Multi Salesperson Assignment for Documents

TRASER DMS 365 allows you to set up a dynamic allocation of salespersons in documents based on certain dimensions that have been defined beforehand. The dynamic allocation of salespersons can be set up both for the document header or for the lines area. At present, the function is available in the following documents:

Area Document Types
Sales Sales Quote, Sales Order, Sales Return Order. Sales Credit Memo, Sales Invoice
Service Service Quote, Service Order, Service Credit Memo, Service Invoice
Rental Rental Quote, Rental Invoice

Setting up Dimensions for Multi Salesperson Functionality

Before you can use the dynamic salesperson assignment in documents, you have to set up some general parameters as well as dimensions for the multi salesperson functionality. Please proceed as follows:

  • Use the quick search (ALT+Q) in TRASER DMS 365 to find the page Sales & Receivables Setup.
  • The page Sales & Receivables Setup is displayed.
  • Scroll to the Multi Salesperson tab.
  • Complete the fields according to the table below.
Field Description
Multi Sales Person Area Select whether the multi salesperson assignment should apply to the Header area or the Line area.
Dimension Code 1 Enter the first dimension code for the multi salesperson functionality. Fore more information on using dimensions, click here.
Dimension Code 2 Enter the second dimension code for the multi salesperson functionality. Fore more information on using dimensions, click here.
Dimension Code 3 Enter the third dimension code for the multi salesperson functionality. Fore more information on using dimensions, click here.
Dimension Code 4 Enter the fourth dimension code for the multi salesperson functionality. Fore more information on using dimensions, click here.

Setting up Codes for Multi Salesperson Functionality

You can use the Multi Sales Person Setup Card to create codes for dynamic salesperson allocation in documents. You can then assign these codes to salespeople. Proceed as follows to set up a code:

  • Use the quick search (ALT+Q) in TRASER DMS 365 to find the page Multi Sales Person Setup.
  • The page Multi Sales Person Setup is displayed.
  • To define a new code click on New in the menu bar.
  • In the Code field, enter a clear caption for the assignment code.
  • In the Order Type field, enter the order type that the assignment code should apply for.
  • Via the other columns, you can add dimension values for the dimensions you selected in Setting up Dimensions for Multi Salesperson Functionality. The captions of the columns will vary depending on the dimensions you have chosen.
  • Your changes are saved automatically.

The next section describes how to assign the code you set up in this section to a salesperson.

Assigning Codes for Multi Salesperson Functionality to Salespeople

You can assign the codes you set up in the previous section either directly via the Multi Sales Person Setup page or via a salesperson/purchaser card. To assign a code directly via the **Multi Sales Person Setup
** page please proceed as follows:

  • On the Multi Salesperson Setup page, select the code you want to assign to a salesperson/ to multiple salespeople.
  • Click on Assign to Salesperson(s) in the menu bar.
  • A list containing all salespeople and purchasers is displayed.
  • Select a salesperson you would like to assign a code to.
  • If you want to add the code to multiple salespeople, click on the three dots in a salesperson line and select Select More.
  • You can now select multiple salespeople.
  • Then, click OK.
  • A new window opens. Check the information listed in the window and click on OK.
  • Your changes will be saved automatically.

To assign a code to a salesperson via the salesperson card, please proceed as follows:

  • Use the quick search (ALT+Q) in TRASER DMS 365 to find the page Salespeople/Purchasers.
  • A list containing all salespeople and purchasers is displayed.
  • Open the Salesperson/Purchaser Card you would like to assign a code to.
  • Click on Salesperson > Multi Sales Setups in the menu bar.
  • The page Sales Person Assigned Multi Sales Setups is displayed.
  • Click New in the menu bar.
  • A new line will be added to the table.
  • Use the Multi Sales Person Setup Code field to enter a code you previously set up.
  • The other columns will be filled in by the system.
  • Repeat this step to add more codes to the salesperson.

Now, you only have to add one or multiple salespeople to a contact card. If you then create a document for a customer that is linked to the contact, a salesperson will be automatically assigned to the document if the dimension values from the code you added to the salesperson match the dimension values from the document. The next section describes how to add salespeople to a contact.

Assigning Multiple Salespeople to Contacts

To add salespeople to a contact, please proceed as follows:

  • Use the quick search (ALT+Q) in TRASER DMS 365 to find the page Contacts.
  • A list with all existing contacts is displayed.
  • Open the contact you would like to add a salesperson to.
  • In the menu bar, click on Related > Contact > Multi Sales Persons.
  • The page Contact Assigned Sales Persons is displayed.
  • To add a new salesperson, click on an empty line.
  • In the Sales Person Code field, enter the code of the salesperson you would like to add to the contact.
  • Then, click on the Sales Person Name column. The name of the salesperson will be automatically added by the system.
  • Your changes are saved automatically.
  • To add more salespeople, repeat the above mentioned steps.
  • Once you are done, close the page.
  • The number of assigned salespeople will be shown on the contact card in the Assigned Salespersons field in the General tab.

You have successfully added one or multiple salespersons to a contact. If you then create a document for a customer that is linked to the contact, a salesperson will be automatically assigned to the document if the dimension values from the Code you assigned to the salesperson match the dimension values from the document.

The next section descibes how to filter the contact list by assigned salespeople.

Filtering Contacts by Salesperson

You can filter the contact list by the salespeople that have been assigned on the contact card. To filter the contacts, please proceed as follows:

  • Use the quick search (ALT+Q) in TRASER DMS 365 to find the page Contacts.
  • A list with all existing contacts is displayed.
  • In the contact list, click on Related > Contact > Multi Sales Person > Filter by Multi Sales Persons.
  • The page Filter Contacts by Multi Sales Persons is displayed.
  • Click on New in the menu bar to select a salesperson you would like to filter by.
  • Enter a Code for the salesperson. The name will be filled in by the system.
  • Repeat this step to select more than one salesperson.
  • Click Ok to apply the filter.
  • The contact list will be filtered by the salesperson/salespeople you have entered.
  • If you want to delete the filter, click on Related > Contact > Multi Sales Person > Clear Multi Sales Persons Filter.
