Resources
Resources can refer to employees or machines and can be added to documents to post labor and working hours to them. In the rental area, resources can be used for: recurring costs and fixed costs.
This chapter describes how to manage resources. It is divided into the following sections:
- Checking Resource Utilization
- Commissioning Resource
- Decommissioning Resource
- Marking Resource as Rent Component

Checking Resource Utilization
Using the utilization overview, you can view the overall usage of a resource. To check a resource’s utilization, please proceed as follows:
- Use the quick search (ALT+Q) to find the Resources page.
- Open the resource that you want to see the utilization for.
- Navigate to the Utilization register and open it in case it is closed.
- The Utilization Chart is displayed.
- The middle area (e.g. 17.12.20..17.01.21) specifies the time period that is shown in the chart. The last part (e.g. Week) specifies the type of time period that is shown in the chart.
- You can filter the utilization by Day, Week, Month, Quarter or Year.
- Via the Previous Period button, you can view the utilization for the previous period.
- Via the Next Period button, you can view the utilization for the next period.
- The x-axis shows the exact date of the selected period.
- The y-axis shows the availability and utilization of a resource in percent.
- Move your mouse pointer over one of the bars in the chart to view the percentage.
You have successfully checked the utilization of a resource.
Commissioning Resources
In this section, you learn how to commission a resource.
After
Commissioning, the resource will be available for rent.
To commission a resource, please proceed as follows:
Note
The Calculation Type field under the General register must be left empty so you can commission the resource. Please also note that the base unit of measure of the selected resource has to match the base unit of measure code of the rent class.
- Use the quick search (ALT+Q) to find the Resources page.
- Open the resource you want to commission.
- In the Rent Class field in the Rental register, select a rent class for the resource.
- Select Rental > Commissioning from the menu bar of the resource card.
- The commission/decommission wizard will open.
- To select one of the available rental locations, click on the button under To Rental Location.
- Click on OK to confirm your selection in case the window is not closed automatically.
- The complete description of the target rental location is shown in the To Rental Description field.
- Finally, click OK.
- Confirm the dialog with Yes.
- The Available For Rent toggle switch in the Rental register is now activated. You can find information on the status of the toggle switch in the 'Toggle Switch' Table.
You have successfully activated a resource. It can now be used for rental.
Decommissioning Resource
In this section, you will learn how to decommission a resource. After Decommissioning, the resource will be available for billable documents. To decommission a resource, please proceed as follows:
- Use the quick search (ALT+Q) to find the Resources page.
- Open the resource you want to decommission.
- In the rental tab, check if the resource is available for rent. If the resource is available for rent it can be decommissioned.
- For decommissioning, select Rental > Decommission from the menu bar.
- In the commission/decommission wizard, the current rental location at which the resouce is available is shown in the From Rental Location field.
- Either, select a different rental location or comfirm the current rental location by clicking OK.
- Confirm the following dialog window with OK.
You have successfully decommissioned a resource. The Available for Rent toggle switch in the Rental FastTab is now deactivated and the resouce can be used for billable documents again.
Marking Resource as Rent Component
A resource that is marked as a rent component can be included as a contract component via a rent class or rent class package. For more information on how to assign contract components to a rental class or rental class package, click here. To mark a resource as component, proceed as follows:
- Use the quick search (ALT+Q) to find the Resources page.
- Open the resource that you would like to mark as component or create a new resource.
- In the Rental FastTab, activate the Rent Component boolean. This way, all the other fields in the Rental FastTab will be hidden and the Component Sales Price field is displayed.
- Optionally, enter the sales price of the component here. You can also change the sales price on the rent class card.
You have successfully marked a resouce as a rent component.
Assigning Rent Class to Resources
You can assign a specific rent class to a resource so that only this rent class can be selected in rental contracts for this resource. This way mistakes are prevented when assigning rent classes. To assign a set rent class to a resource, proceed as follows:
- Use the quick search (ALT+Q) to find the Resources page.
- Open an existing resource or create a new one.
- Select Rental > Create Rent Class from the menu bar.
- A window opens where you will be able to edit the new rent class.
- Edit the created rent class as described in Creating Rent Class.
- Then, activate the rent class by activating the Active toggle switch in the General FastTab.
You have successfully assigned a specific rent class to a resource. The newly created rent class will be transferred to the Rent Class field in the Rental tab. If this rent class is now added to a rental contract, the object number of the resource will be transferred directly to the contract lines.
Setting Replacement Price for Resources
You can add a price to a resource that will be used when a resource has to be replaced. To set a replacement price for a resource, do the following:
- Use the quick search (ALT+Q) to find the Resources page.
- Open an existing resource or create a new one.
- In the Rental FastTab, enter the requested price for the replacement in the Replacement Price field.
You have successfully added a replacement price to a resource.
