Automatic Default Dimension Allocation

The automatic default dimension allocation allows you to specify which fields should be set up as automatic dimensions. However, this is only possible on pages where you can set up default dimensions (Master data, Resource, etc.). When you create a new data record, a new dimension value will be created for defined field. In addition, the dimension value will also be stored in the master data as a default dimension.

You can set up the automatic dimension allocation for the following pages/master data records:

  • G/L Account
  • Customer
  • Vendor
  • Item
  • Resource
  • Contact
  • Fixed Asset
  • Catalog Item
  • Service Item

Note

You have to create a dimension in oder to set up an automatic dimension allocation.

Setting up Automatic Default Dimension Allocation

This section describes how to set up an automatic default dimension allocation.
To set up an automatic default dimension allocation, you have to consider the following points:

  • What pages should have an automatic dimension allocation?
  • What fields on those pages should have an automatic dimension allocation?
  • Which dimensions should be allocated?
  • Should the dimensions be editable afterwards or not?

Proceed as follows to set up the automatic default dimension allocation:

  • Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Automatic Dimensions Setup.
  • The page Automatic Dimensions Setup is displayed.
  • Click New in the menu bar.

Automatic Dimension Allocation

  • Please fill out the following information:
Column Description
Table ID From the filtered list, select the page for which a dimension should be assigned automatically.
Table Name This field will be filled by the system once you enter a Table ID.
Field No. From the filtered list, select the field for which a dimension should be assigned automatically.
Field Name This field will be filled by the system once you enter a Field ID.
Dimension Code Choose the dimension that should be automatically assigned to the selected page.
Value Posting Specify if dimensions should be editable afterwards on pages (option: Code Mandatory) or not (option: Same Code).

The following screen shot shot shows an example where the ZIP code has been set up as a dimension on a customer card, i. e. when creating a new customer data record, the dimension Postal Code will be filled in automatically using the value from the customer address.

You have successfully set up an automatic dimension allocation.

Changing Dimension Values

This section describes how to change a dimension that was automatically set up by the system.

Proceed as follows:

  • Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Dimensions.
  • The page Dimensions is displayed.
  • Select the dimension from the list that you want to change the dimension value of.
  • Click Dimension > Dimension Values.in the menu bar.

Changing Dimension Value

  • The window Dimension Values is displayed. This window shows all dimension values for the selected dimension.
  • Edit the dimension value you want to change.
  • To save the changes, close the window.

You have successfully changed the dimension value of a dimension.

Adding Automatic Default Dimension to existing Data Record

This section describes how to add an automatic dimension to an existing data record.
Proceed as follows:

Depending on the size of the data record, this process can take several minutes. Thus, we recommend carrying out this process during non-business hours.

  • Use the quick search in TRASER DMS 365 (ALT+Q) to find the page Automatic Dimensions Setup.
  • The page Automatic Dimensions Setup is displayed.
  • Select Actions > Generate Dimension Default Values from the menu bar.

Changing Dimension Value

  • A dialog window is displayed asking whether you would like the default dimension to be applied to all data records.
  • To start the process click Yes.

For every data record, a new dimension value is added to the selected dimension.

Automatic Synchronization of Dimensions and Service Items

This section describes the functionality that allows you to synchronize dimensions from items with service items.
If you link an item to a service item, the dimensions will be updated.

The following functions exist:

  • If you add a dimension to the item, the dimension will be synchronized with the service item.
  • If you change a dimension from the item, the dimension will be synchronized with the service item.
  • If you delete a dimension from the item, the dimension will not be deleted from the service item.
  • If you add a dimension to the service item, the dimension will not be added to the item.

Automatic Synchronization of Dimensions and Fixed Assets

This section describes the functionality that allows you to synchronize dimensions from service items with fixed assets.
If you link a service item to a fixed asset, the dimensions will be updated.

The following functions exist:

  • If you add a dimension to the service item, the dimension will be synchronized with the fixed asset.
  • If you add a dimension to the service item, the dimension will be synchronized with the fixed asset.
  • If you change a dimension from the service item, the dimension will be synchronized with the fixed asset.
