This section provides you with all information and steps to successfully assign service items for rent on Digando and handle Digando rent contracts.

Please make sure to finalize all setup steps before proceeding!

Preparing Service Items for Rent

Before a service item can be uploaded to Digando for rent, make sure the following is set up properly:



Assigning and Deleting Service Items for Rent

In order to make your service items available for rent in Digando, they have to be assigned as follows:

  • Open the Service Item Card page of the service item you want to make available for rent in Digando. The service item must already be commissioned for rent to a Digando rent location.
  • In the menu bar, click on the Rental > Digando > Create Product button to upload the service item along with all rent information to Digando.
  • After successful upload, the value of the Digando Status field in the Digando Interface FastTab changes from blank to Created.
  • If the service item should no longer be available for rent in Digando, click on the Rental > Digando > Delete Product button in the menu bar. The service item (product) is then set on hold in Digando, i.e., it has Status = Entwurf (Draft).

Note

As from September 2025, it is not possible to permanently delete service items / products in Digando. Kindly contact Digando in case a service item should be completely removed (e.g., if the service item was sold or decommissioned).

Tip

The Digando Interface FastTab is automatically filled by Digando. Users cannot change the information.

Receiving and Handling Bookings

This subsection describes where to find Digando booking requests and how to proceed with them.

When a customer made a booking in Digando, they receive an order confirmation, and a booking request is created in TRASER Rental 365. All requests can be found in the Digando Booking Request Header List table which is sorted from newest to oldest entry by default.

Tip

In Rental role centers, several cues are available in the Digando Interface FastTab for bookings, documents, and more.

  • The Digando Booking Request Header List table is updated automatically whenever service items are delivered or returned between Digando and TRASER Rental 365. It is also possible to click on the Fetch Bookings button in the menu bar to manually request booking headers from Digando. Additionally, the Booking Update Job Queue updates the table upon each run.
  • When clicking on an entry, the Digando Booking Request Card page opens to show all details:
    • The Booking Entry FastTab shows the applicable booking number from Digando as well as general information.
    • The Booking Line FastTab shows the service item selected in Digando including all charges.
      If additional lines with Identifier = Accessories are available, the Rent Class Code column must be manually filled for these lines as well.
      • Line No. 10000 is the main rent line which contains the total price for the service item and all accessories, charges, etc. from the lines below.
    • The Organization and Contact Person FastTab shows the customer contact information.
      • The Vat ID value is used to map existing organizations as well as contacts in TRASER Rental 365.
      • If the organization and contact records are not yet available in TRASER Rental 365, new records must be manually created before a rent contract can be created!
    • The Rental Data FastTab shows general rent information.
    • The Billing and Shipping FastTab shows general billing and shipping information.
  • If all requirements are fulfilled, click on the Create Contract button in the menu bar to create a rent contract and proceed per your default work instructions.
    • If not all requirements are fulfilled (e.g., service item damaged or in repair longer than expected, new customer has low credit rating, etc.), you can click on the Cancel Booking button in the menu bar. The cancellation is also directly sent to Digando, and the booking request is cancelled as well. The Process Status value in the Digando Booking Request Header List table is changed to Document Cancelled.
  • Open the rent contract by confirming the dialog with Yes, and proceed with your default rent contract handling. The Process Status value in the Digando Booking Request Header List table is changed to Document Created.
  • Each rent contract status change in TRASER Rental 365 is directly reflected in Digando as well.
  • When changing the Shipment Date and Delivery Date values in the Object Lines FastTab of the rent contract in TRASER Rental 365, this date is defined as the new rent contract starting date in Digando.

Important!

In case a change is made to the booking in Digando, the rent contract in TRASER Rental 365 is also updated. You can see all updates in the Digando Transactions table.
When updating rent contract data other than Shipment Date and Delivery Date in TRASER Rental 365, it is not updated in Digando!

Tip

In case a rent contract should be cancelled after creation, it is possible to delete the rent contract. This will also cancel the booking in Digando.

Error Handling

In case of errors, please check the Digando Transactions table which logs all communication between Digando and TRASER Rental 365. Each transaction's JSON file can be downloaded via the Show Transaction Data button in the menu bar for troubleshooting.

Error 500

If an error message containing "statusCode":500 is available in the Error column, the Digando server could not be reached. Usually, this error is fixed by Digando. Erroneous entries are not automatically sent again.

If you want to retry a transaction, wait until Digando confirms that the servers are online again. Then select the corresponding entry with Status = Error and click on the Reset Status button in the menu bar. When the job queue runs the next time, another transaction attempt is made.

Invalid Product Data

If an error message containing Product type ID is missing is available in the Error column, there was an attempt to upload a service item which does not have a product type supported by Digando or which was not mapped correctly.

Please check that the service item mapping is correct and valid. If there is no product type available, kindly contact Digando to add the service item to their product type list.

Rental Location Not Activated for Digando Platform

When the Rental location not activated for Digando platform error dialog is displayed upon product creation, the service item is not in the defined Digando rent location, because it might be rented out to a customer and is thus not available or the wrong location was selected upon return.

Please check the current location and wait until the service item is back and located in the correct Digando rent location before activating it.

Undefined Data

If an error message containing Cannot read properties of undefined is available in the Error column, there was an attempt to update a service item in Digando, but there was a mapping mismatch or missing data to map the service item to the Digando product.

Please check the transaction data of the entry in the JSON file by clicking on the Show Transaction Data button in the menu bar to make sure that all values are correct and correspond to the mappings in both Digando and TRASER Rental 365.
