COS

In MaschinenParkOnline, you have the option to import machines from a COS system. The machine data is imported into MaschinenParkOnline from an XML file (MASCH.XML). This page explains how to import this machine data into the MaschinenParkOnline system. This page is divided into the following sections:

Executing COS Import

Tip

An overview of the fields that are synchronized with MaschinenParkOnline during the COS import can be found here.

Proceed as follows to perform a COS import of machine data:

  • Click on Machines in the navigation bar.
  • From the menu bar, select All Machines.
  • On the All Machines page, select the action MPO Interface  > COS Data from the menu bar.
  • The COS Machine Data page is displayed.
  • Click on Import COS Machines in the menu bar.
  • Upload the desired file (MASCH.XML) via drag & drop or using the file explorer.
  • A new dialog window is displayed, listing the number of machines that have been imported. Click OK.
  • On the COS Machine Data page, the list of imported machines is displayed. Successfully imported machines are highlighted in green, while machines imported with errors are marked in red.

If all machines are highlighted in green, the import has been completed successfully. Machines marked in red require additional mappings. How to perform mappings is described in the following section.

Note

As a customer, you can decide how machine description texts are handled during the COS import. They can either be maintained in MaschinenParkOnline or automatically overwritten with each COS import. For further information on the configuration options and assistance with setup, please contact your TRASER Software contact person. You also have the option to transfer various values stored in COS to MaschinenParkOnline using filter fields. In this case as well, please contact your TRASER Software contact person.

Mappings

To ensure a complete import of machines from COS, it may be necessary to map certain import parameters if specific machine values are not listed and a corresponding match must be identified in the MaschinenParkOnline system. The following sections explain how to map manufacturers, categories and selected optional values.

Manufacturer Mapping

Proceed as follows to map manufacturers:

  • On the COS Machine Data page, click on Manufacturer Mapping in the menu bar.
  • A list of all manufacturers is displayed. Sort the MPO Manufacturer Code column in ascending order so that unassigned manufacturers are displayed at the top of the list.
  • Click in the MPO Manufacturer Code column in the applicable line. A selection list of the manufacturers stored in your system is displayed.
  • Select the appropriate manufacturer to map the imported value.
  • The MPO Manufacturer Name column is then automatically populated with the corresponding manufacturer.
  • Repeat this process for all manufacturers that are not yet mapped to a MaschinenParkOnline manufacturer.

All manufacturers from COS have been successfully mapped to the corresponding MaschinenParkOnline manufacturers.

Category Mapping

Proceed as follows to map categories:

  • On the COS Machine Data page, click on Category Mapping in the menu bar.
  • A list of all categories is displayed. Sort the MPO Category Code column in ascending order so that unassigned categories are displayed at the top of the list.
  • Click in the MPO Category Code column in the applicable line. A selection list of the categories stored in your system is displayed.
  • Select the appropriate category to map the imported value.
  • The MPO Category Name column is then automatically populated with the corresponding category.
  • Then, click in the MPO Subcategory Code column. A selection list of the subcategories stored in your system is displayed.
  • Select the appropriate subcategory to map the imported value.
  • Repeat this process for all categories that are not yet mapped to a MaschinenParkOnline category.

All categories from COS have been successfully mapped to the corresponding MaschinenParkOnline category.

Tax Rate Mapping

Note

This mapping is optional and can be skipped if required. In this case, the corresponding values are not imported from the COS file.

Proceed as follows to map tax rate values:

  • On the All Machines page, select the action MPO Interface  > Tax Rate Mapping from the menu bar.
  • To create a new mapping, click New in the menu bar or click in an empty line.
  • In the COS Tax Code field, enter the tax rate code from your COS file.
  • Then, enter the corresponding tax rate code from MaschinenParkOnline in the MPO Tax Rate No. field that matches the COS value.
  • Repeat this process for all tax rates that are not yet mapped to a MaschinenParkOnline tax rate.

All tax rates from COS have been successfully mapped to the corresponding MaschinenParkOnline tax rate.

Salesperson Mapping

Note

This mapping is optional and can be skipped if required. In this case, the corresponding values are not imported from the COS file.

Please proceed as follows to map salespeople:

  • On the All Machines page, select the action MPO Interface  > Salesperson Mapping from the menu bar.
  • To create a new mapping, click New in the menu bar or click in an empty line.
  • In the COS Salesperson Code field, enter the salesperson code from your COS file.
  • Then, enter the corresponding salesperson code from MaschinenParkOnline in the MPO Salesperson Code field that matches the COS value.
  • Repeat this process for all salesperson codes that are not yet mapped to a MaschinenParkOnline salesperson.

All salespeople from COS have been successfully mapped to the corresponding MaschinenParkOnline salesperson.

Location Mapping

Note

This mapping is optional and can be skipped if required. In this case, the corresponding values are not imported from the COS file.

Proceed as follows to map locations:

  • On the All Machines page, select the action MPO Interface  > Location Mapping from the menu bar.
  • To create a new mapping, click New in the menu bar or click in an empty line.
  • In the COS Location Code field, enter the location code from your COS file.
  • Then, enter the corresponding location from MaschinenParkOnline in the MPO Location Code field that matches the COS value.
  • Repeat this process for all location codes that are not yet mapped to a MaschinenParkOnline location.

All locations from COS have been successfully mapped to the corresponding MaschinenParkOnline location.

Completing COS Import

Once you have completed all mappings, run the import again as described under COS import. If all mappings are correct, all machines will be highlighted in green. The import is complete.

Note

After a successful import, the ERFASS_NR from the COS system is displayed in MaschinenParkOnline on the machine card as the Internal No.. Please note that during the import, machines are created as new machines if no existing internal number is assigned to them. This may result in duplicate records, especially if a new machine is imported via the MPO Trade-In app. In this case, we recommend using the serial number search to locate both records and assigning the internal number of the newly created machine to the machine recorded via the Trade-In app. The incorrectly created record can then be deleted. Since the machine record created via the Trade-In app usually contains more information and images, it is recommended to continue working with this record.

Updating Machines for Marketplaces

If a specific machine is no longer included during a subsequent COS import because the ERFASS_NR or Internal No. is no longer present in the COS file, the corresponding machine is automatically removed from all listed marketplaces in MaschinenParkOnline. In this case, MaschinenParkOnline assumes that the machine is no longer in use or no longer in stock. If only changed values are detected for a machine during the import, the machine must be updated for the marketplaces. To do so, please proceed as follows:

  • Click on Machines > Update Needed in the navigation bar.
  • A page displaying all machines that need to be updated is displayed.
  • Select the machine you want to update. Multiple selection is also possible. For example, you can use the CTRL + A key combination to select and update all machines at once.
  • Click on Advertisements  > Update Advertisements in the menu bar.

You have successfully updated the imported machines for the marketplaces.
