategory | Select the subcategory of the parent category from the dropdown-list. |
Model | Use this field to enter the model of the service item. |
Service Item No. | Select the service item of the customer that should be added to the trade-in. |
Note
If you enter the model name of the service item in the Model field, the Manufacturer, Category, and Subcategory fields are automatically filled in by the system. You can find more information about this in the Service Item Models section.
- Click on OK to add the service item in a new line in the trade-in document.
- Enter the location of the service item in the Location Code column in the service item line.
- Enter the the amount for the service item that is to be traded in in the Trade-In Incl. VAT column in the service item line.
- Fill in the other columns in the Lines FastTab as needed.
- To then send a trade-in confirmation to the customer, click on Print/Send > Print in the menu bar of the trade-in card.
- In the following window, make settings as needed and click on Send To....
- Select the desired file format and confirm your selection with OK.
You have successfully created a trade-in and sent a confirmation to the customer.
Shipping and Invoicing Trade-Ins
To ship and/or invoice a trade-in, please proceed as follows:
- In an open trade-in card, click on **Posting > Post... in the menu bar.
- In the dialog window, select whether you want to ship, invoice, or ship and invoice the trade-in.
- Click OK to confirm your selection.
You have successfully shipped and/or invoiced a trade-in. The trade-in process is now finished.
