Aptean Equipment DMS x ECM Connect 365

The Aptean Equipment DMS x ECM Connect 365 app extends the Aptean ECM Connect functionality with specific document management features and enables seamless integration between our ERP solution and various document management systems (DMS). This documentation is divided into the following sections:

External Financing - ECM Integration {dms365xecm365-external-financing}

The app fully integrates external financing into the ECM system:

  • Filebox: Drag & drop upload of files directly on the Ext. Financing Card
  • ECM Document Viewer: Display of linked DMS documents directly on the card
  • Open Folder: Direct access to DMS folders (keyboard shortcut: CTRL+ALT+F10)

The link setup and ECM viewer setup are created automatically during installation.

Service Item Line Links {dms365xecm365-sil-links}

This app enables the automatic creation of DMS links for service item lines for use in mobile applications such as Aptean Equipment Mobile Service. The following setup options are available:

Field Function
Set SIL Link from Service Header Link is based on service header data (all lines of an order receive the same link)
Set SIL Link from Service Item Line Link is based on service item line data (each line receives an individual link)

Note

The two options cannot be used simultaneously. For activation, a link setup for the corresponding table with link type Folder must exist.

After setup, the following actions are available:

  • Automatic Update: Links are automatically created/updated when
    • creating a service item line.
    • changing relevant fields (defined in field link setup).
    • changing the service header (if SIL Link from Service Header is enabled).
  • Bulk Update: Report Update SIL Links for subsequent creation of missing links.

You have successfully set up service item line links.

Repair Status Archiving {dms365xecm365-repair-status-archiving}

The app enables automatic archiving of service item worksheets when setting specific repair statuses. To set up this function, follow these setup steps:

  • Enable the Archive on set status field for desired statuses in the Repair Status Setup.
  • Configure and enable the Automatic Archiving Setup for TSRDEC Service Item Wrksh..
  • Set up Service Item Worksheet Report with archiving and default report options in the Report Export Setup.
  • Enable report export in the Aptean ECM Connect Setup.
