Projects

In TRASER Rental 365, rent contracts and rent objects can be included in projects.

Note

This chapter only describes working with projects in TRASER Rental 365. You can find more information on working with projects in the Microsoft Dynamics 365 Business Central documentation.

Please proceed as follows:

  • Use the quick search (ALT+Q) to find the Projects page.
  • Open the desired project from the list or create a new one.
  • Activate the Rental toggle switch in the General FastTab of the project card. This enables the Rent Document Factbox at the right side of the screen as well as the Rental Project FastTab and the rental-relevant columns in the Tasks FastTab.

In the Rental Project FastTab, you define the outline data for the rent contract to be included in the project. Complete the fields according to the table below.

Option Action
Rental Order Type Select the order type for the rent project. The checkbox Rental has to be selected for this order type.
Contract Start Date Enter the date at which the rent contract should start.
Rent Period Start Date Enter the desired start date of the period for which the customer has to pay rent. This date is also used for the calculation of the rent price.
Estimated Contract Duration (Days) Optional, enter here the estimated quantity of days for the rent duration. The date in the Expected Contract End Date field will then be calculated and entered automatically.
Exp. Contract End Date Enter the expected end date of the rent contract.
Ship-to Date Enter the ship date for the delivery of the object lines.

Afterwards, create the tasks for this project in the Tasks FastTab.

The following table only describes the relevant columns for creating a rent project.

Option Action
Rent Order Type Here, select the rent job type for this task line. The rent job type is a subtype of the Project Task Type and defines this line as a rent job line. You can choose between the Rent Contract and Rent Object options.
Rent Document No. If you create a rent document via the action Line > Rental > Create Rent Quote or Create Rent Contract in the menu bar of the Tasks FastTab, the document number of the respective rent document which is linked to the project will be automatically entered here. You can find more information on how to create rent documents in the Creating a Rent Quote or Creating a Rent Contract sections. By clicking on the document number in this column, the respective document is opened.
Rent Object Type Here, select the object type for this job line. You can choose between the Service Item, Item, Resource and Service options.
Rent Object No. Either enter the desired object number directly or select the object from the list. If you select the object from the selection list, the Rent Object Reservation window is displayed where you can select the desired object. You can find more information on reserving (service) items here. If you enter the desired quantity of the object in the Quantity (Base) column, a reservation will be created based on the data in the Rental Project FastTab and the value in the Reservation Exists column will be changed to Yes. If you enter the object number directly, the step regarding the selection in the Rent Object Reservation window is skipped and a reservation will automatically be created based on the data in the Rental Project FastTab and the value in the Reservation Exists column will be changed to Yes. By clicking Yes, the reservation can be opened.
Reservation Exists Shows whether a reservation exists for this job line.

Tip

Once a reservation exists, the respective rent document can be opened via the action Line > Rental > Open Rent Object or Open Rent Document in the menu bar of the Tasks FastTab.

  • Carry out the action Line > Rental > Create Rent Quote or Create Rent Contract via the menu bar of the Tasks FastTab to create the desired rent document.
  • The window Select Project Object opens. Here all objects are listed which were created in the Tasks FastTab for this project.
  • Select the desired objects and confirm your selection with OK.
  • The Rent Class Wizard opens.
  • For further processing the rent quote or rent contract, please proceed as described in the Creating a Rent Quote or Creating a Rent Contract sections.
  • The rent quote or the rent contract is created based on the specified information in the rent project.
  • Once the rent contract is released, the Expected Revenues in the Rent Document Factbox are filled in the project card. These are based on the non-posted invoice plan lines. The Realized Revenues are G/L entries consistent with the rent contract which show the invoiced lines.
