Rent Classes/Rent Class Packages

You can add rent objects from different categories to a rent class. If you use rent classes for rental solutions you do not have to add a specific rent object to a rental contract. Instead, you can add a rent class. At the time of rental, the customer will then receive an available rent object from the specific rent class (e.g. mobile excavator). This allows you to have greater flexibility when it comes to managing rental processes.

Create Rent Class

This section describes how to create a rent class. Please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Click the New button.

New Rent Class

  • An empty window opens.
  • Please fill in the fields according to the specifications in the table below to create a new rent class.

Create a new rent class

Register Option Action
General Class Name Here, enter a unique name for the rent class.
Class Code Here, enter the code for the rent class.
Class Type Here, select a rent class type. You can find more information on creating rent class types here.
Object Type Reference Here, you can enter the type of the object that has been defined in the rent class types. The field will be filled automatically.
Base Unit of Measure Here, select the unit of measure for the rent class.
Dummy Object No. Here, select the dummy object that is going to be used for the delivery and return.
The fields Dummy Object Description and Dummy Object Description  2 will be filled in by the system.
Dummy Object Description This field will be filled out by the system if you have entered a value into the Dummy Object No. field.
Dummy Object Description 2 This field will be filled out by the system if you have entered a value into the Dummy Object No. field and this field has a description  2 deposited.
Default Replacement Price Here, you can enter a price for the replenishment.
Object Mandatory in Contract If you activate this field, you have to enter an object number when you add the rent class to a rental contract. This only applies if also the Selecting of Object No. in contract allowed field is activated on the TRASER Rental Setup page. You can find more information on the setup here.
Active Activate this slider to activate the rent class.
You can find information on the status of the boolean in the Table 'Boolean'.
Options Standard Invoice Calendar Optional Here, select a standard invoice calendar. You can also calculate single price lines using an invoice calendar of 7 days, even if your rent object uses an invoice calendar of 5 days. To do so, enter the invoice calendar into the Standard Invoice Calendar field in the price lines.
You can find more information on creating an invoice calendar under Setting up Base Calendar.
Consumption Type Code 1 Optional Here, select a consumption type which is used as part of the processing of rental contracts. You then need to enter a value for this consumption type during delivery and return. For more information on creating consumption types, click here.
Consumption Type Code 2 Optional Here, select a second consumption type for rental contracts.
Partial Delivery/Return allowed Optional Activate this slider if you want to activate partial deliveries/returns.
To be able to activate this field, you have to set up the object status codes 'partially delivered' or 'partially returned' in the processing of the rental class type. For more information on this, go to Process Flow.
Discount Group Code Optional Here, select the default discount group for the rent class.
You will find information on discounts here.
GTC Code Optional Here, select a predefined text with General Terms & Conditions that should only apply to this rent class. For more information on creating GTC texts, click here.
Price Lines Deactivated Optional Activate this check box for the line you would like to deactivate the rent price line for. The rent price line can be activated again by disabling the check box.
Standard Description Here, enter a unique name for the line. This line will be printed on all documents. The line Rental will be created automatically but can be edited by the user.
Optional You can also define additional costs.
Requirement Specify whether the rent price line is Mandatory, Recommended or Optional.
Mandatory  = The rent price line will always be added and cannot be deleted.
Recommended = The use of this rent price line is recommended but it won’t be automatically added.
Optional = The rent price line is automatically added but can be removed from rental quotes, contract and rent class packages.
Price Type Here, select the due date for the rent class object price. This column is linked to the Price column.
Open Price Types and Definitions to see an overview over the different price types.
Revenue Item No. Here, select the default revenue item no. for the line. The rent revenue item RENTAL is the default revenue item for rent objects. For insurance cases, select the rent revenue item INSURANCE. For costs concerning delivery/return, select the rent revenue item DELIVERYRETURN.
A live system might require different values.
Price Code Enter here the price code for this rent class object. This column is directly linked to the Price Type column. If you selected Optional or Recommended in the Requirement column, you can eave this column empty.
Unit Of Measure Code (on registration) Enter here the unit of measure with which the line is invoiced in case the price type was set to “Once”.
Fixed Quantity Activate this check box if you want to add a price line with a quantity of 1. If you do not activate this check box, the price line will be assigned the quantity from the rent line. If you activate this check box, the price will be calculated for every (partial) delivery. If you do not activate this check box, the price will be calculated using the percentage of the delivered quantity.
Invoice Only Once Activate this check box if you want to invoice certain costs only once (e. g. administrative costs). This check box can only be activated if you select the price type On Delivery and activate the Fixed Quantity check box.
Price Mandatory Optional Activate this check box if the user should always have to enter a price or price code for this rent class, If this field is deactivated, the user can enter a price or price code if they wish. This field is always activated when you create a new rent class line.
Hide Line in Print Specifies if the price line is hidden by default in the print. This can only be set up for variable cost lines.
Consumption Price No. Select the price line that should be used for the rent invoice.
Price Base Only for recurring costs Select the price base for the entry. You can assign a price base per line.

Standard Invoice Calendar Optional Here, select a standard invoice calendar.
You can find more information on creating an invoice calendar under Setting up Base Calendar.
Consumption Type Optional Select the price line that should be used for the rent invoice. For more information on creating consumption types, click here.
Default Consumption Invoice Type Optional Select the default invoice type for the consumption invoice.
Default Consumption Amount Optional Enter here the default consumption amount to be invoiced in case the consumption invoice type is the same as the invoice cycle.
Consumption Unit of Measure Here, select the unit of measure for consumption.
Consumption Unit of Measure Optional Select the unit of measure that should be used for the consumption invoice.
GTC Code Optional Select a GTC code for the line. You can set up an own GTC code for every rent price line.
Utilization This area shows the utilization of the rent class. You can filter by Day, Week, Month, Quarter and Year.
  • Close the Rent Classes page.

The rent class has been set up and activated and can now be used in rent quotes, rental contracts and rent price checks.

Define Additional Costs

Every rent class must have at least one rent object with the rent revenue item RENTAL. Furthermore you can add more entries, e.g. delivery and return revenues, optional equipment, insurance costs or consumption data.

To add additional revenues to a rent class, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open the rent class you would like to add additional costs to.
  • Deactivate the rent class via the Active slider. You can find information on the status of the boolean in the Table 'Boolean'.

Note

A rent class can only be edited if it’s not currently used in a quote or contract.

  • To add another line, either click on Manage > New Line in the Price Lines register or click on an empty line.

Define Additional Costs

  • Enter a unique description into the Standard Description field.
  • In the Requirement column, specify whether the entry is Mandatory, Recommended or Optional.
  • Enter a price for this line into the Price Code field. This column is linked to the Price Type column.
  • In the Price Type column, select the due date for the rent class object price. This column is linked to the Price column. Open Price Types and Definitions to see an overview over the different price types.
  • Activate the check box Fixed Quantity if you want to add a price line with a quantity of 1. If you do not activate this check box, the price line will be assigned the quantity from the rent line. If you activate this check box, the price will be calculated for every (partial) delivery. If you do not activate this check box, the price will be calculated using the percentage of the delivered quantity.
  • Activate the check box Invoice Only Once if the price line should only be invoiced once (e. g. for administrative costs). This check box can only be activated if you select the price type On Delivery and activate the Fixed Quantity check box.
  • In the Revenue Item No. field, select the rent revenue item The rent revenue item RENT can only be used once per rent class. Open Price Types and Definitions to see an overview over the different revenue items.
  • Once you have set up all additional costs, activate the Active. You can find information on the status of the boolean in the Table 'Boolean'.
  • Close the Rent Classes page.

The rent class including all additional costs has been set up.

Assign Contract Texts

You can assign contract texts to rent classes and rent class packages. In addition, you can define whether a contract text is mandatory, optional or recommended. If you then add a rent class or rent class package to a rental contract, you can assign the contract texts you set up to the rental contract. To create contract texts for a rent class, please proceed as follows

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open a rent class or create a new rent class.
  • The respective rent class card opens.

Contract Text Lines on Rent Class Card

  • You can enter the following information in the Contract Text Lines tab:
Label Description
Deactivated Activate this check box if you want to deactivate this contract text but do not wish to delete it. The contract text won’t be shown in the list if you add a rent class or rent class package to a rental contract.
Standard Text Here, enter a text that will be displayed when you add the rent class or rent class packate to a rental contract.
Requirement Here, select whether the contract text is Mandatory, Optional or Recommended. Optional and recommended contract texts can be removed after you have added a rent class or rent class package to a rental contract. Mandatory contract texts cannot be removed after you have added a rent class or rent class package to a contract.
Print in Protocol Activate this check box if the contract text should also be shown on the printed delivery or return protocol. This setting is also applied if the rent class is added to a rental quote or rental contract.

Assign General Terms & Conditions Texts

You can assign GTC texts to rent classes and rent class packages. In addition, you can specify whether the GTC texts apply to the rent class or only to specific price lines. If you then add a rent class or rent class package to a rental contract, you can assign the GTC texts you set up to the rental contract. For more information on creating GTC texts, click here. To add GTC texts to a rent class, please proceed as follows

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open a rent class or create a new rent class.
  • The respective rent class card opens.
  • To add GTC texts that apply to the whole rent class, select the desired GTC code from the list in the GTC Code field under the Options register.

  • To add GTC texts that only apply to certain price lines of the rent class, select the desired GTC code from the list in the GTC Code column in the Price Lines register.

Assign Contract Components

You can assign contract components to rent classes and rent class packages. This can be substitute items, consumables or resources that are going to be sold with the rent object. In addition, you can define whether a contract component is mandatory, optional or recommended. If you then add a rent class or rent class package to a rental contract, you can add the contract components you set up to the rental contract. To add contract components to a rent class, please proceed as follows

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open a rent class or create a new rent class.
  • The respective rent class card opens.

Contract Components on Rent Class Card

  • You can enter the following information in the Contract Components tab:
Label Description
Deactivated Activate this check box if you want to deactivate this contract component but do not wish to delete it. The contract component won’t be shown in the list if you add a rent class or rent class package to a rental contract.
Component Type Select in this column whether this contract component is an Item or a Resource.
No. Select an item or a resource. You can only select items or resources that have been marked as a rent component.
Description This field will be filled with the information of the selected item or resource and cannot be changed.
Description 2 This field will be filled with the information of the selected item or resource and cannot be changed.
Standard Description Here, you can enter a unique description for the item or resource.
Quantity per Rent Class In this column, you can specify the available quantity for the item or resource for a rent class or rent class package when they are added to a rental contract.
Fixed Quantity Activate this check box if the contract component should always have a fixed quantity (e. g. 1) when it is added to a contract. If you do not activate this check box, the contract component will have the same quantity as the rent class or rent class package. If you activate this check box, the price will be calculated for every (partial) delivery. If you do not activate this check box, the price will be calculated using the percentage of the delivered quantity.
Unit of Measure Code This field will be filled with the information of the selected item or resource. Here, you can change the unit of measure for the item or resource. This won’t affect existing contracts.
Sales Unit Price This field will be filled with the information of the selected item or resource. Here, you can change unit price for the item or resource.
Requirement In this column you can select whether the contract component is Mandatory, Optional or Recommended. Mandatory contract components can not be deselected once they were added to a rental contract and will therefore always be added.

Assign Dimensions

You can assign dimensions to rent classes and rent class packages. If you add a rent class or rent class package with assigned dimensions to a rent document, certain dimension values are automatically assigned to that document. To assign dimensions to a rent class, please proceed as follows

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open a rent class or create a new rent class.
  • The respective rent class card opens.
  • Select Related > Dimensions from the menu bar. If you cannot find the menu opion Related, click on More Options.

Assign Rent Class to Dimension

  • The window Edit - Default Dimension - Rent Class is displayed.
  • Enter values according to the table below.
Label Description
Dimension Code Enter the desired default dimension into this column.
Dimension Value Code Enter the desired default dimension code into this column.
Value Posting Here, specify whether the use of variant dimension values should be allowed for document postings. You can find more information on these columns here.
Allowed Value Filter This column shows dimension values that can be used by the selected account.
  • Once you have assigned the desired dimensions, close the Edit - Default Dimensions - Rent Class window.

If you now add the rent class to a rental contract, the linked rent classes will also be added to the rental contract. If you would like to view the dimensions in a rental contract, proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rental Contracts in TRASER DMS 365.
  • A list of all created rental contracts is displayed.
  • Open a rental contract or create a new contract.
  • In the Lines register of the rental contract, select the desired rent class (for information on adding rent classes click here).
  • In the Lines tab, click on Related Information > Dimensions in the menu bar. If you cannot find the menu option Related, click on More Options.

View Dimensions in Rental Contract

  • The window Edit Dimension Set Entries opens where you can view the dimensions that are linked to the rent class. You can also edit the dimensions.

Assign Attributes

You can add certain attributes to a rent class. Do the following:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open a rent class or create a new rent class.
  • The respective rent class card opens.
  • Navigate to the Attributes tab.

Assign Attributes

  • Please fill in the fields according to the specifications in the table below to add attributes to a rent class:
Column Description
Attribute Name Enter the name of the item attribute here.
Data Type Here, enter the type of attribute.
UoM Specify the unit of measure of the attribute.
Print in Protocol Activate this check box if the attribute should also be shown on the printed delivery or return protocol. This setting is also applied if the rent class is added to a rental quote or rental contract.
  • When you use this rent class in a contract, the attributes you set up will be automatically listed in the contract lines. In the rental contract, you can then further define the attributes. You can find more information on this under Adding Attributes.

Creating Price Lines from Price Templates

Once you have created a price template, it can be used in a rent class. To use a price template in the price lines of a rent class, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • The page Rent Classes is displayed.
  • Select New > New from the menu bar.
  • The page Rent Classes is displayed.
  • Fill in the Class Name field.
  • Select New > New From Price Template from the menu bar.
  • The Rental Price Templates page is displayed.
  • Select the desired price template.
  • Click OK to confirm your selection.

The price lines of the price template have been added to the Price Lines register.

Creating Purchase Options from Price Templates

Once you have created a price template for rental purchases, it can be used in the purchase setup of a rent class.
Please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • The page Rent Classes is displayed.
  • Click on the desired rent class or create a new rent class.
  • The page Rent Classes is displayed.
  • Select Purchase > Purchase Setup from the menu bar.
  • The page Edit - Rent Class Purchase Options is displayed.
  • Select New > New From Price Template from the menu bar.
  • The Rental Purchase Price Templates page is displayed.
  • Select the desired price template.
  • Click OK to confirm your selection.

The price template was now added to the Edit - Rent Class Purchase Options page.

Edit Rent Class

This section describes how to edit a rent class. Please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Click on the name of the rent class in the Class Name column that you want to edit.
  • The rent class will be opened in edit mode.

Warning

You can also edit rent classes that are being used in rental quotes or contracts. However, the changes will only apply to new quotes or contracts. Already existing contracts won’t be affected.

  • To be able to edit the rent class, deactivate the Active slider.
    You can find information on the status of the boolean in the Table 'Boolean'.
  • Make the desired changes.
  • After, activate the boolean Active to be able to use the rent class.
    You can find information on the status of the boolean in the Table 'Boolean'.
  • Close the Rent Classes page.

Copying Rent Classes From Existing Rent Classes

You can also create a rent class by copying it from an existing rent class.
Please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • Select New > Copy Existing Rent Class from the menu bar.
  • The page Select Rent Class is displayed.
  • Under the Options register, enter the rent class code of the rent class to be copied into the Rent Class Code field. You can also select the rent class from a list.

The following options are available which you can activate as desired.

  • Copy header fields
  • Copy price lines
  • Copy texts
  • Copy components
  • Copy linked rent classes
  • Copy attributes
  • Copy rental purchase options

After you have made the desired settings, confirm with OK.

  • The page Edit - Rent Classes is displayed.
  • Fill in the remaining desired information of the rent class and close the page afterwards.

Note

Please note that the Class Name has to be filled.

You have successfully copied a rent class from an existing rent class.

Delete Rent Class

This section describes how to delete a rent class. Please proceed as follows:

Warning

A deleted rent class cannot be recovered. So please make sure that you have the permission to delete a rent class before you delete it.
If you do not wish to delete a rent class, you can deactivate it.

Note

You can only delete rent classes that aren’t being used and that have been deactivated.

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Click on the name of the rent class in the Class Name column that you want to delete.
  • The rent class will be opened in edit mode.

  • Click on the bin icon in the header of the rent class card.

  • Click Yes to confirm the dialog.

  • The rent class has been deleted and won’t be shown in the rent class list.
  • Close the Rent Classes page.

Create Rent Class Package

A rent class package consists of multiple rent classes. This way, you are able to select complex rental configurations with one click.
This section describes how to set up a rent class package. Please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Class Packages in TRASER DMS 365.
  • A list containing all rent class packages is displayed.
  • Click the New button.

  • An empty window opens.

Create a new rent class package

  • In the General tab, enter a unique description into the Name field.
  • The Package Code will be filled out automatically and cannot be edited. Every rent class package will be assigned a unique identification number.
  • Use the Standard Descriptionfield to enter a description for the rent class package content, e. g. a list of rent classes or other parameters.
    • Optional Select an invoice calendar from the Standard Invoice Calendar list.
    • Optional Enter a GTC Code.
  • Under the Lines register, click on Manage > Add Rent Class from the menu bar.
  • The Rent Class Wizard is opened. Follow the wizard to add rent classes to the rent class package.

Add Rent Classes or Rent Class Packages Wizard – Step 1

The upper part is meant for filtering rent classes or rent class packages. The lower part displays the filtering results.

  • Select under Rent Class/Rent Class Package if you like to filter for rent classes or rent class packages. If you leave this field blank, both rent kinds are filtered for.

Note

If you filtered for a Rent Class, you can select under Object Type Filter for Rent Class the rent class kind that you like to use. This way, you can narrow your search further down.

If you filtered for Rent Class Packages, this filter option is not displayed.

  • Enter the requested quantity in the Selected Quantity column if you like to add a Rent Class. The Selected Unit of Measure field will be filled automatically.
    *A value ≥1,00 must be entered. If the value is 0,00 in the Selected Quantity column, the rent class will not be used.
  • Optional If necessary, you can change the unit of measure of the rent class via the Unit of Measure Code (Delivery) column under the Lines register. For this, select a deposited unit of measure for this rent class from the list. This is only possible for items. You can find more information on depositing an alternative unit of measure for a rent class here.
  • Optional Select an invoice calendar in the Selected Invoice Calendar column.
    For more information about creating invoice calendars, clickSet up Base Calendar.
  • Optional The Has linked Rent Classes columns shows if there are any linked rent classes. By clicking on Yes, a window is opened which shows the linked rent classes. Linked rent classes are automatically additionally added to the rent document.
  • Click Next when you selected the desired quantity.
  • The Second Step of the Add Rent Classes Wizard opens.

Add Rent Class Package

  • Activate the check box in the Selected column to add a Rent Class Package
  • Optional Select an invoice calendar in the Selected Invoice Calendar column.
    For more information about creating invoice calendars, clickSet up Base Calendar.

Note

If you deactivate a rent class in a rent class package which is marked as Optional, the related price lines of this rent class are also deactivated and hidden.

  • Click Next when you selected the desired packages.
  • The Second Step of the Add Rent Classes Wizard opens.

In the next step you can select or deselect add. revenue for the previous selected rent classes or rent class packages. Add. Revenue will be added directly for a rent class (see also Create Rent Class).

  • Activate or deactivate the check box in the Selected column for the price lines which you like to apply to the rental contract.

Note

Price Lines with Mandatory requirement can not be deselected.

  • Click Next when you selected the desired price lines.
  • To edit the selection of rent classes or rent class packages, click Previous.
  • To Add more rent classes or rent class packages, click Add.
  • The Third Step of the Add Rent Classes Wizard opens.

In the next step you can select or deselect contract components for the previous selected rent classes or rent class packages. Contract components will be added directly for a rent class (see also Assign Contract Components). This step is skipped if no contract components are assigned to this rent class or rent class package.

  • Activate or deactivate the check box in the Selected column for the contract components which you like to apply to the rental contract.

Note

Contract components with Mandatory requirement can not be deselected.

  • Click Next when you selected the desired contract components.
  • To edit the selection of price lines, click Previous.
  • To Add more rent classes or rent class packages, click Add.
  • The Fourth Step of the Add Rent Classes Wizard opens.

In the next step you can select or deselect contract texts for the previous selected rent classes or rent class packages. Contract texts will be added directly for a rent class (see also Assign Contract Texts). This step is skipped if no contract texts are assigned to this rent class or rent class package.

  • Activate or deactivate the check box in the Selected column for the contract texts which you like to apply to the rental contract.

Note

Contract texts with Mandatory requirement can not be deselected.

  • Click Next when you selected the desired contract texts.
  • To edit the selection of contract texts, click Previous.
  • To Add more rent classes or rent class packages, click Add.

Note

If the rent class to be added is a linked rent class, the linked rent class can also be selected or deselected in the next step. It can only be deselected if the linked rent class is not mandatory. If the linked rent class should be added, the deposited additional revenues, contract compontents and contract texts of the linked rent class can be selected or deselected afterwards.

Linked rent classes are recognizable by an indent underneath the main rent class in the lines of the rental contract.

In addition, the check box in the Linked to Rent Line column is activated.
If the main rent class is later deleted from the contract lines, the linked rent class remains as an independent rent class in the contract lines.

  • The Fifth Step of the Add Rent Classes Wizard opens.

  • The Add Rent Classes Wizard is completed.
  • Click Close to close the window.
    • Optional You can restart the Add Rent Classes Wizard by clicking Start. The previous input will be saved and the First Step of the process will be displayed.

  • After completing the wizard, the finished rent class package will be displayed.
  • Check the given values and make changes according to the information below:

Package Code The Package Code will be filled out automatically and cannot be edited. Every rent class package will be assigned a unique identification number.

Invoice Details Invoice Option Select from the drop-down list whether every rent class should have its own price or if all prices should be combined in a rent class package invoice. By default, every rent class has its own price. If you select combined, you can select multiple rent classes in a rent class package that will be invoiced together.
Price Base Specify the price base for the rent class package.
Cost Item No. Specify the contract entry that should be used for the invoice.
Price Here, enter the price for the rent class package.
Invoice Percentage Total This field will be filled in by the system according to the information in the Lines tab. The percentages have to add up to 100% before you can release a rent class package.
Lines Deactivated Optional Activate this check box for the line you would like to deactivate the rent price line for. The rent price line can be activated again by disabling the check box.
Rent Class Go to an empty line and click on the button with the three dots to add rent classes.
Standard Description Here, enter a unique name for the line. This line will be printed on all documents.
Main Line Optional Activate this check box to make this rent line the main package line. If this check box is deactivated, the line has to be processed via the main package line.
Object Type Reference Here you can enter the object type (if applicable). This value cannot be changed.
Revenue Type Reference Here you can enter the revenue type. This value cannot be changed.
Quantity Here, enter a quantity for the rent class line in the rent class package.
Unit of Measure Code (Delivery) Here, select the unit of measure for the object.
Requirement Specify whether the rent class or rent price line is Mandatory, Recommended or Optional.
Mandatory = The rent class or rent price line will always be added and cannot be deleted.
Recommended = The use of this rent class or rent price line is recommended but it won’t be automatically added.
Optional = The rent class or rent price line is automatically added but can be removed from rental quotes, contract and rent class packages.
Price Code Enter here the price code for this rent class object. This column is directly linked to the Price Type column. If you selected Optional or Recommended in the Requirement column, you can eave this column empty.
Price Type Here, select the due date for the rent class object price. This column is linked to the Price column.

Fixed Quantity Activate this check box if you want to add a price line with a quantity of 1. If you do not activate this check box, the price line will be assigned the quantity from the rent line. If you activate this check box, the price will be calculated for every (partial) delivery. If you do not activate this check box, the price will be calculated using the percentage of the delivered quantity.
Invoice Only Once Activate this check box if the selected price line should only be invoiced once. You can only activate this check box if you have activated the check box Fixed Quantity and selected On Delivery in the Price Type column.
Price Mandatory Optional Activate this check box if the user should always have to enter a price or price code for this rent class, If this field is deactivated, the user can enter a price or price code if they wish. This field is always activated when you create a new rent class line.
Consumption Price No. Select the price line that should be used for the rent invoice.
Price Base Only for recurring costs Select the price base for the entry. You can assign a price base per line.

Consumption Type Optional Select the price line that should be used for the rent invoice. For more information on creating consumption types, click here.
Default Consumption Invoice Type Optional Select the default invoice type for the consumption invoice.
Default Consumption Amount Optional Enter a default amount for the consumption.
Consumption Unit of Measure Optional Select the unit of measure that should be used for the consumption invoice.
GTC Code Optional Select a GTC code for the line. You can set up an own GTC code for every rent price line.
  • To use the rent class package in rental quotes or rental contract, activate the rent class package by enabling the Active boolean. You can find information on the status of the boolean in the Table 'Boolean'.

Activate Rent Class Package

  • Close the Rent Class Packages page.

Checking the Utilization of a Rent Class

The utilization chart allows you to check the utilization of a rent class. To check the utilization of a rent class, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open the rent class you would like to check the utilization for.
  • Navigate to the Utilization register and open it in case it is closed.
  • The Utilization Chart is displayed.
    • The middle area (in this case: 17.12.20..17.01.21) specifies the time period that is shown in the chart.
    • The last part (in this case: Week) specifies the type of time period that is shown in the chart.

Utilization of a Rent Class

  • You can filter the utilization by Day, Week, Month, Quarter or Year.
  • Via the Previous Period button, you can view the utilization for the previous period.
  • Via the Next Period button, you can view the utilization for the next period.
  • The x-axis shows the exact date of the selected period.
  • The y-axis shows the availability and utilization of a rent class.
  • Move your mouse pointer over one of the bars in the chart to view the percentage.
  • Close the rent class card.
  • Close the Rent Classes page.

You can link rent classes to other rent classes to mark them as an optional, necessary or recommended component of a rent class.
Please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open a rent class or create a new rent class.
  • The respective rent class card opens.

Note

In order to link a rent class, it has to be deactivated.

  • You can select the rent class to be linked under the Linked Rent Classes register in the Rent Class field.

The following fields are available:

Rent Class Specifies the linked rent class.
Rent Class active Specifies whether the rental class is active.
Quantity per Rent Class Specifies the quantity of the linked rent class.
Unit of Measure Code Specifies the unit of measure code.
Requirement Specifies if the linked rent class is a necessary, optional or recommended component of the rental contract.
  • Your changes are saved automatically.
  • Subsequently activate the rent class in the General register.
  • Close the Rent Class Card.

You have sucessfully linked two rent classes.

View Commissioned Rent Objects

The rent class card allows you to view all rent objects that are linked to a rent class. To view the commissioned rent objects, please proceed as follows:

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open the rent class you would like to check the commissioned rent objects for.
  • Select Related > Commissioned Objects in the menu bar.

View Commissioned Objects

  • A list of all commissioned rent objects for the rent class is displayed.
  • The Operation area also allows you to view the service history.
  • Close the commissioned object list.

Deposit an alternative unit of measure for delivery

To deposit an alternative unit of measure for delivery, please proceed as follows:

Note

An alternative unit of measure for delivery can only be deposited for rent classes which are Items.

  • Use the quick search (ALT+Q) to find the page Rent Classes in TRASER DMS 365.
  • A list containing all rent classes is displayed.
  • Open the rent class for which you want to deposit an alternative unit of measure for delivery.
  • Select Process > Unit of Measure from the menu bar.
  • The Rent Class UoM window opens.
  • In the Code column, enter the code of the unit of meaure, e.g. Pallet.
  • In the Qty. per Unit of Measure column, enter the number of rent objects that should be contained in one unit of measure, e.g. 1 pallet = 20 rent objects.
  • Your changes are saved automatically. If this rent class is now added to a rental contract, this unit of measure can be selected in the wizard.
