Machine Creation
This chapter contains all relevant information regarding machine creation. This chapter is divided into the following sections:
Creating Machines
Please proceed as follows to create a machine:
- Click on New Machine in the action bar.
- A new Machine card is displayed.
- In the General FastTab, fill out the following fields:

If some fields are not displayed, click on Show more at the top right of the screen. If some fields are still not displayed, this may be related to the setup settings.
| Field | Description |

| No. | This field will be filled by the system. |
| Internal No. | You can add an internal number in this field, for example an article number from your ERP system. |
| Serial No. | Enter a serial number for the machine. |
| Valuation Outstanding | Activate this option if the value of the machine has not yet been determined. |
| Commission | Activate this option if a machine is sold on behalf of a customer and is therefore not in the dealer's stock. |
| Machine Break | Activate this option if the machine is not operational. |
| In Stock | This field indicates whether a machine is in stock/on site. If this field is not activated, the machine is still in use. |
| Category | Select the appropriate category for the machine. |
| Subcategory | Select the appropriate subcategory for the machine. |
| Manufacturer | Select the manufacturer from the list. |
| Model | Select the model. |
| HP | Enter the engine power of the machine in horsepower. |
| KW | This field will be filled out by the system once you enter the engine power of the machine. |
| Year of Construction | Enter the year of construction of the machine. If the year of construction is unknown, enter 0. |
| Operating Hours | Enter the operating hours of the machine. |
| Hectar Count | Enter the hectar count of the machine. |
| Inspection | Enter the date for the main inspection. |
| State | Select the status of the machine from the drop-down menu. |
| Location Code | Enter the location of the machine. |
| Location Address | This field will be filled in by the system once you enter a location. |
| Location Post Code | This field will be filled in by the system once you enter a location. |
| Location City | This field will be filled in by the system once you enter a location. |
| Location Country | This field will be filled in by the system once you enter a location. |
| Location Information | You may enter additional information regarding the location. The information entered here is also transmitted to the marketplaces. |
| Web Link to Machine | Enter the link to the machine on your homepage. The link is also printed on quotes and data sheets. |
| YouTube Video | Enter a link to a Youtube video. Select the desired video on YouTube and click the right mouse button on the moving image. Use the Video URL command to copy the link to the clipboard and paste it into this field using the CTRL+V key combination. |
| Salesperson Code | Enter the salesperson. |
| Salesperson Name | The salesperson code is filled in by the system once you select a salesperson code. |
| Supplier Code | Enter the supplier. |
| Supplier Name | This field will be filled by the system. |
| Data collected by | This field will be filled out by the system with your user name. |
| Date of Data | This field will be filled out by the system with the current date. |
| Modified Date | This field will be filled out by the system with the date the machine card was last modified. |
| Trade In Customer | In this field, you can enter the customer from whom you have reclaimed the machine. |
| Valuation amount | This field will be filled out by the system with the valuation amount. |
| Valuation Note | This field will be filled out by the system with the valuation note. |
| Valuator Code | This field will be filled out by the system with the person who valuated the machine. |
| Valuation Date | This field will be filled out by the system with the date of the valuation. |
| Unit Cost/ Purchase Amount | In this field you can enter the unit cost or purchase amout of the machine. |
| Calc. Machine Value | This field will be filled out by the system with the calculated machine value. |
| Tax Type | Select the tax type from the list. |
| Tax % | Select the tax % from the list. |
| Exp. Sales Price in Market | Enter the expected sales price for the marketplace. |
| Exp. Sales Price excl. VAT | This field will be filled by the system. |
| Exp. Sales Price Incl. VAT | This field will be filled by the system. |
| Dealer Price | Enter the price for which you would sell the machine to another dealer. |
| Exp. Profit Amount | This field will be filled by the system. The value entered in this field is calculated from the value of the Exp. Sales Price in Market minus the Calc. Machine Value. |
| Exp. Profit % | This field will be filled by the system. The number entered in this field corresponds to the converted percentage value of the profit amount from the Exp. Profit Amount. |
| Currency | Select the currency for the prices. |
| Status | This field will be filled by the system. |
| Access Date | Enter the access date of the machine. |
| Filter Field 1 | The caption of this field depends on your configuration and setup, i.e. it is possible this field is labeled differently in your software. Enter the setup-specific information here. |
| Filter Field 2 | See Filter Field 1. |
| Filter Field 3 | See Filter Field 1. |
| Filter Field 4 | See Filter Field 1. |
- Scroll to the Transport information FastTab and fill in the applicable fields.
- Navigate to the Equipment FastTab. The equipment options are pre-filtered based on the information you have entered in the Category, Sub-category and Manufacturer fields.
- Fill in the following attribute information:

| Value | Depending on the type of equipment, you can enter the value freely or select it from a drop-down list. |
| Description | Depending on the equipment type, this field may be filled automatically. |
| Unit of Measure | You may enter a unit of measure here. |
| Component damaged | Activate this checkbox to mark the component as damaged. |
| Internal Note | You can store additional information here that will not be transmitted to the marketplaces. |
You have successfully created a machine.
Adding Machine Pictures
Please proceed as follows to add pictures to a machine:
- Click on Machines in the navigation bar.
- From the menu bar, select All Machines.
- Select the machine that you want to add pictures to.
- Navigate to the Machine Pictures FastTab on the Machine Card.
- Click Upload Image File.
- Select the images you want to add and confirm your selection. The images are then displayed in the Machine Pictures FastTab.
- The following options are available:

| Star | Click on this symbol to set the image as the cover image for the machine. The cover image is displayed on the machine card and in the machine list at the top right of the FactBox area (ALT+F2). |
| Magnifier | Click on this symbol to open an enlarged display of the image. In the enlarged view, you can also scroll through the gallery using the arrows on either side of the image. |
| Shopping Cart | Only images for which this symbol has been activated by clicking on it will also be displayed online in the adverts. |
| Bin | Click on this symbol to delete a machine image. |
| Clock anticlockwise | Click on this symbol to rotate a machine image 90° anti-clockwise. |
| Clock clockwise | Click on this symbol to rotate a machine image 90° clockwise. |
Copying Machines
Note
We only recommend using this function if the basic information such as Category, Sub-category, Manufacturer and Model (hereinafter referred to as Basic data) is the same for both machines.
Proceed as follows to create a machine based on another machine:
- Click on Machines in the navigation bar.
- From the menu bar, select All Machines.
- Select one of the machines from the list that matches the basic data of the new machine you want to create.
- The machine card of the template machine is displayed.
- Click on Process > Copy Machine in the menu bar of the machine card.
- A dialog is displayed asking whether you want to copy the machine.
- To confirm the dialog window, click Yes.
- Another dialog window is displayed in which the number of the copied machine card is specified. To confirm the dialog window, click Yes.
- The new machine card will be displayed.
- Check and complete the data on the new machine card.
You have successfully copied a machine.
