Trade-In

As a machine and vehicle dealer, you can purchase used machines or equipment and clear the amount while selling a machine.
This process is called "Receive as Payment" or "Trade-in".

Setting up the trade-in

This section describes how to set up the trade-in. The setup consists of four steps:

The setup for trade-in has to be performed only once.
We recommend having a consultant carry out the setup. During the setup the consultant can react to specialities in your company and take these into account.

Setting up a number series for trade-in

This section describes how you set up the number series for trade-ins.
Please do the following:

  • Use the quick search (ALT+Q) to find the page Sales & Receivables Setup.
  • The page Sales & Receivables Setup is displayed.
  • Below the Number Series register the following fields are shown:

Sales & Receivables Setup

Field Description
Trade-In No. This is the assigned number series for the trade-ins. When you create a new trade-in, this number series will be used.
Posted Trade-In Receipt Numbers This is the assigned number series for the posted trade-in receipts. When you post a trade-in, a warehouse movement will be created with this number series.
Posted Trade-in Invoice Numbers This is the assigned number series for the trade-in documents. When you post a trade-in, a sales credit memo will be created with this number series.
  • Click in the field Trade-In No. to open the drop-down list of the number series.
  • The drop-down list is displayed.
  • Click New in the menu bar to create a new number series.
  • The window Select – No. Series List is displayed.

Select - Number Series

  • Enter in the respective field in the Code column a code for the new number series.
  • Specify in the respective field in the Description column what the number series is used for.
  • Click in the input field in the Starting No. column.
  • The window Edit – No. Series Lines is displayed.

Edit - No. Series Lines

  • Complete the following information:
Column Description
Starting Date Enter the starting date from which the number series shall be used. If you want to use today’s date, enter t.
Starting No. Enter the starting number that represents the beginning of the number series (e.g. INZ-0000001).
Ending No. Enter the ending number that represents the ending of the number series (e.g. INZ-9999999).
Last Date Used Skip this field. In this field the date on which the number series was last used is shown. Since you are setting up a new number series, there is no data here yet.
Last No. Used Skip this field. In this field the last used number is shown. Since you are setting up a new number series, there is no data here yet.
Warning No. Enter the number triggering a warning that the number series is about to expire (e.g. INZ-9999900).
Increment by No. Enter the interval here with which a distinction is made between two numbers in the number series. The value 1 is normally set in this field by default.
Allow Gaps in Number Series Activate this check box if you want to allow gaps in the number series (for example if documents are not posted and deleted instead).
  • Click on Close to close the window Edit - No. Series Lines.
  • The window Select – No. Series List is displayed. The selection list shows the number series that you just set up.
  • Click OK.
  • The page Sales & Receivables Setup is displayed.
  • Under the register Number Series in the input field Trade-In Nos. the code of the set up number series is shown.

You have successfully set up the number series for the trade-in.

Setting up a number series for posted trade-in receipt numbers

This section describes how you set up the number series for posted trade-in receipts.
Please do the following:

  • Use the quick search (ALT+Q) to find the page Sales & Receivables Setup.
  • The page Sales & Receivables Setup is displayed.
  • Below the Number Series register the following fields are shown:

Field Description
Trade-In No. This is the assigned number series for the trade-ins. When you create a new trade-in, this number series will be used.
Posted Trade-In Receipt Numbers This is the assigned number series for the posted trade-in receipts. When you post a trade-in, a warehouse movement will be created with this number series.
Posted Trade-in Invoice Numbers This is the assigned number series for the trade-in documents. When you post a trade-in, a sales credit memo will be created with this number series.
  • Click in the field Pstd. Trade-In Rcpt. Nos. to open the drop-down list of the number series.
  • The drop-down list is displayed.
  • Click New in the menu bar to create a new number series.
  • The window Select – No. Series List is displayed.

Select - Number Series

  • Enter in the respective field in the Code column a code for the new number series.
  • Specify in the respective field in the Description column what the number series is used for.
  • Activate the check box for the column Standard Number.
  • Click in the input field in the Starting No. column.
  • The window Edit – No. Series Lines is displayed.

Edit - No. Series Lines

  • Complete the following information:
Column Description
Starting Date Enter the starting date from which the number series shall be used. If you want to use today’s date, enter t.
Starting No. Enter the starting number that represents the beginning of the number series (e.g. LINZ-0000001).
Ending No. Enter the ending number that represents the ending of the number series (e.g. LINZ-9999999).
Last Date Used Skip this field. In this field the date on which the number series was last used is shown. Since you are setting up a new number series, there is no data here yet.

This section describes how you set up the number series for posted trade-in invoices.
Please do the following:

Setting up trade-in as service order type

This section describes how you set up a service order type for trade-ins.

Note

If you have already created a service order type that should be selectable for trade-in documents, you need to activate the check box Trade-in on page Service Order Types for this service order type.

Please proceed as follows to set up a new service order type for trade-ins:

  • Use the quick search (ALT+Q) to find the page Service Order Types.
  • The page Service Order Types is displayed.
  • Click New in the menu bar.

Service Order Types

  • Complete the following information:
Column Description
Code Specify a code for the service order type.
Description Enter a description for the service order type in this field.
Trade-In Activate the check box so that the newly created service order type can be used in trade-in documents.
Sales If this check box is activated, the newly created service order type can be used in sales documents.
Purchase If this check box is activated, the newly created service order type can be used in purchase documents.

Note

The setup described here outlines the minimum required system settings for being able to select the service order type for trade-in documents.

You have set up the newly created service order type for trade-ins and can use it for trade-in documents.

Creating a trade-in

This section describes how to create a trade-in. To create a trade-in, it has to be set up correctly. For more information on the setup, please read section Set up trade-in.

Creating a trade-in

This section describes how to create a trade-in (credit memo).

Please proceed as follows to create a trade-in (credit memo):

  • Use the quick search in TRASER DMS 365 (Alt+Q) to find the page Trade-Ins.
  • The page Trade-Ins is displayed.
  • Click New in the menu bar.
  • The Trade-In card is displayed.

Card Trade-In

  • Click in the General register in the Customer Name field.
  • The window Customers is displayed.
  • Select the customer for which you want to create a trade-in.
  • To confirm the selection click OK.
  • The data of the customer is automatically inserted into the respective fields in the Trade-In card by the system. In addition the trade-in will be assigned a unique number.
  • Click in the field Order Type to open the drop-down list of the order types.
  • Select the respective order type from the drop-down list.

Note

If no order types are shown you cannot create a trade-in. Please set up the order types first before creating a trade-in. You will find a description on how to set up the order types for trade-in in the section Setting up trade-in as service order type.

  • Select under the register Shipping and Billing in the Location field a location where the service item is to be stored/delivered.
  • To add a machine of the customer to the trade-in, click on Functions > Add Service Item in the Lines register.

Adding a service item to the trade-in

  • The window Select - 1 is displayed.

Tip

The fields Manufacturer, Category, Subcategory and Model allow you to limit the search results for service items. If you know the exact model of the service item, you can enter it directly into the Model field. The remaining data of the fields Manufacturer, Category and Subcategory will be added by the system (in case it’s already included in the system). You can find more information about this in the chapter Service Item Models.

  • Click on the Service Item selection field to open a list of the customer’s service items.
  • The page Service Items is displayed.
  • Select from the list the service item which you want to add to the trade-in document.
  • Click OK.
  • The window Select - 1 is displayed.
  • Click OK.
  • The service item is added in a new line under the Lines register in the trade-in document.
  • Enter in the respective column the amount of the service item you want to accept as payment.
  • Complete the remaining relevant data.

Tip

In the section Adding texts to trade-in lines it is described how to add texts to texts to trade-in lines. These texts are also printed on the document.

To post the trade-in, select Post > Post... from the menu bar.

Adding texts to trade-in lines

This section describes how to add text lines to a service item you want to accept as payment within a trade-in document.

Note

Texts cannot be added later. You can only add text lines to trade-in documents that have not yet been posted.

Please proceed as follows to add a text to a trade-in document:

  • Use the quick search (ALT+Q) to find the page Trade-Ins.
  • The page Trade-Ins is displayed.
  • In the menu bar of the register Lines, select Functions > Add Text Lines.
  • The window Edit – Text Editor is displayed.

Text Editor

  • Enter a text.
  • Select Add Lines to add the text to the document.

The text lines are shown under the Lines register in the trade-in document.
