Requisition Worksheets

In our ERP solution, you have the option to create purchase orders either manually or automate the process through the requisition worksheet. The requisition worksheet plays a central role in the automation of routine activities when determining and covering demands. Based on these determined demands, the requisition worksheet automatically generates purchase order lines that can be transferred to a purchase order or request after checking. Tip

You have the option to modify the vendor for any purchase order, even after the items have been posted to inventory and potentially resold. To change the vendor, navigate to the Pay-to field in the Shipping and Payment FastTab and choose the option Another Vendor. Then, input the details of the new vendor into the Name field. This adjustment will also automatically update the vendor details on the posted purchase receipt to reflect the new vendor information.

Creating Purchase Order via Requisition Worksheet

To create purchase order via the requisition worksheet, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Requisition Worksheets.
  • Select the right requisition worksheet from the Name field.

Tip

To create a new requisition worksheet name, click New in the menu bar and enter a unique Name and a significant Description, such as DROP and Drop Shipping.

  • Click Start > Calculate Plan in the menu bar.
  • Fill in the fields in the Options FastTab according to the following table:
Field Description
Starting Date Enter the date that should be uses for new orders. This date is used to evaluate the inventory.
Ending Date Enter the date where the planning period should end. Demand is not included beyond this date.
Use Forecast Select a forecast that should be included as demand when running the planning batch job..
Exclude Forecast Before Enter a date before which forecast demand is not included to specify how much of the selected forecast should be included.
Respect Planning Parameters for Supply Triggered by Safety Stock Activate the toggle swith if planning lines triggered by safety stock should respect the following planning parameters: Reorder Point, Reorder Quantity, Reorder Point, and Maximum Inventory in addition to all order modifiers. If you do not activate this toggle switch, planning lines triggered by safety stock will only cover the exact demand quantity.
Price Calculation Method Select the desired price calculation method from the dropdown menu.
  • Optional In the Filter: Items FastTab, add filters as needed.
  • Check all information and click OK to calculate the demands.
  • The items that need to be ordered will be written as different lines into the requisition worksheet.

Tip

If there is already an open purchase order for the same vendor and location, you can select it in the Open Purchase Order No. column here. This helps you avoid having to create and post two purchase orders. Once you enter a purchase order, the Action Message field will change to Add, and the open purchase order will be added to the newly created order when the action message is executed.

  • To create purchase orders for these lines, click on Start > Carry Out Action Message.
  • Activate the Print Orders toggle switch if new purchase orders should be printed after creation.
  • Activate the Show Open Orders Req. Worksheet toggle switch if the requisition worksheet for open documents should be opened after the report has been executed.
  • If needed, enter a responsibility center in the Resp. Center for New Purchase Orders field. The responsibility center will then be transferred to newly created purchase orders.
  • Confirm the dialog with OK.
  • If you have activated the Show Open Orders Req. Worksheet toggle switch, the page Open Req. Worksheet Orders will be displayed. If you haven't activated this toggle switch, the purchase orders will be created in the background.
  • To open a purchase order, click on Open Order in the menu bar.
  • You can now further process the purchase order.

Tip

You can set a fixed minimum order amount for vendors, which must be met for every order. This value will be displayed in the requisition worksheet in the Vendor Details - Replenishment FastTab. To establish a minimum order amount for a vendor, enter the desired amount in the Parts Minimum Order Amount field on the vendor card. The FastTab also provides a view of all vendor-specific pricing and procurement information stored at the item.

Setting up Automatic Requisition Worksheets

In our ERP solution, you have the option of automating the execution of the Calculate Plan function in requisition worksheets so that the process is carried out automatically in the background in form of a job queue. This process automatically generates purchase order lines for purchase orders based on a set schedule, sparing users from the need to manually execute the function or await the completion of the report - a process that can take some time depending on the size of the business. To set up automatic requisition worksheets, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Calc. Plan Background Setup.
  • In the menu bar, click on New to define a new process for the automatic generation of purchase order lines.
  • Complete the columns according to the table below.
Column Description
Code Enter a code, e.g. for a manufacturer.
Description Enter a clear description.
Starting Time Specify a starting time for the execution of the function.
Req. Worksheet Template Specify a requisition worksheet template for the execution of the function.
Req. Worksheet Name Specify a requisition worksheet for the execution of the function.
Ending Date Specify a formula for the ending date.
Use Calculation Worksheet If needed, enter a calculation worksheet that should be included as demand when running the planning batch job.
‌Excude Calculation Worksheet Before If needed, specify a cut-off date before which calculation worksheet demand should not be considered.
Respect Planning Parameters for Supply Triggered by Safety Stock If you select this checkbox, the planning lines triggered by the safety stock will take into account the following planning parameters: Reorder point, reorder quantity, maximum inventory as well as all order modifiers.
Price Calculation Method If needed, enter a price calculation method.
Filter Totals By Location Specify a location if the execution of the function should be limited to a specific location.
Duration Last Run This field will be filled out by the system and shows the duration of the last job queue run.
  • In the menu bar, click on Actions > Setup Calc. Plan Paramters for the newly created line.
  • Fill in the required fields as needed.
  • To save your entries, click OK. This will not execute the report directly. Instead, the new request page saves the entered parameters and filter options for the user data. If the user later uses the Calculate Plan... function in the requisition worksheet and an existing setup is available, the fields will automatically be prefilled with the previously saved values.
  • To now set up the automatic creation of purchase order lines via a job queue, click on Actions > Create Job Queue Entry in the menu bar.

You have successfully set up the automatic creation of purchase order lines via a job queue.

Tip

If required, you can view a log that shows more information regarding the job queue runs. To open the log, select a line on the Calc. Plan Background Setup page and click on Actions > Log in the menu bar.

Setting up Order Type Mapping for Requisition Worksheets

In our ERP solution, you have the option to map sales order types and purchase order types individually for each vendor. This way, orders created via sales orders, service orders, or requisition worksheets automatically trigger the creation of corresponding purchase orders – provided that the corresponding mappings are stored for the vendor. Additionally, the automatic reservation of items for the set up order type mapping can be activated and the lead time for orders can be specified. This chapter provides all important information regarding order type mapping for orders and requisition worksheets. Please proceed as follows to set up an order type mapping for requisition worksheets:

  • Use the quick search (ALT+Q) to find the Order Type Mapping for Requisition Worksheets page.
  • Click on New in the menu bar.
  • Complete the columns according to the table below.
Column Description
Vendor No. Select the vendor for whom the order type mapping shall be set up.
Vendor Name This field is filled in with the vendor name of the selected vendor.
Period Until Enter a date formula that is to be used when creating purchase orders via a requisition worksheet. The formula is added to the work date to distribute the lines of the requisition worksheet to the individual orders.
Order Type Purchase Enter an order type. If you create a purchase order with this order type via a requisition worksheet, the lead time will be used to calculate the receipt date.
Reserve automatically Select this checkbox if an item with the status Optional or Yes should be reserved automatically when executing the Carry Out Action Message function. For more information on the reservation of items, read the Setting up Stockkeeping Data on Items section.
Lead Time Calculation Enter a lead time for the vendor, e. g. 5D if the lead time is 5 days. The lead time will be multiplied with the workdate to calculate the Expected Receipt Date For more information on this, read the Adding Lead Time for Purchase Orders created via Req. Worksheets to Vendors section.

Tip

Instead of globally accessing the page and manually selecting the vendor, you can also open the Order Type Mapping for Requisition Worksheets page directly from the vendor card. This automatically applies a filter for the selected vendor. To do so, click on Related > Vendor > Order Type Mapping for Req. Worksheets in the menu bar.

Adding Lead Time for Purchase Orders created via Req. Worksheets to Vendors

In our ERP solution, you can store lead times for specific order types at the vendor. The lead time will be used to calculate the Expected Receipt Date on the purchase order. This functionality proves valuable in scenarios where certain vendors ship from distant locations, resulting in longer delivery times. You can also specify whether items should be reserved automatically during the procurement process. To add a lead time for purchase orders that are automatically created via the req. worksheets to a vendor, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Vendors in the ERP solution.
  • A list containing all vendors is displayed.
  • Open the vendor you would like to add a specific lead time to.
  • The vendor card of the selected vendor is displayed.
  • In the menu bar, click on Related > Vendor > Order Type Mapping for Req. Worksheets.
  • The Order Type Mapping for Req. Worksheets is displayed.
  • Complete the columns according to the table below.
Column Description
Vendor No. This field will be filled in by the system with the vendor number of the selected vendor.
Vendor Name This field will be filled in by the system with the vendor name of the selected vendor.
Period Until Enter a date formula for the period the system should take into account when creating purchase orders from a req. worksheet.
Order Type Purchase Enter an order type. If a purchase order is created via the req. worksheets with the order type written in this field, the lead time will be used to calculate the receipt date.

You have successfully set up a lead time for a vendor. If a Purchase order is created via a Req. Worksheet based on the chosen order types, the Expected Receipt Date on the purchase order will be calculated using the workdate and the lead time.
