Time Records
This chapter contains all relevant information on time tracking in the Time Records tab in TRASER Mobile Service 365. It is divided into the following sections:
- Starting Time Tracking
- Pausing Time Tracking
- Accessing Time Records
- Editing Time Records
- Releasing Time Records
- Synchronizing Time Records
Starting Time Tracking
You can use TRASER Mobile Service 365 to track both order-related working and travel times and general personnel times. More information on non-order-related time tracking can be found here.
Note
Please consider that only one time tracking can be active at a time. Once you start a new time record (e.g. after arriving at a customer and switching from Travel Time to Working Hours), the previous time tracking is paused automatically.
To start time tracking in a service oder, please proceed as follows:
- Navigate to the Service Orders tab.
- Tap on the tile of the desired service order.
- The service order overview is displayed.
- Tap on the Worksheet tab.
- Tap on the Record icon in the Working Hours or Travel Time line to start time tracking for the respective time record. This is marked by a red indicator at the beginning of the line and displayed on the corresponding order tile.
You have successfully started time tracking. It is displayed in the Time Records tab including the start time.
Tip
Tapping on the time record opens a detailed view in which further functions may be available, depending on your setup in Microsoft Dynamics 365 Business Central.
The next section describes how to pause an active time tracking.
Pausing Time Tracking
To pause tracking Working Hours or Travel Time in a service order in TRASER Mobile Service 365, please proceed as follows:
- Navigate to the Service Orders tab.
- Tap on the tile of the desired service order.
- The service order overview is displayed.
- Tap on the Worksheet tab.
- Tap on the Pause icon in the Working Hours or Travel Time line to pause time tracking for the respective time record.
You have successfully paused time tracking. The end time is stored automatically in the related time record in the Time Records tab.
Note
Once time tracking is paused manually and neither work nor travel time is recorded, the app automatically tracks a non-order-related time record. This is relevant for general personnel time tracking. The work type of this time tracking (e.g. ANWESENHEIT) is specified during the setup in Microsoft Dynamics 365 Business Central.
The next section describes how to access time records in the app.
Accessing Time Records
To access the details of a time record, e.g. the start and end time, the date, and provided information of the associated service order, please proceed as follows:
- Navigate to the Time Records tab.
- Tap on the time record you want to access.
- A detailed view of the time record is displayed.
You have successfully accessed a time record. The following section describes how you can edit time records, if this option was enabled.
Editing Time Records
If Module Edit Time Tracking was activated during the Setup in Microsoft Dynamics 365 Business Central, you can edit time records directly in TRASER Mobile Service 365. Otherwise, time records can only be edited subsequently in TRASER DMS 365.
Note
Time records that have already been released cannot be edited, even if the module is activated.
To edit time records, please proceed as follows:
- Navigate to the Time Records tab.
- Tap on the time record you want to edit.
- Tap on the pen icon in the Start Time or End Time line to edit the start or end time.
- A window is displayed in which you can adjust the entered time.
- Tap outside the window to close it or tap on Reset to revert the changes.
You have successfully edited a time record. Your changes are effective immediately. The following section describes how you can release time records manually, if this option was enabled.
Releasing Time Records
If the Release Time Records manually module was activated during the Setup in Microsoft Dynamics 365 Business Central, you have to manually release time records in TRASER Mobile Service 365 before they can be synchronized. Otherwise, the release is automatic.
Note
Check you time records before you release them, as this cannot be reversed in the app.
To release a time record, please proceed as follows:
- Navigate to the Time Records tab.
- Tap on the time record you want to release.
- Activate the Released toggle switch below the Order Description line.
- Tap on the Save button to save the release.
You have successfully released a time record. The following section describes how to synchronize tracked and released time records with TRASER DMS 365.
Synchronizing Time Records
To save time records in TRASER DMS 365 that you tracked and released in TRASER Mobile Service 365, they must be synchronized with the system.
To do so, please proceed as follows:
- Navigate to the Time Records tab.
- Tap on the Synchronize button to synchronize the time records with TRASER DMS 365.
You have successfully synchronized your time records if a cloud icon with a checkmark is displayed after the time record. In case of a synchronization error, a cloud icon with an exclamation mark and an error message are displayed instead. You can find more information on the different synchronization statuses here.
