Rent Classes/Rent Class Packages
You can add rent objects from different categories to a rent class. If you use rent classes for rental solutions you do not have to add a specific rent object to a rental contract. Instead, you can add a rent class. At the time of rental, the customer will then receive an available rent object from the specific rent class (e.g. mobile excavator). This allows you to have greater flexibility when it comes to managing rental processes.

Create Rent Class
This section describes how to create a rent class. To do this, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Click the New button.
- An empty window opens.
- Please fill in the fields according to the specifications in the table below to create a new rent class.

You can also calculate single price lines using an invoice calendar of 7 days, even if your rent object uses an invoice calendar of 5 days. For insurance cases, select the rent revenue item INSURANCE. For one-off costs concerning delivery/return, select the rent revenue item TRANSPORT. A live system might require different values. You can freely define these values. |

- Close the Rent Classes page.
The rent class has been set up and activated and can now be used in rent quotes, rental contracts and rent price checks.
Define Additional Costs
Every rent class must have at least one rent object with the rent revenue item RENTAL. Furthermore you can add more entries, e.g. delivery and return revenues, optional equipment, insurance costs or consumption data.
To add additional revenues to a rent class, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open the rent class you would like to add additional costs to.
- Deactivate the rent class via the Active slider. You can find information on the status of the toggle switch in the 'Toggle Switch' Table.
Note
A rent class can only be edited if it’s not currently used in a quote or contract.
- To add another line, either click on New Line in the menu bar of the Price Lines FastTab or click on an empty line.
- Enter a unique description into the Standard Description field.
- In the Requirement column, specify whether the entry is Mandatory, Recommended or Optional.
- Enter a price for this line into the Price Code field. This column is linked to the Price Type column.
- In the Price Type column, select the due date for the rent class object price. This column is linked to the Price column. Open Price Types and Definitions to see an overview over the different price types.
- Activate the Fixed Quantity checkbox if you want to add a price line with a quantity of 1. If you do not activate this checkbox, the price line in the contract will be assigned the quantity of the rent line. For delivery and return price lines, activating this checkbox means that the price will be calculated as a fixed price for every (partial) delivery. If you do not activate this checkbox, the price will be calculated using the percentage of the total delivered quantity.
- Activate the Invoice Only Once checkbox if the price line in the contract should only be invoiced once (e.g. for administrative costs). This checkbox can only be activated if you selected the price type On Delivery and the Fixed Quantity checkbox is activated.
- Under Revenue Item No., select the related rent revenue item. The rent revenue item RENT can only be used once per rent class. Open Price Types and Definitions to see an overview over the different revenue items.
- Once you have set up all additional costs, activate the Active toggle switch. You can find information on the status of the toggle switch in the 'Toggle Switch' Table.
- Close the Rent Classes page.
The rent class including all additional costs has been set up.
Defining Price Surcharges
You can define price surcharges as a fixed amount or percentage for all or specific rent classes. Price surcharge details will be saved in a separate table. To define price surcharges, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- Open the rent class to which you would like to add a surcharge.
- Deactivate the rent class via the Active slider. You can find information on the status of the toggle switch in the 'Toggle Switch' Table.
- Click on Prices > Price Surcharge in the menu bar.
- The Rent Class Price Surcharge Options dialog window is opened. Here you can define the price surcharge.
- Optional Activate the Apply to Rent Class Package toggle switch if the surcharge shall be applied to the rent class prices in the rent class package line.
- Under Starting Date, enter a date from which the price surcharge should apply.
- Under Surcharge Type, select if the price surcharge shall be defined as a Fixed Amount or Percentage.
- Under Surcharge Amount or Percentage (%), enter a fixed surcharge amount or a percentage for the price surcharge calculation.
- Select a Sales Type Filter, Sales Code Filter and Revenue Type Filter in the Filter FastTab. Further filters for the price surcharge can be defined in the Filter and Filter: Rent Class FastTabs.
- After filling in the price surcharge information, click on OK.
You have successfully defined a price surcharge for the rent class. The price surcharge will be displayed as a new line in the extended price table. Additionally, changes can be viewed in the Surcharge Price Change Log FactBox.
Assign Contract Texts
You can assign contract texts to rent classes and rent class packages. In addition, you can define whether a contract text is mandatory, optional or recommended. If you then add a rent class or rent class package to a rental contract, you can assign the contract texts you set up to the rental contract. To create contract texts for a rent class, please proceed as follows:

- Open a rent class or create a new rent class.
- The rent class card is displayed.
- You can enter the following parameters in the Contract Text Lines FastTab:

Print in Protocol | Activate this checkbox if the contract text should also be shown on the printed delivery or return protocol. This setting is also applied if the rent class is added to a rental quote or rental contract. |
- The contract text lines for rent classes have been set up and can now be selected when you add a rent class or a rent class package.
- Close the Rent Classes page.
Assign General Terms & Conditions Texts
You can assign GTC texts to rent classes and rent class packages. In addition, you can specify whether the GTC texts apply to the rent class or only to specific price lines. If you then add a rent class or rent class package to a rental contract, you can assign the GTC texts you set up to the rental contract. For more information on creating GTC texts, click here. To deposit GTC texts for a rent class, please proceed as follows:
Note
Depositing GTC texts for a rent class package works analogously.
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open a rent class or create a new rent class.
- The rent class card is displayed.
- To add GTC texts that apply to the whole rent class, select the desired GTC code from the list in the GTC Code field under the Options register.
- To add GTC texts that only apply to certain price lines of the rent class, select the desired GTC code from the list in the GTC Code column in the Price Lines register.
- The GTC texts have been added to a rent class or rent class package and will now be used when you add a rent class or rent class package to a rental contract.
- Close the Rent Classes page.
Assign Contract Components
You can assign contract components to rent classes and rent class packages. This can be e.g. substitutions or consumption items or resources that are supposed to be sold with the rent object. In addition, you can define whether a contract component is mandatory, optional or recommended. If you then add a rent class or rent class package to a rental contract, you can add the assigned contract components to the contract. To create contract components for a rent class, please proceed as follows:

- A list containing all rent classes is displayed.
- Open a rent class or create a new rent class.
- The rent class card is displayed.
- You can enter the following information in the Contract Components tab:

For delivery and return price lines, activating this checkbox means that the price will be calculated as a fixed price for every (partial) delivery. If you do not activate this checkbox, the price will be calculated using the percentage of the total delivered quantity. |
Unit of Measure Code | This field will be filled with the information of the selected item or resource. Here, you can change the unit of measure for the item or resource. This won’t affect existing contracts. |
Sales Unit Price | This field will be filled with the information of the selected item or resource. Here, you can change unit price for the item or resource. |
Requirement | In this column you can select whether the contract component is Mandatory, Optional or Recommended. Mandatory contract components cannot be deselected if they are added to a rental contract, and therefore are always added. |
- The contract text lines for the rent class have been set up and can now be selected when you add a rent class or a rent class package to a rental contract.
- Close the Rent Classes page.
Assign Dimensions
You can assign default dimension values to a rent class or rent class package. If you add a rent class or rent class package with assigned dimensions to a rent document, certain dimension values are automatically assigned to that document. To assign a dimension to a rent class, please proceed as follows:

- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open a rent class or create a new rent class.
- The rent class card is displayed.
- Select Related > Dimensions from the menu bar. If you cannot find the menu opion Related, click on More Options.
- The Edit - Default Dimensions - Rent Class window opens.
- Enter values according to the table below.
Label | Description |

Value Posting | Here, specify whether the use of variant dimension values should be allowed for document postings. You can find more information on these columns here. |
Allowed Value Filter | This column shows dimension values that can be used by the selected account. You can deselect invalid dimension values here, if needed. |
Reference Dimension Code | This field will be filled automatically if a reference dimension was assigned to the dimension. |
- Once you have assigned the desired dimensions, close the Edit - Default Dimensions - Rent Class window.
If you now add the modified rent class to a rental contract, the assigned dimensions will be added automatically to the rental contract. If you would like to view the dimensions in a rental contract, proceed as follows:
- Use the quick search (ALT+Q) to find the Rental Contracts page.
- A list of all created rental contracts is displayed.
- Open a rental contract or create a new contract.
- In the Lines register of the rental contract, select the desired rent class (for information on adding rent classes, click here).
- In the Lines tab, click on Related Information > Dimensions in the menu bar. If you cannot find the menu option Related, click on More Options.
- The Edit Dimension Set Entries window opens, where the dimensions that are linked to the rent class are displayed. You can also edit the dimensions.
Assign Attributes
You can add certain attributes to a rent class. To do so, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open a rent class or create a new rent class.
- The rent class card is displayed.
- Navigate to the Attributes tab.
- Please fill in the fields according to the specifications in the table below to add attributes to a rent class:

Unit Of Measure | Specify the unit of measure of the attribute. |
Print in Protocol | Activate this checkbox if the attribute should also be shown on the printed delivery or return protocol. This setting is also applied if the rent class is added to a rental quote or rental contract. |
- Once you use this rent class in a contract, the attributes you set up previously will be automatically listed in the contract lines. In the rental contract, you can then further define the attributes. You can find more information on this under Adding Attributes.
Creating Price Lines from Price Templates
Once you have created a price template, it can be used in a rent class. To use a price template in the price lines of a rent class, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- The page Rent Classes is displayed.
- Click New in the menu bar.
- The page Rent Classes is displayed.
- Fill in the Class Name field.
- Select New > New From Price Template from the menu bar.
- The Rental Price Templates page is displayed.
- Select the desired price template.
- Click OK to confirm your selection.
The price lines of the price template have been added to the Price Lines register.
Creating Price Lines from Price Templates
Once you have
created a price template for rental purchases, it can be used in the purchase setup of a rent class.
To do so, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- The page Rent Classes is displayed.
- Click on the desired rent class or create a new rent class.
- The page Rent Classes is displayed.
- Select Purchase > Purchase Setup from the menu bar.
- The page Rent Class Purchase Options is displayed.
- Select New > New From Price Template from the menu bar.
- The Rental Purchase Price Templates page is displayed.
- Select the desired price template.
- Click OK to confirm your selection.
The price template was now added to the Rent Class Purchase Options page.
Edit Rent Class
This section describes how to edit a rent class. To do so, please proceed as follows:
Note
You can also edit rent classes that are being used in rental quotes or contracts. However, the changes will only apply to new quotes or contracts. Already existing contracts won’t be affected.
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open an existing rent class that you want to edit.
- To be able to edit the rent class, deactivate the Active slider.
You can find information on the status of the toggle switch in the 'Toggle Switch' Table. - Make the desired changes.
- Subsequently, activate the Active toggle switch to be able to use the modified rent class.
You can find information on the status of the toggle switch in the 'Toggle Switch' Table. - Close the Rent Classes page.
Copying Rent Classes From Existing Rent Classes
You can also create a rent class by copying it from an existing rent class. To do so, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- Select Actions > Copy Existing Rent Class from the menu bar.
- The Select Rent Class dialog window is displayed.
- Under the Options register, enter the rent class code of the rent class to be copied into the Rent Class Code field. You can also select the rent class from a list.
The following options are now available via toggle switches, which you can activate as desired.
- Copy header fields
- Copy price lines
- Copy texts
- Copy components
- Copy linked rent classes
- Copy attributes
- Copy rental purchase options
After activating the desired toggle switches, confirm the dialog window with OK.
- The page Rent Classes is displayed.
- Fill in the remaining desired information of the rent class and close the page afterwards.
Note
Please note that the Class Name has to be filled.
You have successfully copied a rent class from an existing rent class.
Delete Rent Class
This section describes how to delete a rent class. You can only delete rent classes that are not in use and that have been deactivated.
Warning
A deleted rent class cannot be recovered. So please make sure that you have the permission to delete a rent class before you delete it. If you do not wish to delete a rent class, you can deactivate it.
To delete a rent class, proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open an existing rent class that you would like to delete.
- Click on the bin icon in the header of the rent class card.
- Click Yes to confirm the dialog window.
- The rent class has been deleted and won’t be shown in the rent class list.
- Close the Rent Classes page.
Create Rent Class Package
A rent class package consists of multiple rent classes. This way, you are able to select complex rental configurations with one click.
This section describes how to set up a rent class package. To do so, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Class Packages page.
- A list containing all rent class packages is displayed.
- Click the New button.
- An empty rent class package opens.
- In the General tab, enter a unique description into the Name field.
- The Package Code will be filled out automatically and cannot be edited. Every rent class package will be assigned a unique identification number.
- Use the Standard Descriptionfield to enter a description for the rent class package content, e. g. a list of rent classes or other parameters.
- Optional Enter a GTC Code.
- Select Standard or Combined as needed from the Invoice Options dropdown menu in the Invoice Details FastTab. You can create a configuration package via the Configuration option.
- Click on Add Rent Class in the menu bar of the Lines FastTab.
- The Rent Class Wizard opens. Follow the wizard to add rent classes to the rent class package.

Add Rent Classes or Rent Class Packages Wizard – Step 1
The upper part is meant for filtering rent classes or rent class packages. The lower part displays the filtering results.
- Select under Rent Class/Rent Class Package if you like to filter for rent classes or rent class packages. If you leave this field blank, both rent kinds are filtered for.
Note
If you filtered for a Rent Class, you can select under Object Type Filter for Rent Class the rent class kind that you like to use. This way, you can narrow your search further down.
If you filtered for Rent Class Packages, this filter option is not displayed.
- Enter the requested quantity in the Selected Quantity column if you like to add a Rent Class. The Selected Unit of Measure field will be filled automatically.
*A value ≥1,00 must be entered. If the value is 0,00 in the Selected Quantity column, the rent class will not be used. - Optional If necessary, you can change the unit of measure of the rent class via the Unit of Measure Code (Delivery) column under the Lines register. For this, select a deposited unit of measure for this rent class from the list. This is only possible for items. You can find more information on depositing an alternative unit of measure for a rent class here.

Optional Select an invoice calendar in the Selected Invoice Calendar column.
For more information about creating invoice calendars, clickSet up Base Calendar. - Optional The Has linked Rent Classes columns shows if there are any linked rent classes. By clicking on Yes, a window is opened which shows the linked rent classes. Linked rent classes are automatically additionally added to the rent document.
- Click Next when you selected the desired quantity.
- The Second Step of the Add Rent Classes Wizard opens.
- Activate the check box in the Selected column to add a Rent Class Package

Optional Select an invoice calendar in the Selected Invoice Calendar column.

Note
If you deactivate a rent class in a rent class package which is marked as Optional, the related price lines of this rent class are also deactivated and hidden.
- Click Next when you selected the desired packages.
- The Second Step of the Add Rent Classes Wizard opens.
Add Rent Classes Wizard – Step 2
In the next step you can select or deselect add. revenue for the previous selected rent classes or rent class packages. Add. Revenue will be added directly for a rent class (see also Create Rent Class).
- Activate or deactivate the check box in the Selected column for the price lines which you like to apply to the rental contract.
Note
Price Lines with Mandatory requirement can not be deselected.
- Click Next when you selected the desired price lines.
- To edit the selection of rent classes or rent class packages, click Previous.
- To Add more rent classes or rent class packages, click Add.
- The Third Step of the Add Rent Classes Wizard opens.

In the next step you can select or deselect contract components for the previous selected rent classes or rent class packages. Contract components will be added directly for a rent class (see also Assign Contract Components). This step is skipped if no contract components are assigned to this rent class or rent class package.
- Activate or deactivate the check box in the Selected column for the contract components which you like to apply to the rental contract.
Note
Contract components with Mandatory requirement can not be deselected.
- Click Next when you selected the desired contract components.
- To edit the selection of price lines, click Previous.
- To Add more rent classes or rent class packages, click Add.
- The Fourth Step of the Add Rent Classes Wizard opens.

In the next step you can select or deselect contract texts for the previous selected rent classes or rent class packages. Contract texts will be added directly for a rent class (see also Assign Contract Texts). This step is skipped if no contract texts are assigned to this rent class or rent class package.
- Activate or deactivate the check box in the Selected column for the contract texts which you like to apply to the rental contract.

- Click Next when you selected the desired contract texts.
- To edit the selection of contract texts, click Previous.
- To Add more rent classes or rent class packages, click Add.
Note
If the rent class to be added is a linked rent class, the linked rent class can also be selected or deselected in the next step. It can only be deselected if the linked rent class is not mandatory. If the linked rent class should be added, the deposited additional revenues, contract compontents and contract texts of the linked rent class can be selected or deselected afterwards.
Linked rent classes are recognizable by an indent underneath the main rent class in the lines of the rental contract.
In addition, the check box in the Linked to Rent Line column is activated.
If the main rent class is later deleted from the contract lines, the linked rent class remains as an independent rent class in the contract lines.

- Click Close to close the window.
- Optional You can restart the Add Rent Classes Wizard by clicking Start. The previous input will be saved and the First Step of the process will be displayed.
- After completing the wizard, the finished rent class package will be displayed.

You have successfully created a rent class package.
Creating a Configuration Package
You can create configuration packages that contain several specific rent classes, e.g. crane parts that cannot be rented separately. These can then be offered as a fixed package and rented at a fixed package price.
To do this, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Class Packages page.
- To set up a new configuration package, click on the New button.
- In the General FastTab, enter a unique description for the configuration package into the Name field, e.g. Crane Configuration Package.
- The Package Code will be filled out automatically and cannot be edited. Every rent class package will be assigned a unique identification number.
- In the Standard Description field, enter a description for the configuration package.
- Optional Select the General Terms & Conditions texts for the configuration package from the GTC Code dropdown list.
- Navigate to the Invoice Details FastTab.
- Select the Configuration option from the Invoice Option dropdown menu.
- In the Price Base field, enter the price base for the configuration package.
- In the Revenue Item No. field, enter a unique code for the revenue item, e.g. Package Price.
- Enter more information as required.
- Click on Configuration > Configuration Setup in the menu bar.
- Click New to add rent classes to the configuration package.
- Select a rent class in the Rent Class Name field.
Note
You can only add rent classes that were previously enabled as a configuration class. For more information on creating rent classes, click here.
- Enter the default quantity of the rent class in the configuration in the Rent Class Quantity field.
- Select the default unit of measure code of the rent class in the configuration in the Rent Class Unit of Measure Code field.
- Repeat this step for all relevant rent classes.
- Close the Configuration Setup page.
- You can now add further specifications in the Configuration Specifications FastTab if needed, which can then be selected when you Add Configuration Packages to Rental Contracts.
You have successfully created a new configuration package. It can now be added to Rental Contracts.
Checking the Utilization of a Rent Class
The utilization chart allows you to check the utilization of a rent class. To check the utilization of a rent class, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open the rent class you would like to check the utilization for.
- Navigate to the Utilization register and open it in case it is closed.
- The Utilization Chart is displayed.
- The middle area (in this case: 17.12.20..17.01.21) specifies the time period that is shown in the chart.
- The last part (in this case: Week) specifies the type of time period that is shown in the chart.
- In the menu bar of the Utilization FastTab, you can filter the utilization by Day, Week, Month, Quarter or Year.
- Via the Previous Period button, you can view the utilization for the previous period.
- Via the Next Period button, you can view the utilization for the next period.
- The x-axis shows the exact date of the selected period.
- The y-axis shows the availability and utilization of a rent class.
- Move your mouse pointer over one of the bars in the chart to view the percentage.
- Close the rent class card.
- Close the Rent Classes page.
You have successfully checked the utilization of a rent class.
Linking Rent Classes
You can link rent classes to other rent classes. This will mark them as an optional, mandatory or recommended component of this rent class.
To do this, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open a rent class or create a new rent class.
- The respective rent class card is displayed.
Note
In order to link a rent class, it has to be deactivated.
- Select the rent class to be linked in the Rent Class field in the Linked Rent Classes FastTab.
- The following columns of the selected rent class will be filled in automatically:

View Commissioned Rent Objects
You can view all related commissioned rent objects in a rent class. To do this, please proceed as follows:
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open the rent class you would like to check the commissioned rent objects for.
- Select Related > Commissioned Objects in the menu bar.
- A list of the related commissioned rent objects is displayed.
- Close the commissioned object list.
You have successfully viewed the commissioned rent objects of a rent class.
Deposit an alternative unit of measure for delivery
To deposit an alternative unit of measure for delivery in a rent class, please proceed as follows:
Note
An alternative unit of measure for delivery can only be deposited for rent classes which are Items.
- Use the quick search (ALT+Q) to find the Rent Classes page.
- A list containing all rent classes is displayed.
- Open the rent class for which you want to deposit an alternative unit of measure for delivery.
- Select Start > Unit of Measure from the menu bar.
- A list containing the rent class units of measure is displayed.
- In the Code column, enter the code of the unit of measure, e.g. Pallet.
- In the Qty. per Unit of Measure column, enter the number of rent objects that should be contained in one unit of measure, e.g. 1 pallet = 20 rent objects.
- Your changes will be saved automatically. If the rent class is now added to a rental contract, the unit of measure can be chosen in the respective wizard.
You have successfully deposited an alternative unit of measure for delivery in a rent class.
Depositing a Rent Class in the Service Item Hierarchy
You can deposit a rent class in the service item hierarchy. When creating a new
Service Item, the rent class specified on the lowest valid hierarchy level will be added automatically to the service item card.
Rent classes can be added on the following hierarchy pages:
- Service Item Categories
- Service Item Subcategories
- Service Item Series
- Service Item Models
This section describes how to deposit a rent class using the example of a service item series. The described steps can also be applied to the other values. To add a rent class to a service item series, please proceed as follows:
- Use the quick search (ALT+Q) to find the Service Item Series page.
- To set up a new series, click on New in the menu bar.
- Fill in the columns according to the following table.

- The remaining fields may differ depending on hierarchy. Fill them in as needed.
You have successfully added a rent class to a series. When creating a new service item with this series, the rent class will be added to the service item card.
