Setting up Translations

This chapter contains all important information to set up translations in Aptean Rental. If your company operates internationally, you can store translations for data records, document texts, and report texts in different languages and assign a language code. If this language code is used in a document or report, the corresponding translation is used automatically. This chapter is divided into the following sections:

Translating Rent Classes

This section describes how you can store translations for rent classes. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Rent Classes page.
  • Open the rent class for which you want to add a translation.
  • Click Actions > Translation in the menu bar.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the rent class in the Description field. It cannot exceed 100 characters.

Your entries are saved automatically. You have successfully created a translation for a rent class and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add the rent class.

Translating Rent Packages

This section describes how you can store translations for rent packages. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Rent Packages page.
  • Open the rent package for which you want to add a translation.
  • Click Actions > Translation in the menu bar to translate the name of the rent package.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the rent package in the Description field. It cannot exceed 100 characters.
  • Then, click Actions > Translation Standard Description in the menu bar to translate the description of the rent package.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the rent package description in the Description field. It cannot exceed 80 characters.

Your entries are saved automatically. You have successfully created a translation for a rent package and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add the rent package.

Translating Rent Price Templates

This section describes how you can store translations for rent price templates. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Rent Price Templates page.
  • Mark the rent price template for which you want to add a translation.
  • Click Actions > Translation in the menu bar.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the rent price template in the Description field. It cannot exceed 80 characters.

Your entries are saved automatically. You have successfully created a translation for a rent price template and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you select the rent price template.

Translating Rent Price Lines

This section describes how you can store translations for the price lines of a rent class. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Rent Classes page.
  • Open the rent class for which you want to add a translation of the rent price lines.
  • Navigate to the Price Lines FastTab.
  • Mark the line for which you want to add a translation.
  • Click Translation in the menu bar of the FastTab.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the rent price line in the Description field. It cannot exceed 80 characters.

Your entries are saved automatically. You have successfully created a translation for a rent price line and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add the rent price line.

Translating Consumption Types

This section describes how you can store translations for consumption types. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Consumption Types page.
  • Mark the consumption type for which you want to add a translation.
  • Click Actions > Translation in the menu bar to translate the description of the consumption type.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the rent package in the Description field. It cannot exceed 50 characters.
  • Then, click Actions > Translation Invoice Text in the menu bar of the Consumption Types page to translate the invoice text of the consumption type.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the consumption type invoice text in the Description field. It cannot exceed 80 characters.

Your entries are saved automatically. You have successfully created a translation for a consumption type and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you select the consumption type.

Translating Contract Texts

The following sections describe how you can store translations for contract texts of rent classes and rent packages. To do so, proceed as follows:

Translating Contract Texts for Rent Classes

This section describes how you can store translations for contract texts of rent classes. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Rent Classes page.
  • Open the rent class for which you want to add a translation of the contract texts.
  • Navigate to the Contract Text Lines FastTab.
  • Mark the line for which you want to add a translation.
  • Click Translation in the menu bar of the FastTab.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the contract text in the Description field. It cannot exceed 80 characters.

Your entries are saved automatically. You have successfully created a translation for the contract texts of a rent class and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add the contract text.

Translating Contract Texts for Rent Packages

This section describes how you can store translations for contract texts of rent packages. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Rent Packages page.
  • Open the rent package for which you want to add a translation of the contract texts.
  • Navigate to the Contract Text Lines (Package) FastTab to store a translation for the entire rent package.

  • Mark the line for which you want to add a translation.
  • Click Translation in the menu bar of the FastTab.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the contract text in the Description field. It cannot exceed 80 characters.

Your entries are saved automatically. You have successfully created a translation for the contract texts of a rent package and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add the contract text.

Translating Contract Components

This section describes how you can store translations for contract components of rent classes and rent packages. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Rent Classes or Rent Packages page.
  • Open the rent class or rent package for which you want to add a translation of the contract components.
  • Navigate to the Contract Components FastTab.
  • Mark the line for which you want to add a translation.
  • Click Translation in the menu bar of the FastTab.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the contract component in the Description field. It cannot exceed 80 characters.

Your entries are saved automatically. You have successfully created a translation for a contract component and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add the related rent class or rent package.

Translating GTC Texts

This section describes how you can store translations for GTC texts. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the General Terms & Conditions page.
  • Open the GTC text for which you want to add a translation.
  • Click Translations in the menu bar.
  • Select the desired language code for the translation in the Language Code field.
  • Click Edit in the menu bar.
  • Add the desired translation following the instructions provided in the Creating GTC Texts section.

You have successfully created a translation for a GTC text and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add the GTC text.

Translating Invoice Frequencies

This section describes how you can store translations for the invoice frequencies of rent contracts. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Contract Invoice Frequencies page.
  • Mark the invoice frequency for which you want to add a translation.
  • Click Actions > Translation in the menu bar.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the invoice frequency in the Description field. It cannot exceed 50 characters.

Your entries are saved automatically. You have successfully created a translation for an invoice frequency and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you select the invoice frequency.

Translating Deposit Penalty Codes

This section describes how you can store translations for deposit penalty codes. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Deposit Penalty Reason page.
  • Mark the line for which you want to add a translation.
  • Click Actions > Translation in the menu bar.
  • Select the desired language code for the translation in the Language Code field.
  • Enter the translation of the deposit penalty code in the Description field. It cannot exceed 90 characters.

Your entries are saved automatically. You have successfully created a translation for a deposit penalty code and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you add the deposit penalty code.

Translating Email Templates

This section describes how you can store translations for email templates. To do so, proceed as follows:

  • Use the quick search (ALT+Q) to find the Rent Email Templates page.
  • Mark the email template for which you want to add a translation.
  • Click Translations > Translation in the menu bar.
  • Complete the information according to the following table:
Column Description
Language Code Select the desired language code for the translation.
Subject Enter the desired email subject line.
With attachment Select the checkbox if the email should be sent with an attachment.
Attachment Name Enter the desired name of the attachment file. Attention: It is important to write .pdf behind the name of the attachment file.
Customized Report Select the desired customized report layout.
Report Layout Description Once you select a Customized Report, this field will be filled in automatically by the system.

Your entries are saved automatically. You have successfully created a translation for an email template and assigned a language code. If the language code is selected in a document, the corresponding translation is used automatically when you select the email template.
