Sales Forecast
A sales forecast is used to calculate one or more machines for the customer in TRASER DMS. The machines that are used for the sales forecast are added via so called forecasts or forecast templates.
Note
A sales forecast has to consist of at least one forecast. In this forecast prices are being totaled, discounts calculated, machines accepted as payment, and costs for transports, accessory assemblies, commissions etc. are being calculated. We recommend creating an own forecast for each machine. You can find more information about this in the Forecast chapter.
This chapter is divided into the following sections:
- Setting up a number series for sales forecasts,
- Creating a new sales forecast,
- Creating a new version of a sales forecast,
- Creating a sales quote from a sales forecast,
- Deleting a sales forecast.
Setting up a number series for sales forecasts
This section describes how to set up the number series for sales forecasts. The number series serves as a unique label and identification of sales forecasts.
Please proceed as follows to set up a number series for sales forecasts:
- Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Sales & Reveivables Setup.
- The page Sales & Receivables Setup is displayed.
- Under the Forecast register under Numbering, click in the input field Sales Forecast Nos. to open the picklist.
- To create a new number series, click New in the menu bar.
- The window Select – No. Series List is displayed.
- Enter in the Code column a code for the new number series.
- Use the Description column to enter a description for the sales forecast (e.g. Sales Forecast).
- Click in the input field in the Starting No. column.
- The window Edit – No. Series Lines is displayed.
- Enter in the Description column the starting number for the number series.
Optional:- Enter a date in the **Starting Date ** column from which the number series shall be used. Do not enter a date if you want to use the number series right away.
- Enter a date in the Finishing Date column from which the number series shall end. Do not enter a date if you don’t want the number series to end.
- The Last Date Used field shows the date on which the number series was last used.
- The Last Nr. Used field shows the number that was last used in the number series.
- Enter in the Warning Nr. column the number from which you want to be notified that the number series is about to end. Do not enter a number if you don’t want to receive a warning.
- The number series is increased by 1 by default. If you want a gradual increase by a certain value, you can enter the value in the Increment by No. column.
- If gaps shall be allowed in the number series (e.g. when deleting documents), you can allow this by activating the Allow Gaps in Numbers check box.
- Click Close to close the window and to save the entered data.
- The window Select – No. Series List is displayed.
- The starting number you created will automatically added to the number series.
- Click Close to close the window.
You have successfully set up the number series for sales forecasts.
Creating a new sales forecast
This section describes how to create a new sales forecast.
Sales forecasts can consist of one or more forecasts where different calculations are used in the forecasts.
Tip
You can submit different versions of a sales forecast to your customers in TRASER DMS. This way the reference number stays the same for customers and salesperson and only the version of the sales forecast is edited. You can find more information on version numbers in sales forecasts in the Creating a new version of a sales forecast section.
Please proceed as follows to create the first version of a sales forecast:
- Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Sales Forecasts.
- The page Sales Forecasts is displayed.
- Click New in the menu bar.
- A new sales forecast is created and the Sales Forecast card is opened.
- Enter a description for the sales forecast under the General register in the field Description.
- The system completes the information of the fields No., Number Of Versions, Status and Date. The values in the field Version No. and Number Of Versions are updated from 0 to 1.
- Select from the Customer No. drop-down list the number of the customer for which you want to create a sales forecast. The system completes the information of the Customer Name field.
Note
If you create a sales forecast for an unknown person without selecting a customer, you skip the fields Customer No. and Customer Name.
Create a new contact and proceed as follows.
- In the field Contact No., enter the number of the contact. The system completes the information of the Contact Name field.
- In the field Valid Until, enter the date until the sales forecast is to be valid. If you do not enter a value the sales forecast will be valid permanently.
- In the field Salesperson, enter the salesperson for the sales forecast.
- In the field Person In Charge, enter the person in charge for the sales forecast.
- To add a forecast to a sales forecast, select Manage under the Lines register.
- The following options are available in the Manage menu:

New Forecast | Creates a new forecast for this sales forecast. You can find more information about forecasts in the Forecast chapter. |
Duplicate Forecast | Creates a new forecast on the basis of an forecast that is already existing in this sales forecast. This option is especially suited for adding two machines with a similar or same configuration to a sales forecast or for buying machines of the same type. |
Insert Forecast from Template | Creates a new forecast on the basis of a forecast template for this sales forecast. You can find more information about forecast templates in the Forecast chapter. |
- Add a forecast to the sales forecast by using New Forecast or Insert Forecast from Template. Repeat these steps if you want to add more machines to the sales forecast.
- Click on Sales > Send to Quote in the menu bar.
- A dialog appears asking whether you want to open the respective sales quote.
You have created the first version of a sales forecast including the sales quote.
Tip
Before sending a quote from the sales forecast to the customer/contact, the sales forecast should be released by a responsible person. You can find more information about this in the chapter Releasing a sales forecast.
Releasing a sales forecast
This section describes how to release a sales forecast. With a release, you give your employees permission based on this sales forecast to send the already created sales quote to the customer.
To release a sales forecast version, proceed as follows:
- Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Sales Forecasts.
- The page Sales Forecasts is displayed.
- Select from the list the sales forecast that you would like to release.
- The active version of the sales forecast is displayed.
Note
For more information on how to create a new version of a sales forecast or on how to use another version for the sales forecast, please read section Creating a new version of a sales forecast.
- Check if the sales forecast is linked to a sales quote. For this, click on Sales > Send to Quote in the menu bar.
- A dialog window is displayed.
- Select the option Open Quote.
- The sales quote for this version of the sales forecast is opened.
- Check the sales quote.
- Press the ESC key on the keyboard or close the sales quote window.
- The sales forecast is displayed.
- To release the sales forecast, select Release > Release from the menu bar.
Tip
The shortcut for releasing the sales forecast is CTRL+F9.
- The status of the sales forecast is changed to Released. This means that you can no longer edit the forecasts inside the sales forecast.
You have released a version of a sales forecast.
Note
Please note that sales forecasts can not be deleted as long as one version is released. To delete a sales forecast, all versions must be in Open status. For more information on how to reset the status of a sales forecast, please read section Resetting the sales forecast status.
The following section describes how to create a new version of a sales forecast.
Resetting the sales forecast status
This section describes how to reset the status of a sales forecast.
Please do the following:
- Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Sales Forecasts.
- The page Sales Forecasts is displayed.
- Click on the sales forecast for which you want to reset the status.
- The sales forecast is displayed.
- To reset the status of the sales forecast to Open, click on Release > Reset Status in the menu bar.
The status of the sales forecast is being reset.
Creating a new version of a sales forecast
This section describes how to work with different versions of sales forecasts. When creating a new sales forecast, it will always have version 1. It is possible to create several versions for a sales forecast. With the different version you can for example calculate and offer your customers tractors in different configurations or completely different tractor models (version 2).
Please proceed as follows to create a new version of a sales forecast:
- Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Sales Forecasts.
- The page Sales Forecasts is displayed.
- From the list, select the sales forecast for which you want to create a new version.
- Click Create New Version in the menu bar.
- A dialog appears asking whether you would like to display the new version of the sales forecast. Click Yes.
- The sales forecast is opened. Under the register General, the values of the fields Version No. and Number Of Versions are increased by 1.
- In the field Valid Until, enter the date until the sales forecast is to be valid. If you do not enter a value the sales forecast will be valid permanently.
- In the field Salesperson, enter the salesperson for the sales forecast.
- In the field Person In Charge, enter the person in charge for the sales forecast.
- To add a forecast to a sales forecast, select Manage under the Lines register.
- The following options are available in the Manage menu:

- Add a forecast to the sales forecast by using New Forecast or Insert Forecast from Template. Repeat these steps if you want to add more machines to the sales forecast.
- Activate the boolean Active under the register General. The boolean is deactivated by default. With this you make sure that this version of the sales forecast is shown when the sales forecast is opened.
Note
If you want to set an older version as the default version to be displayed, you have to activate the boolean Active on the card of this sales forecast version. The boolean Active for the other versions is then automatically deactivated.
- Click on Sales > Send to Quote in the menu bar.
- A dialog appears asking whether you want to open the respective sales quote.
- Click Yes.
- The sales quote for this sales forecast is displayed.
- Check if all data is correct in the document.
- Submit the new version of the sales forecast to the employee that is responsible for the release. You can find more information about releasing a sales forecast in the chapter Releasing a sales forecast.
You have created a new version of a sales forecast and have set the version as the default version to be displayed for the sales forecast. In addition you have created and checked the sales quote for this sales forecast and have submitted the new version to the responsible employee for the release.
Creating a sales quote from a sales forecast
This section describes how to create a sales quote from a sales forecast.
Please do the following:
- Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Sales Forecasts.
- The page Sales Forecasts is displayed.
- From the list, select the sales forecast for which you want to create a sales quote.
Note
Please note that a sales forecast can consist of several versions. The number of available versions is shown on the page Sales Forecasts in the Number Of Versions column. The set version of the sales forecast is shown in the Version No. column by default. If you click on the sales forecast, this version will be displayed. You can find more information on versioning of sales forecasts in the Creating a new version of a sales forecast section.
- The Sales Forecast card is opened.
- To send a quote, click on Sales > Send to Quote in the menu bar.
- A dialog window is displayed.
CAUTION!
If there already is a sales quote for this sales forecast, a dialog window is displayed where you can choose from the following options:
Open Quote – Opens the existing quote for this version of the sales forecast.
Update Quote – Updates the sales lines from this version of the sales forecast with the existing sales quote.
Delete Quote – Deletes the existing sales quote for this version of the sales forecast.
Select Update Quote.
- To open the sales quote, click Yes.
- The sales quote is opened.
You have created a sales quote from this version of the sales forecast.
Deleting a sales forecast.
This section describes how to delete a sales forecast.
To delete a sales forecast, the status of all versions of the sales forecast must either be Open or they have to be reset. For more information on how to reset the status of a sales forecast, please read section Resetting the sales forecast status.
Please proceed as follows to delete a sales forecast:
- Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Sales Forecasts.
- The page Sales Forecasts is displayed.
- Open the sales forecast that you want to delete.
- The active version of the sales forecast is opened.
- Click on the recycle bin icon in the upper section of the screen.
Note
To delete a sales forecast, all versions of this sales forecast must be in Open status. You can find the number of versions for the sales forecast that is to be deleted under the General register in the field Number Of Versions.
You have deleted the sales forecast.
