User Interface

In this chapter you will find all relevant information regarding the user interface of TRASER RentBoard 365. This chapter is divided into the following sections:

General User Interface

After the successful login to TRASER RentBoard 365 you will be redirected to the main page. This consists of a menu bar with action and navigation elements, as well as a rent class list with a calendar overview.

Menu Bar

The following sections contain all important information on the action and navigation elements of the menu bar.

Calendar Menu

In the calendar menu on the left side of the menu bar, you can select which time period should be displayed in TRASER RentBoard 365. The following options are available:

Button Description
Week Click this button to display the calendar in a weekly overview.
Month Click this button to display the calendar in a monthly overview. This button is selected by default.
Quarter Click this button to display the calendar in a quarterly overview.
Year Click this button to display the calendar in an annual overview.

Use the < and > buttons to navigate to the previous or next period in the selected calendar view. Click on Today to jump to the current date.

You can search for specific rent objects via the search field. To do so, please proceed as follows:

  • Click in the Search field.
  • Enter the desired search term. You can search for the description, serial number, or object number of a rent object. Partial expressions are also possible (e.g., trac instead of tractor), but you cannot use placeholder characters.
  • Confirm you entries with ENTER.

You have successfully used the search function. A list of rent objects filtered by your search term is displayed. Click on the X in the Search field to reset the filtered view.

Document Menu

In the document menu in the center of the menu bar you can select whether rent contracts and/or rent quotes should be displayed. The Contract button is activated by default. Click on the Quote button to also display rent quotes. If you only want to display quotes, click on the Contract button to deactivate it.

Action Menu

In the action menu on the right side of the menu bar, the following actions are available:

Collapse All Collapse All Collapses all lines in the rent class list.
Expand All Expand All Expands all lines in the rent class list.
Reload Reload Reloads all lines in the rent class list.
Create Filter Create Filter Opens the window for creating filters.
Dark Mode Dark Mode Switches between light mode and dark mode.
Language Language Changes the language of TRASER RentBoard 365.
Logout Logout Logs you out of the current session.

Rent Class List

Below the menu bar, a list of all active rent classes is displayed with a calendar overview. The number of allocated rent objects is displayed as a numerical value before the rent class description. To display the rent objects as individual lines, click on the + icon or use the Expand all action in the action menu. Every rent object line shows the Description, Serial Number, Service Item Number, and the current Location of the rent object. An indicator at the start of the line shows the rent status of the rent object.

Indicator Description
Green A green indicator shows that the rent object is currently available for rent.
Yellow A yellow indicator shows that the rent object is currently reserved or undergoing maintenance/repairs.
Red A red indicator shows that the rent object is currently rented.

To access further information about a rent object, click into the corresponding line. A window opens and displays details regarding the rent status, a FactBox containing the revenues of the rent class, as well as the following information:

Field Description
Serial No. Specifies the serial number of the rent object. The value of this field is transferred from the Serial No. field of the corresponding service item card.
Rent Class Code Specifies the rent class code of the rent object. The value of this field is transferred from the Class Code field of the corresponding rent class.
Object Type Specifies the object type of the rent object, e.g., Service Item.
Object No. Specifies the object number of the rent object. The value of this field is transferred from the Service Item No. field of the corresponding service item card.
Location Specifies the current location of the rent object. The value of this field is transferred from the Current Rent Location field of the corresponding service item card.
Operating Hours Specifies the operating hours of the rent object. To do this, select the Operating Hours option in the Meter 1 field on the corresponding service item card and enter a value in the Operating Hours field.
Technical Inspection Agency Specifies the date of the next general inspection. The value of this field is transferred from the service intervals of the rent object.
Technical Inspection Agency 2 Specifies the date of an upcoming (general) inspection. The value of this field is transferred from the service intervals of the rent object.
Year of Construction Specifies the year of construction of the rent object. The value of this field is transferred from the Year of Construction field of the corresponding service item card.
Rented From Specifies the current rent location. The value of this field is transferred from the Current Owner Location field of the corresponding service item card.

You can open the corresponding service item card TRASER Rental 365 by clicking on Show in BC.

Calendar Overview

The calendar overview provides a quick overview of the availability of specific rent classes or rent objects in order to optimize the planning and distribution of rental processes. Rent contracts are displayed in green, rent quotes in blue. The color of the bar at the top of the line indicates the status of the rent contract:

Color Description
Green A green bar indicates that the rent contract has already been invoiced for this time period.
Yellow A yellow bar indicated that a rent object is already blocked by a rent contract, but this period will not be invoiced. This can be the case, e.g., if the delivery date of the rent object is before the start of the rent period.
Red A red bar indicates that the rent contract has not yet been invoiced for this time period.
Gray A gray bar at the end of a rent contract or quote indicates that the rent object may not yet be available for rent again during this period.

The Customer Name and Salesperson Code are specified for each rent period. In addition, one of the following icons may be displayed, providing information about the delivery or reservation status of the rent object:

Icon Name Description
Delivered Arrow Pointing Right The rent object has been shipped.
Reserved Lock The rent object has been reserved.
Returned Arrow Pointing Left The rent object has been returned.

To access further information about a contract or quote, click in the relevant line. A window opens and displays the document number, signature status, a FactBox with relevant rent dates, as well as the following information:

Field Description
Customer No. Specifies the customer number. The value of this field is transferred from the Customer No. field of the corresponding rent document.
Name Specifies the name of the customer. The value of this field is transferred from the Customer Name field of the corresponding rent document.
Post Code Specifies the post code of the customer. The value of this field is transferred from the Post Code field of the corresponding rent document.
City Specifies the location of the customer. The value of this field is transferred from the City field of the corresponding rent document.
Last Invoice Date Specifies the date of the last rent invoice. The value of this field is transferred from the invoice plan of the corresponding rent contract.
Next Invoice Date Specifies the date of the next rent invoice. The value of this field is transferred from the invoice plan of the corresponding rent contract.
Contract Date This field displays the contract start date. The value of this field is transferred from the Contract Start Date field of the corresponding rent document.
Estimated Contract End Date This field displays the estimated contract end date. The value of this field is transferred from the Estimated End Date Contract field of the corresponding rent document.
Description Displays comments regarding the rent document. The value of this field is transferred from the Rentboard Comment field of the corresponding rent document.
