Protocol

Rent protocols can be provided in the app in different ways. You can create protocols directly in the app, and with seamless synchronization to Microsoft Dynamics 365 Business Central TRASER DMS 365 you also have the option to further process protocols created in TRASER DMS 365 with the app. It doesn’t matter whether the protocol is created for preparation, handover and delivery, or for handover, return and follow-up. The following sections describe different ways to provide protocols in the app:

Providing a Protocol via the Protocol List

In the app, you can further process protocols created via the protocol list in TRASER DMS 365. Please proceed as follows to create a protocol via the protocol list:

  • Use the quick search (ALT+Q) to find the Protocol List page in TRASER DMS 365.
  • Select New > New from the menu bar.
  • The Fast-Track Assistant is displayed.
  • Select the customer for the protocol in the Customer No. field.
  • In the Location Code field, select the location of the (service) item.
  • Enter the delivery date in the Shipment Date field.
  • Enter the return date in the Return Date field.
  • In the Object Type field in the Lines FastTab, specify if the line contains an Item, a Service Item or a Resource.
  • In the Search field, you can use the object number to search for the requested object. You can also enter the object number directly into the Object No. field.
  • Enter the quantity of the object relevant for the protocol in the Quantity field.
  • The other fields are filled in automatically, if necessary.
  • Click OK to confirm the details.
  • The Edit - Protocol Card page is displayed.
  • Select the Mobile Rent 365 value in the Process in field in the General FastTab.
  • In the General FastTab in the ‌Responsible Person (Service) field, enter the name of the person who shall be responsible for the preparation and follow-up of the protocol in the app.
  • In the General FastTab in the ‌Responsible Person (Transport) field, enter the name of the person who shall be responsible for the handover of the protocol in the app.
  • Fill in the protocol card as usual. You will find more information about this on the Working with Protocols page.

Tip

Protocols created in TRASER DMS 365 from a rental contract are also synchronized with the TRASER Mobile Rent 365 app. You will find more information on creating rental contracts under Rental Contracts.

You have successfully created a protocol. Thanks to the synchronization between TRASER DMS 365 and the app, the number of assigned protocol lines is displayed to the user under Preparation on the landing page of the app, since the preparation is applied per protocol line and not to the entire protocol. The further proceedings are described under Preparation.

Creating a Protocol in the App

To create a protocol in the TRASER Mobile Rent 365 app, please proceed as follows:

  • Click the + button on the landing page of the app.
  • Select the desired customer for the protocol by clicking on the corresponding customer in the customer list.
  • Then, select if you want to create a delivery protocol or a return protocol by clicking on the relevant field.

Creating a Delivery Protocol

If you clicked Create New Delivery Protocol in the previous step, proceed as follows:

  • Select the desired location for the protocol by clicking on the relevant location in the location list.
  • Select the period between the shipment date and the return date in the Range field.
  • Now you can add (service) items to the protocol in the Object Type FastTab. To do so, click the + button next to the relevant object and enter the desired quantity.
  • When you have selected all desired rent objects, confirm your entry by clicking Confirm.
  • An overview page containing all relevant protocol data is displayed. Check all entries.
  • Click the Complete New Creation button to create the delivery protocol.

You have successfully created a delivery protocol. The number of assigned protocol lines is displayed to the user under Preparation on the landing page of the app, since the preparation is applied per protocol line and not to the entire protocol. The further proceedings are described under Preparation.

Creating a Return Protocol

If you clicked Create New Return Protocol in the previous step, proceed as follows:

  • On the Contract Objects page, select the contract objects that shall be returned. To do so, click the + button next to the relevant object.
  • A dialog window is displayed. Select the relevant status and close the dialog by clicking Confirm.
  • On the ‌Process Next Status page in the Location field, select the desired location to which the contract object shall be returned.
  • In the Return Time Prefix field, select if the return shall take place to or from a certain point in time, then specify a date via the date field.
  • To create the return protocol, click the Complete New Creation button.

You have successfully created a return protocol. The return protocol is now displayed to the user on the landing page of the app under Handover. The further proceedings are described under Handing over a Return Protocol.
