Setup in Aptean Equipment DMS
Here you'll find all important information regarding settings necessary for Aptean Equipment Mobile Service in our ERP solution. This chapter is divided into the following sections:

Aptean Equipment Mobile Service Setup
To use Aptean Equipment Mobile Service efficiently, you must first complete the basic setup of the app in our ERP solution.
To do this, proceed as follows:
- Use the quick search (ALT+Q) to find the TRASER Mobile Service Setup page in the ERP solution.
- Make settings according to the requirements in the following table:
Note
You may need to enable edit mode to be able to make settings. It is enabled if the pen icon at the top of the screen is encircled. Click on the pen icon to enable edit mode or to disable it after completing the setup.

| Work Type for Drive | Specify the work type that should be used to invoice drive times (e.g. DRIVE). | |

| Work Type for Distance | Specify the work type that should be used to invoice drive distances (e.g. DRIVE). | |
| Work Type for Presence | Specify the work type that should be used for order-independent personnel time tracking (e.g. PRESENCE). | |
| Work Type for Break | Specify the work type that should be used for breaks (e.g. BREAK). | |
| General Modules | Module Delete Items & Resources | Activate the toggle switch to enable deleting spare parts and resources from service orders in the app. Otherwise, unused item and resource lines can only be set to the value 0. |
| Module Geo Location | If you activate this toggle switch, GPS tracking will be activated in the app. That way, when you start time tracking, the current GPS coordinates of the mobile device are stored in the corresponding time record. | |
| Sharepoint URL | This module is not intended for use in Aptean Equipment Mobile Service. | |
| Repair Status Work Done | Select the repair status a service order will be set to once all related worksheets are finished. | |
| Module Edit Time Tracking | If you activate this toggle switch, recorded working and travel times may be edited in the app. | |
| Release Time Records manually | If you activate this toggle switch, time records must be released manually in the app before synchronization. | |
| Module Switch Work Type | If you activate this toggle switch, technicians may change the work type of an order at any time in the app, e.g., to distinguish between diagnosis and repair. | |
| Module Create Service Orders | Activate this toggle switch to enable creating new service orders in the app. | |
| Work Type for creation | Specify the order type for new service orders created in the app. |
You have successfully completed the basic setup for Aptean Equipment Mobile Service.
Setting up Checklists in Service Orders
To, e.g., optimize maintenance processes, you can store checklists on service orders for Aptean Equipment Mobile Service. To do this, proceed as follows:
- Use the quick search (ALT+Q) to find the Service Orders page in the ERP solution.
- Open the desired service order or create a new service order.
- Navigate to the Lines FastTab.
- Select Line > Worksheet from the menu bar.
- The worksheet of the service order is opened.
- Select Related > Checklist from the menu bar.
- The Checklists page is displayed.
- Click on New > New in the menu bar to store a checklist.
- Select a Checklist Template and confirm your selection with OK.
- Click on OK. You can now display the checklist directly.
You have successfully stored a checklist on a service order for Aptean Equipment Mobile Service. More information on the general setup of checklists can be found under Checklists. More information on automatic checklists for service orders can be found here.
Repair Status Setup
In order to use repair statuses in Aptean Equipment Mobile Service, they must first be set up for the app during Repair Status Setup in our ERP solution.
To do this, proceed as follows:
- Use the quick search (ALT+Q) to find the Repair Status Setup page in the ERP solution.
- Select the checkbox in the Relevant for Service column for a repair status that should be visible and selectable in the app.
- Repeat this step for all repair statuses relevant for service.
- Select the checkbox in the Relevant for Servicesync column, if a service order with this repair status should no longer be displayed in the app after the next synchronization.
Important
Please consider that selecting both checkboxes can bypass the mandatory field check when finishing worksheets.

Setting Up Resources
In order to use resources in Aptean Equipment Mobile Service, they must first be defined as Relevant for Service in our ERP solution. This applies to the resource types Person (e.g. technicians) as well as Machine (e.g. service vehicles, consumables or travel charges). To set up a resource for use in the app, please proceed as follows:
- Use the quick search (ALT+Q) to find the Resources page in the ERP solution.
- Open the resource you want to set up for use in the app.
- In the General FastTab, activate the toggle switch Relevant for Service.
- Repeat these steps for all relevant resources.
Note
If a resource has not been set up correctly in the ERP solution, an error message is displayed when adding the resource to a service order in Aptean Equipment Mobile Service.
You have successfully made the necessary settings for using resources relevant for service in Aptean Equipment Mobile Service.
Setting Up Service Costs
In order to use service costs in Aptean Equipment Mobile Service, they must first be defined as Relevant for Service in our ERP solution. To do so, please proceed as follows:
- Use the quick search (ALT+Q) to find the Service Costs page in the ERP solution.
- Click on Edit List in the menu bar.
- Navigate to the service cost line you want to set up for use in the app.
- Select the checkbox in the Relevant for Service column.
- Repeat these steps for all relevant service costs.
Note
If a service cost line has not been set up correctly in the ERP solution, an error message is displayed when adding these costs to a service order in Aptean Equipment Mobile Service.
