Warehouse Shipments and Warehouse Picks

This chapter contains all important information regarding the management of warehouse shipments and warehouse picks our ERP solution. You can use warehouse shipments to confirm the shipment of items from sales documents. Warehouse picks are used to prepare items for shipment. This chapter is divided into the following sections:

Setting up Warehouse Shipments for Locations

In our ERP solution, you can set up for each location whether a warehouse shipment document is required. To do so, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Locations page.
  • Open the location for which a warehouse shipment should be required.
  • Navigate to the Warehouse FastTab.
  • Activate the Require Receive toggle switch.
  • Repeat this process as needed for all relevant locations.

You have successfully set up that a warehouse shipment document is required for a location.

Creating and Posting Warehouse Shipments

Warehouse shipments can be used to record and then post inventory movements of items. This ensures efficient warehouse and inventory management. To create a warehouse shipment, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Warehouse Shipments page.
  • Click on New in the menu bar.

Tip

You can also create a warehouse shipment directly from a sales order or transfer order. To do so, click on Home > Create Warehouse Shipment in the menu bar of the respective document.

  • Fill in the fields in the General FastTab according to the following table:
Field Description
No. This field displays the number of the involved entry or record according to the specified number series. Once you select a different field, this field will be filled in automatically by the system.
Location Code Enter the code of the location from which the items should be shipped.
Zone Code Optional Select the correct zone code from the dropdown list.
Bin Code Optional Select the correct bin where items will be picked or put away from the dropdown list.
Document Status This field specifies the progress level of warehouse handling on lines in the warehouse shipment. It cannot be edited.
Status This field shows the status of the shipment and is filled automatically by the system.
Posting Date This field will be filled in automatically by the system with the current date as the posting date. You can change the date manually. Once the warehouse shipment is posted, the posting date of the source documents is updated automatically.
Assigned User ID Optional Select the ID of the user who is responsible for the document from the dropdown list.
Assignment Date This field specifies the date on which a warehouse shipment was assigned to a user. This field will be filled in automatically by the system once a user has been selected in the Assigned User ID field and cannot be edited.
Assignment Time This field specifies the time at which a warehouse shipment was assigned to a user. This field will be filled in automatically by the system once a user has been selected in the Assigned User ID field and cannot be edited.
Sorting Method Optional Specify whether the shipment should be sorted by item, document, shelf or bin, due date, or destination.
Source Document Type This field specifies the source document type of the warehouse shipment lines and cannot be edited. If there is more than one source document type, the value is set to several.
Source Document No. This field displays the first five source document numbers of the warehouse shipment lines and cannot be edited.
Requested Delivery Date This field displays the earliest requested delivery date of the warehouse shipment line and is filled dynamically by the system. Click in the field to open an overview of the warehouse shipment lines.
Promised Delivery Date This field displays the earliest promised delivery date of the warehouse shipment line and is filled dynamically by the system. Click in the field to open an overview of the warehouse shipment lines.
Separate Pick Activate this toggle switch if warehouse shipments with this shipping agent service should be picked separately instead of being combined with other warehouse shipments into one pick. In this case, a pick needs to be created per warehouse document before shipment.
  • To add items to warehouse shipments, click on Prepare > Get Source Documents in the menu bar.
  • In the following window, select one or more Source Documents.
  • Click OK to confirm your selection. The selected source documents and the items specified in them are then displayed in the Lines FastTab. The shipping address specified in the source documents is transferred to the Ship-to Address FastTab.
  • Navigate to the Shipping FastTab.
  • Complete the information as needed according to the following table:
Field Description
External Document No. Optional Enter the external document number in this field, if the customer or vendor uses a different numbering system. If you enter a value, the source document will be updated during posting. If this field is blank, the original document number is used.
Shipment Date This field specifies the shipment date of the warehouse shipment. If you enter a date, the source document will be updated during posting. If this field is blank, the original shipment date of the source document is used.
Shipping Agent Code Select the desired shipping agent from the dropdown list. This value is not carried over from the source documents because one warehouse shipment can contain lines from many source documents. If you enter a value, the source document will be updated during posting. If this field is blank, the original shipping agent of the source document is used.
Shipping Agent Service Code Select the desired shipping agent service from the dropdown list, e.g., a one-day delivery that is offered by the shipping agent. This value is not carried over from the source documents because one warehouse shipment can contain lines from many source documents. If you enter a value, the source document will be updated during posting. If this field is blank, the original shipping agent service of the source document is used.
Shipment Method Code Select the desired shipment method from the dropdown list, e.g., Free on Board (FOB). This value is not carried over from the source documents because one warehouse shipment can contain lines from many source documents. If you enter a code, the source document will be updated during posting. If this field is blank, the original shipment method of the source document is used.
Package Tracking No. Enter the package number of the shipping agent. After posting the warehouse shipment, this number is updated on the related sales order and the posted sales shipment.
  • To release the warehouse shipment for posting, click Release in the menu bar.
  • Click Start > Post Shipment in the menu bar.
  • In the dialog window, select whether you want to ship, or ship and invoice. Click OK to confirm your selection.

You have successfully posted a warehouse shipment. The locations of the items included in a warehouse shipment can be tracked via the Item Ledger Entry page.

Creating and Registering Warehouse Picks

Note

To use warehouse picks, the following conditions have to be met:

  • The Require Pick toggle switch is activated in the Logistics FastTab on the Location Card.
  • A Shipment Bin Code is specifies in the Bins FastTab on the Location Card.

Warehouse picks are necessary to transfer the items included in a warehouse shipment from their original bins to the shipping bins. To create and register a warehouse pick, please proceed as follows:

  • Use the quick search (ALT+Q) to find the Warehouse Shipments page.
  • Open the Warehouse Shipment for which you want to create a pick.
  • Click on Home > Create Pick in the menu bar.
  • Select the options as needed according to the following table:
Option Description
Assigned User ID Click on the selection field and select the assigned user ID for the warehouse pick.
Sorting Method for Activity Lines Select the desired sorting method for activity lines from the dropdown menu.
Set Breakbulk Filter Activate this toggle switch if the warehouse pick should be filtered for break bulk.
Do Not Fill Qty. to Handle Activate this toggle switch if the Qty. to Handle field should not be prefilled automatically.
Prioritize lines with item tracking Activate this toggle switch if warehouse pick lines for which item tracking has been set up should be prioritized.
Print Document Select this toggle switch if the warehouse pick should be printed as a document.
Show Summary (Directed Put-away and Pick) Activate this toggle switch if a summary should be displayed after creating warehouse pick lines.
  • Click OK to confirm your entries.
  • Confirm the following dialog window with OK.
  • Click Shipment > Pick Lines in the menu bar to display an overview of the Warehouse Activity Lines that have been created.
  • Select the desired line and click Show Document in the menu bar to open the corresponding picking document.
  • Navigate to the Lines FastTab and ensure that for each Item No. a Take and a Place exist as Action Type.
  • Click on Home > Register Pick in the menu bar to register the warehouse pick.
  • Confirm the following dialog window with Yes.

You have successfully created and registered a warehouse pick. You can now process the items of the related warehouse shipment as usual.

Setting up Automatic Picking

You can automate the creation of picking documents. This eliminates the need to manually perform the Get Source Documents and Create Pick actions. This automation significantly optimizes and simplifies warehouse and inventory management. Proceed as follows to set up the automatic picking:

  • Use the quick search (ALT+Q) to find the Warehouse Worksheet Templates page.
  • Click on New in the menu bar to create a new warehouse worksheet template.
  • Complete the information according to the following table:
Field Description
Name Enter a unique name for the template.
Description Enter a significant description for the template.
Type Select the Pick option from the dropdown menu.
Page ID Select the ID of the Pick Worksheets page from the dropdown list.
Page Caption This field is automatically filled in with the description of the selected Page ID.
  • Click Names in the menu bar.
  • Select the Automatic Picking checkbox on the line of the desired Location Code.
  • Click Automatic Picking Parameters in the menu bar. If you cannot find the option, click on the selection field.
  • Select the options as needed according to the following table:

Per Whse. Document Activate this toggle switch if the automatic warehouse pick should be performed per warehouse document.
Per Cust./Vend./Loc. Activate this toggle switch if the automatic warehouse pick should be performed per customer/vendor/location.
Per Cust./Ship-To Activate this toggle switch if the automatic warehouse pick should be performed per customer/ship-to address.
Per Shipping Agent Activate this toggle switch if the automatic warehouse pick should be performed per shipping agent.
Per Shipping Agent/Service Activate this toggle switch if the automatic warehouse pick should be performed per shipping agent/service.
Per Item Activate this toggle switch if the automatic warehouse pick should be performed per item.
Per From Zone Activate this toggle switch if the automatic warehouse pick should be performed per zone.
Per Bin Activate this toggle switch if the automatic warehouse pick should be performed per bin.
Per Due Date Activate this toggle switch if the automatic warehouse pick should be performed per due date.
Max. No. of Pick Lines Enter the maximum number of pick lines per automatic warehouse pick.
Max. No. of Pick Source Docs Enter the maximum number of pick source documents per automatic warehouse pick.
Assigned User ID Click on the selection field and select the assigned user ID for the automatic warehouse pick.
Sorting Method for Pick Lines Specify whether the pick lines should be sorted by item, document, shelf or bin, due date, destination, bin ranking, or action type.
Set Breakbulk Filter Activate this toggle switch if the automatic warehouse pick should be filtered for break bulk.
Do Not Fill Qty. to Handle Activate this toggle switch if the Qty. to Handle field should not be prefilled automatically.
Print Pick Activate this toggle switch if the automatic warehouse pick should be printed as a report.
  • Then, click Create Job Queue Entry in the menu bar to create a job queue entry for the automatic warehouse pick.

The automatic warehouse pick has been successfully set up for a warehouse worksheet. The created job queue entry is then executed daily at five-minute intervals.
