Commission
This chapter describes how to set up the commission module and how to calculate and post commissions for your salespeople.
The commission module calculates sales commissions automatically based on posted sales and service documents. Our ERP solution identifies the salesperson eligible for commission using dimensions. Each posted sales line is automatically assigned the salesperson dimension of the salesperson specified in the document. When creating a commission document, our ERP solution uses this dimension to assign each line to the correct salesperson. If the dimension in the posted line differs from the salesperson dimension stored for that salesperson, no commission is calculated for that salesperson.
There are two types of commissions available, which must be specified during setup:
- Collectible Commission: The commission is calculated based on the cumulative sales total for a defined period. If a salesperson reaches certain sales thresholds, their commission rate increases in stages.
- Business Transaction Commission: The commission is calculated separately for each sale. Each salesperson is assigned a default commission rate per order, which can be adjusted individually as needed.

By default, the commission module processes only posted sales documents for which the corresponding invoice has already been paid. Documents that have been released or posted but not yet paid are transferred to the commission document but are not processed.

Setting up Salesperson Dimensions
The assignment of which salesperson receives the commission for a document is handled entirely through the salesperson dimension. In order for our ERP solution to identify a salesperson, a dimension value must be stored on the salesperson card. When a salesperson is entered in a document, our ERP solution automatically transfers this dimension value to the document lines and writes it into the posted entries during posting. Using this dimension value, our ERP solution assigns each sale to the correct salesperson when creating the commission document.
Important
This is a common source of errors when posting commissions. If there is no or a differing salesperson dimension in the posted line, our ERP solution cannot find a salesperson and will not calculate a commission. If a commission is missing, first check whether the salesperson dimension is set correctly in the posted sales line.
To store a salesperson dimension on a salesperson, proceed as follows:
- Use the quick search (ALT+Q) to find the Salespeople/Purchasers page.
- Open the relevant salesperson or create a new one.
- Click Salesperson > Dimensions in the menu bar.
- Enter the relevant value in the Dimension Code field, e.g., Salesperson.
- Enter the corresponding code for the salesperson in the Dimension Value Code field (e.g., MMU for Max Mustermann).
You have successfully stored the salesperson dimension. Our ERP solution will now automatically apply this dimension value to all document lines that include this salesperson. You can also use automatic dimension allocation to automatically allocate the appropriate salesperson dimension value to newly created salespeople for commission calculation.
Tip
The pre-filled dimension can be manually changed for each document line. If, e.g., the sales header contains the dimension MMU, but a line contains PMA, the salesperson with the dimension value PMA receives the commission for that line. The salesperson dimension of the sales line is always the determining factor, not the one in the document header.
Setting up the Commission Functionality
This section describes how to set up the commission functionality. To do so, proceed as follows:
- Use the quick search (ALT+Q) to find the Commission Setup page.
- Make the necessary settings according to the following table:

You have successfully completed the basic setup of the commission function. Your changes are saved automatically.
Important
If you activate or deactivate the commission feature via the Active toggle switch or activate the advanced commission feature, our ERP solution may notify you that the change will not take effect until you log out and log back in. In this case, please log out and log back in, as otherwise certain functions (e.g., the lines in the summation setup) will not be displayed.
Setting up Commission Calculation Methods
To set up commission calculation methods on the Commission Setup page, proceed as follows:
- Click Home > Calculation Methods in the menu bar.
- Click New in the menu bar to create a new calculation method.
- Fill in the columns according to the following table:

| Default Calculation | Select the method for determining commission revenue and commission contribution margin from the dropdown menu, e.g., Machine for machine-based commission, Quantity for quantity-based commission, Fixed Amount for a fixed commission revenue, Net Payment for commission based on net revenue, or Standard. If you select the Quantity option, it must also be selected in the Default Commission Type column. |
| Default Commission Type | Select whether the Commission will be awarded by default based on Revenue, Contribution Margin, Single Payment, or Quantity sold. If you select the Quantity option, it must also be selected in the Default Calculation column. |
| Wait for Payment | Select this checkbox if commission lines created using this calculation method should be posted only after the corresponding sales document has been paid in full. If this checkbox is cleared, commission lines can be posted even if the sales document has not yet been paid in full. Please consider that this setting may be overridden by the commission summation settings. The settings defined there for creating commissions for unpaid documents always take precedence. |

You have successfully set up the commission calculation method. Your changes are saved automatically. You can set up additional commission calculation methods as needed. The calculation methods can now be assigned to different order types on the Order Types page. More information on order types can be found in the Setting up Order Types chapter.
Process Example
The following examples illustrate the difference between the calculation methods. Scenario: You buy a package of screws for 9.00 € and sell it for 10.00 €.

This calculation uses the calculated unit price from the actual calculation review as the basis for calculation instead of the inventory value. The calculated unit price can differ from the inventory value, e.g., if service work was recorded in the calculation review prior to the sale.
Example: You buy a machine for 100,000.00 €. In the calculation review, an additional 4,850.00 € in service costs is recorded. The inventory value is 100,000.00 €, the calculated unit price is 104,850.00 €. With a sales price of 120,000.00 €, the contribution margin is 15,150.00 € (machine) instead of 20,000.00 € (default). For the calculation review to be used as the basis for calculation, it must have the approved status. If additional costs are entered in the calculation review after it has been approved, the calculation review must be approved again so that our ERP solution uses the updated contribution margin for commission calculation.
If you have linked a trade-in to a machine sale, you can use the default calculation Net Amount calculation. This calculates the commission based on the net payment, i.e., the sales price minus the trade-in value. If you, e.g., sell a machine for 110,000.00 € and accept a used machine worth 30,000.00 € as a trade-in, our ERP solution calculates the commission based on 80,000.00 €. The prerequisite is that the CPQ is linked to a trade-in.
Storing Calculation Methods on Order Types
Instead of using a single default calculation method, you can specify which calculation method should be used for each order type. You can, e.g., set commissions for machine sales based on the contribution margin and for spare parts sales based on sales revenue. Proceed as follows:
- Use the quick search (ALT+Q) to find the Order Types page.
- Open the desired order type (e.g., MACH SALE for machine sales).
- Select the desired calculation method un the Commission Calculation field.
You have successfully stored a calculation method on an order type. More information on setting up order types this can be found under Setting Up Order Types.
Tip
If the Multiple Commissions per Document toggle switch is activated in the Commission Setup, you can store multiple calculation methods for a single order type at the same time, e.g., a contribution margin commission and a quantity-based commission for the same order type.
Setting up Commission Groups
You can use commission groups to define commission stages. If you use the advanced commission functions, you can assign the respective percentages to the summation here. You can then assign a commission group to salespeople. To set up a commission group, proceed as follows:
- Use the quick search (ALT+Q) to find the Commission Groups page.
- To set up a new commission group, click on New in the menu bar.
- Enter a unique name for the commission group in the Group Code field.
- Enter a significant description for the commission group in the Description field.
- To add different commission percentages to the commission group, click on Commission % in the menu bar.
- Click on New in the menu bar of the following window to define a new percentage.
- Fill in the columns according to the following table:

| Summation Name | This field is only displayed if you use advanced commission. Select a Commission Summation for which the commission percentages should apply. |
| Quantity Commission | Select the checkbox if you want to set up the group for quantity-based commission. If the checkbox is selected, a fixed commission amount is calculated in the Commission Percentage / Unit Price field instead of a commission percentage. |
| Salesperson Type | Enter the salesperson for whom the commission percentage in the Commission Percentage / Unit Price column should apply, e.g., Salesperson 1. This is relevant if you want to use different percentages in the case of multiple salespeople. |
| Minimum Amount / Minimum Quantity | Enter the minimum amount/quantity from which the commission percentage rate should apply. Each new period must start with a line where the Minimum Amount / Minimum Quantity is 0. |
| Commission Percentage / Unit Price | Enter the commission percentage or amount per sold unit. |
| Ending Date | Enter the end date for the commission percentage. |
You have successfully set up a commission group including the commission percentages. You can set up additional commission groups and commission percentages as needed. You can now assign commission groups to salespeople via the Salespeople/Purchasers page.
Storing Commission Percentages on Salespeople
Warning!
A percentage that is stored on a salesperson applies to all commissions for that salesperson. If different percentages are to apply to different commissions (e.g., 12 % on machine sales but 5 % on spare parts), you must not store a percentage on a salesperson. In this case, use the advanced commission functions described below.
If all commissions of a salesperson should be calculated using the same percentage, you can store it directly on the salesperson card. Proceed as follows:
- Use the quick search (ALT+Q) to find the Salespeople/Purchasers page.
- Open the relevant salesperson.
- Click Commission % in the menu bar.
- Click New and enter the desired percentage in the Commission % field (e.g., 12).
You have successfully stored a commission percentage on a salesperson.

Setting up the Advanced Commission Functionality
Use the advanced commission functions if you want to set different commission percentages based on specific criteria. That way, e.g., spare part sales can have a 5 % commission rate and machine sales can have a 2 % commission rate. The following setup steps are available if you activated advanced commission.
Setting up Commission Summations

- Click Advanced Setup > Summation Setup in the menu bar.
- To create a new commission summation click on New.
- A new Commission Summation Setup Card is displayed.
- In the the General FastTab, fill in all necessary information according to the following table:

| Ending Date | Optional Specify the date up to which our ERP solution should filter for the documents relevant to the specific commission summation. |
| Parent Summation No. | Optional If applicable, enter the parent summation number. |
| Wait for Payment | Activate this toggle switch if commission lines created using this commission summation should be posted only after the corresponding sales document has been paid in full. If this toggle switch is deactivated, commission lines can be posted even if the sales document has not yet been paid in full. Please consider that this setting always takes precedence over the corresponding setting in the specified commission calculation method. |
| Include Location Margin % | Optional Activate this toggle switch if the location margin % should also be taken into account for the commission calculation. |

- Next, assign commission fields to the summation in the Lines FastTab. These fields are then used as filters by our ERP solution to determine which documents are eligible for the commission summation.
- Once you have made all necessary settings, you can activate the Active toggle switch in the General FastTab.
You have successfully set up the commission summation. Your changes are saved automatically. You can now close the page or set up more commission summations.
Setting up Commission Fields
Commission fields allow you to set up different filters. These filters will then be used by our ERP solution to filter for documents that are relevant for a specific commission calculation. To set up commission fields on the Commission Setup page, proceed as follows:
- Click Advanced Setup > Field Setup in the menu bar.
- Fill in the columns according to the following table:

| Source Type | Enter the source of the value to be used for filtering, e.g., Dimension if you want to filter by a specific dimension or Service Item if you want to define filter criteria for specific fields on the service item card. |
| Description | Enter a significant description, e.g., TRACTOR, if you want to grant a commission on all tractor sales. |
| Dimension Code | If you select the Dimension option in the Source Type field, enter a dimension code, e.g., Category, so that our ERP solution will filter for the Category dimension. |
| Field No. | If you select a value for Source Type for which fields can be specified, e.g., Service Item, Item Field, or Resource Field, you can use this column to specify whether the commission field should be filled with a field value. |

Creating Commission Documents
Note
To be able to create commission documents for service and sales documents, the following preconditions have to be met:
+The commission function including commission groups is set up.
- At least one salesperson is assigned to the service or sales document in the dimensions, and that salesperson must have either a commission percentage or an applicable commission group code assigned to them.
- A commission calculation method is stored in the Commission Calculation field on the Order Types page for the order type specified in the service or sales document.
To create commission documents for service and sales documents, proceed as follows:
- Use the quick search (ALT+Q) to find the Commission Document List page.
- Click Create > Create Documents in the menu bar.
- Fill in the fields according to the information in the following table:

| Document No. Filter | Optional Enter a document number, if you want to filter for documents with this document number. |
- Click OK to confirm your entries. A new commission document will be created.
- Open the commission document.
- Navigate to the Lines FastTab.
- Check the details based on the information in the following table and make changes as needed. Editable fields are highlighted in bold.

If you have set up commission fields, they are also displayed in the following table.

| Exclude | Select the checkbox if you want to permanently exclude the line from commission calculations. The line will be archived when the commission document is posted and will no longer appear in any future commission documents. If you want to temporarily remove a line from the current document and include it again in the next calculation run, use the Delete Line function in the menu bar of the Lines FastTab instead. To exclude a salesperson from any commission calculation, follow the instructions in the Excluding Salesperson from Commission section. |
| Line Type | This column specifies the type of transaction that was posted on the document line, e.g., Item, Resource, Item Charge, G/L Account, or Fixed Asset. |

| Summation Starting Date | This column displays the starting date for the summation. |
| Provision Line Status | This column displays the payment status of the corresponding document line. Lines with the Unpaid status are highlighted in red and cannot be posted. Lines with the OK status have already been paid and can be posted. |
Note
You can manually release unpaid commission lines for posting by opening the corresponding invoice or credit memo and clicking Invoice or Credit Memo in the menu bar, then clicking Release for Commission. This sets the Commission Line Status to OK, and you can continue processing the commission document as usual.
- Click Status > Release in the menu bar to release the document.
- Close the document to return to the Commission Document List.
- Then, click Post > Post in the menu bar to post the commission document.
- Confirm the following dialog window with OK.
- Confirm another dialog window with Yes, if you want to open the posted commission document.
You have successfully created a commission document for a service or sales document. With collectible commission, a separate commission line is created for each commission summation; with business transaction commission, a separate commission line is created for each order.
Correcting Commission Documents
Note
Before you can correct commission documents, you must configure this setting for the user. You’ll find more information on this here.
You have the option to correct en incorrect commission document. To do so, proceed as follows:
- Use the quick search (ALT+Q) to find the Commission Document List page.
- Select the commission document you want to correct.
- Click Create > Create Correction Document in the menu bar.
- In the Commission Calculation Date field, select the date for recalculating the commission.
- Complete the information according to the following table:

| Posted Doc. Type | This column is filled automatically by the system, but can be edited as needed. It specifies the posted document type, e.g., Sales Order or Sales Credit Memo. |
| Posted Doc. No. | Click on the selection field, select the number of the posted document for which the commission should be calculated, and confirm your selection with OK. |
| Posted Doc. Line No. | Click on the selection field, select the number of the posted document line for which the commission should be calculated, and confirm your selection with OK. |
| Sell-to Customer No. | This column is filled automatically by the system once you select a Posted Doc. Line No. and specifies the customer number from the corresponding sales document. |
| Service Item No. | This column is filled automatically by the system once you select a Posted Doc. Line No. and specifies the corresponding service item number. |
- Click OK to confirm your entries. The commission correction is processed and you will be redirected to the Commission Document List automatically.
You have successfully corrected a commission document. The correction document can be opened via the Commission Document List page.
Excluding Salesperson from Commission
You can specify on the salesperson card that the salesperson in question is blocked for commissions, i.e., excluded from any commission payments. To do so, proceed as follows:
- Use the quick search (ALT+Q) to find the Salespeople/Purchasers page.
- Open the salesperson you want to exclude from commission payments.
- Activate the Exclude from Commission toggle switch in the General FastTab.
You have successfully excluded the salesperson from commission payments. The next sections describes how to access the commission overview of a salesperson.
Accessing Commission Overview on the Salesperson Card
To get an overview over all commission sums and commission lines of a salesperson, proceed as follows:
- Use the quick search (ALT+Q) to find the Salespeople/Purchasers page.
- Open a salesperson/purchaser card.
- Click Salesperson > Commission Overview in the menu bar.
You have successfully accessed the Commission Overview of a salesperson, where you can view their current commissions, commission amounts paid, and active commission lines. To view archived commission lines for the salesperson, click on View History in the menu bar and navigate to the newly displayed Archived Commission Lines FastTab.
Process Examples (Business Transaction Commission)
This section describes three typical commission processes, from setup to posting the commission document. Each example includes all relevant setup steps so that the entire process can be understood.

Process Example
Scenario: Salesperson Thomas Müller sells a tractor. Purchase Price: 80,000.00 €, Sales Price: 100,000.00 €. He receives 5 % commission on the contribution margin. No advanced setups such as summations or commission fields are required.
Step 1: Basic commission setup
- Use the quick search (ALT+Q) to find the Commission Setup page.
- Deactivate the Active toggle switch to make the fields editable.
- Enter the dimension code of the salesperson in the Salesperson Dimension field, e.g., SALESPERSON.
- Enter the desired time period in the Selection Period field, e.g., -1M for the last 30 days.
- Reactivate the Active toggle switch.
Step 2: Create calculation method
- Click Home > Calculation Methods in the menu bar of the Commission Setup.
- Click New.
- Enter the CONTRIBUTION MARGIN value in the Calculation Code field.
- Select the Default value in the Default Calculation field.
- Select the Contribution Margin value in the Default Commission Type field.
Step 3: Store calculation method on order type
- Use the quick search (ALT+Q) to find the Order Types page.
- Open the order type used for the machine sale and enter the DEFAULT code in the Commission Calculation field.
Step 4: Store default dimension on salesperson
- Use the quick search (ALT+Q) to find the Salespeople/Purchasers page.
- Open the card of Thomas Müller.
- Click on Salesperson > Dimensions in the menu bar.
- Store the SALESPERSON dimension code with the corresponding dimension value for Thomas Müller.
Step 5: Create commission group and assign to salesperson
- Use the quick search (ALT+Q) to find the Commission Groups page.
- Click New in the menu bar and enter the DEFAULT group code.
- Click Commission Percentage in the menu bar, then click New.
- Enter a date in the Starting Date field from which the commission rate should apply.
- Enter 5 in the Commission % / Unit Price field.
- Close the window and reopen the card of Thomas Müller on the Salesperson/Purchaser page.
- Enter the DEFAULT code in the Commission Group field.
Step 6: Create and post a sales order
- Create a sales order using the set-up order type and Thomas Müller as the salesperson.
- Enter the tractor and its selling price of 100,000 €, in the lines.
- Post the sales order.
Step 7: Create, review, and post a commission document
- Use the quick search (ALT+Q) to find the Commission Document List page.
- Click Create > Create Documents in the menu bar, enter the relevant time period and confirm with OK.
- Open the desired commission document and navigate to the Lines FastTab.
- Out ERP solution shows a line for Thomas Müller. The Commission Base Amount/Quantity column shows the contribution margin of 20,000.00 € (unit price 100,000.00 € − unit cost 80,000.00 €). The Commission Percentage / Unit Price column has the value 5, and the Commission Amount column shows the calculated amount of 1,000.00 €.
- Click Status > Release in the menu bar.
- Click Post > Post and confirm the dialog windows.
Thomas Müller receives a commission of 1,000.00 € for this machine sale.
Calculating Commission on Net Payment
Process Example
Scenario: Salesperson Klaus Schmidt sells a Case tractor for 285,000.00 € and accepts a used machine worth 30,000.00 € as a trade-in. The 2 % commission should be calculated not on the full sales price, but only on the net payment (sales price minus trade-in value). Requirement: The posted sales order must be linked to the posted trade-in before the commission document is created.
Step 1: Create calculation method for net amount
- Use the quick search (ALT+Q) to find the Commission Setup page.
- Click Home > Calculation Methods in the menu bar, then click New.
- Enter the NET value in the Calculation Code field.
- Select the Net Amount value in the Default Calculation field.
- Select the Revenue value in the Default Commission Type field.
Step 2: Store calculation method on order type
- Use the quick search (ALT+Q) to find the Order Types page.
- Store the code NET in the Commission Calculation field of the used order type.
Step 3: Create commission group and assign to salesperson
- Use the quick search (ALT+Q) to find the Commission Groups page.
- Click New and enter the NET-GROUP group code.
- Click Commission %, then click New.
- Enter a date in the Starting Date field from which the commission rate should apply.
- Enter 2 in the Commission % / Unit Price field.
- Open the card of Klaus Schmidt on the Salespeople/Purchasers page and enter the NET-GROUP code in the Commission Group field.
Step 4: Create CQP
- Crreate a CPQ with a calculation worksheet for the Case tractor. In the calculation worksheet, select the Trade-In return type.
Step 5: Create and post sales order.
- Create a sales order from the calculation worksheet for the Case tractor with a sales price of 285,000.00 €.
- Assign Klaus Schmidt as salesperson.
- Post the sales order.
Step 6: Create and post trade-in
- From the calculation worksheet, create the trade-in for the used machine with a trade-in price of 30,000.00 €.
- Post the trade-in.
Step 7: Create, review, and post a commission document
- Use the quick search (ALT+Q) to find the Commission Document List page.
- Click Create > Create Documents, enter the relevant time period and confirm with OK.
- Open the commission document and review the calculation in the Lines FastTab: The net payment of 255,000.00 € (285,000.00 € − 30,000.00 €) is calculated as the Commission Base Amount. At a 2 % commission rate, this results in a Commission Amount of 5,100.00 €.
- Click Status > Release, then click Post > Post.
Klaus Schmidt will receive a commission of 5,100.00 € for this sale, calculated based on the net payment.
Calculating Advanced Commissions with Summation and Grouping
Process Example
Scenario: Salesperson Maria Bauer is to receive a 7% commission on the calculated contribution margin for the sale of a new machine. In addition, she receives a 50 € bonus for machines manufactured by Liebherr.
Step 1: Activate advanced commission
- Use the quick search (ALT+Q) to find the Commission Setup page.
- Deactivate the Active toggle switch.
- Activate the Advanced Commission Active toggle switch.
- Reactivate the Active toggle switch.
Step 2: Create calculation methods
- Click Home > Calculation Methods in the menu bar, then click New.
- Enter the MACHINE value in the Calculation Method field.
- Select the Machine value in the Default Calculation field.
- Select the Contribution Margin value in the Default Commission Type field.
- Click New again.
- Enter the BONUS value in the Calculation Code field.
- Select the Quantity value in the Default Calculation field.
- Select the Quantity value in the Default Commission Type field.
Step 3: Set up commission fields
- Click Advanced Setup > Field Setup in the menu bar, then click New.
- Set up a commission field for the new machine: Select the Dimension value as Source Type and enter the dimension code used for new machines in the Dimension Code field. Enter New/Used in the Description field.
- Set up another commission field for the manufacturer: Select the Service Item value as Source Type and enter the manufacturer field value in the Field No. field. Enter Manufacturer in the Description field.
Step 4: Set up commission summations
- Click Advanced Setup > Summation Setup in the menu bar, then click New.
- The Commission Summation Setup Card opens.
- Enter the DB-MACHINE value in the Summation No. field.
- Select the MACHINE method in the Commission Calculation Method field.
- Select the Contribution Margin value in the Default Commission Type field.
- In the Lines FastTab, assign the New/Used commission field to the summation and enter the dimension value for new machines in the Filter Value field. Our ERP solution uses this field as a filter to determine which document line belongs to the summation.
- Activate the Active toggle switch to activate the summation.
- Create another summation.
- Enter the BONUS-LIEBHERR value in the Summation No. field.
- Select the Bonus method in the Commission Calculation Method field.
- Select the Quantity value in the Commission Type field.
- In the Lines FastTab, assign the Manufacturer commission field to the summation and enter the manufacturer core for Liebherr in the Filter Value field.
- Activate the Active toggle switch to activate the summation.
Step 5: Create commission group and assign to salesperson
- Use the quick search (ALT+Q) to find the Commission Groups page.
- Click New and enter the group code DB+BONUS.
- Click Commission %.
- Create a new line.
- Select the DB-MACHINE summation in the Summation Name field.
- Enter 7 in the Commission % / Unit Price field.
- Create another line.
- Select the BONUS-LIEBHERR summation in the Summation Name field.
- Enter 50 in the Commission % / Unit Price field.
- Open the card of Maria Bauer on the Salespeople/Purchasers page and enter the NET-GROUP code in the Commission Group field.
Step 6: Create and post a sales order- Create a sales order using the set-up order type and Maria Bauer as the salesperson.
- Enter the new Liebherr machine and its desired selling price, e.g., 100,000 €, in the lines. The calculated contribution margin is then determined based on the difference between the selling price and the unit price in the calculation review. If the calculated unit cost is, e.g., 95,000 €, the calculated contribution margin is 5,000 €.
- Post the sales order.
Step 7: Create, review, and post a commission document- Use the quick search (ALT+Q) to find the Commission Document List page.
- Click Create > Create Documents, enter the relevant time period and confirm with OK.
- Open the commission document and review the calculation in the Lines FastTab:
- Click Status > Release, then click Post > Post.
Maria Bauer receives a commission of 400 € for this transaction, calculated using the commission percentage applied to the calculated contribution margin (350 €) plus the bonus (50 €).
